Site Test Coordinator Responsibilities • Read PowerPoint presentation and seek clarification if needed • Read Test Coordinator’s manual • Check for email AIMS updates from district test coordinator • Inventory and keep secure all test materials • Coordinate, distribute, and collect all test materials for all schools for the district/charter • Train and assist faculty • Ensure all security agreements have been signed

Test Coordinator Responsibilities Students to Be Tested • Only students in cohort 2011, 2010, 2009 or below are permitted to test • Cohort 2011 are generally 11th graders • Cohort 2010 or below are generally 12th graders • When a student’s cohort and grade are not aligned, the student’s cohort is used to determine if the student is eligible to participate in AIMS HS
Students to Be Tested • Students who have not met the standards in writing, reading, or mathematics portions of AIMS HS are expectedto test for the specific content area • Students who want to move from the “Meets the Standard” to the “Exceeds the Standard” have the option of retesting ** ** Note: Only Juniors retesting to exceed the standard will be considered for the tuition waiver
Additional Students Who May Test • Non-enrolled students may participate in testing in your school/district include: • Private schooled students • Home schooled students • “Completer” students • These students may test if they live within your school boundaries

Reciprocity • Students requesting reciprocity must provide acceptable documentation of passing scores from other states. • New Reciprocity Guidelines are posted on the ADE website: http://www.ade.az.gov/standards/AIMS/Administering/AIMSReciprocity_July2009.pdf
Fall 2009 Test Schedule • Writing – Tuesday, October 27 • One testing session of 2 – 2 ½ hours • Stretch break after 1 hour • Reading – Wednesday, October 28 • One testing session of 2 hours • Stretch break after 1 hour • Mathematics – Thursday, October 29 • Two testing sessions of 90 minutes • Significant break between sessions There are no make-up dates for Fall testing
Testing Time Frames • AIMS tests are untimed. • Times are estimated times necessary for the vast majority of students to complete the test • For students who are not finished in the allotted time, arrangements must be made to allow them to finish testing • NO AIMS testing session may carry over to the next school day
Test Coordinator Responsibilities Scheduling - Mathematics • Fall Math test is based on 2003 Math standards • Significant break after Part 1 • After significant break students may notgo back to Part 1 of the mathematics test • All students in a test room must be working on the same section of the mathematics test. CALCULATORS CANNOT BE USED!!!
Test Administration • Students may not have access to any electronic devices, including cell phones and calculators, from the time they enter the testing room until dismissed.
Test Invalidations or Invalid Tests • Most test invalidations last year were because of use of cell phones and test administrator not following testing protocol • Missing scores were due to answer documents being stacked with the unused answer documents instead of the used answer documents • Invalid scores were due to student using ink, inappropriate bubbling, and for writing starting on page 2 instead of page 1.
Common Errors To Avoid • Missing important dates • School and staff unaware of test schedule and students who need to test • Test administrators unfamiliar with Test Administration Directions prior to day of testing • Not properly bubbling in information
Test Materials • Materials will be packed for individual schools • Cartons will be marked “Box 1 of 5”, “Box 2 of 5”, etc. • Packing list will be in box 1 • Materials will include: • Test books: Writing, Reading, and Mathematics • Separate answer document for each content area • Test Administration manual • Test Coordinator manual • Labels
Upon Receipt of Test Materials • Inventory Contents Immediately • Verify materials received are the same as on packing list • Verify the number of materials is enough for the number of students testing – if not email any test material needs to Cindy Hurley by Oct. 16 at 3:00 PM
Receiving AIMS Materials Common Errors To Avoid • Failure to inventory materials upon arrival • Short-add order placed too late • Insufficient materials on day of testing
Test Security Agreement • A copy of the security agreement must be kept on file at your school (for 6 yrs.) for: • Site test coordinators • Test administrators, proctors, and anyone who comes in contact with the tests • AIMS HS Security Agreement filled out by principal needs to be given to Cindy Hurley with return of test materials
Test Security It is unethical and will be viewed as a violation of test security for any person to: • Examine content of any portion of test • Disclose or allow to be disclosed the content of any portion of the test or any test item before, during, or after test administration • Influence students’ answers by offering assistance of any kind • Change or review students’ answer choices, including the writing rough draft and writing final copy
Test Security • It is unethical and will be viewed as a violation of test security for any person to: • Photocopy, transcribe, or in any way duplicate any part of AIMS test books • Fail to return all test materials, including unused documents • Participate in, direct, aid, counsel, assist in, encourage, or fail to report any violations of these test administration security procedures • Allow students to have access to test questions, writing prompts or share information prior or during test administration • Use scratch paper
Test Materials Security • Materials are to be in a locked secure location at all times • Maintain a complete inventory of all materials that are distributed to test administrators and returned from them
Prior to Testing • Required Materials for Each Test Room • Student Sign In and Sign Out Sheet • A supply of sharpened, standard, wooden graphite-based No. 2 pencils with erasers • A pencil sharpener or additional supply of pencils • A “Testing – Do Not Disturb” sign • Translation dictionaries for ELLs permitted this accommodation • For writing only: • Dictionaries • Thesauri
Prior to Testing Arrange Test Rooms • Determine suitability of each test room • Rooms must be a comfortable and distraction free environment • Arrange seating so students are not tempted to look at the other student’s tests • All visual aids displayed in the testing room which could assist students must be removed or covered completely
Distribution of Tests Test Administrators must: • Count, collect, and sign for the number of tests that they are receiving from the test coordinator on the day of testing • Verify and sign that all tests materials are returned to site test coordinator at the end of the testing session • No test materials may be left in a testing room overnight
Common Errors To Avoid • Test Administrators violating security agreement • Shortage of Dictionaries and Thesauri on day of testing • Inappropriate visual aids in test room • Not having proper procedures set up for signing in students • Not collecting all electronic materials from students
Test Administrators and Proctors • Must be employees of school • Test administrators and proctors must attend a training for each administration that they will be administering AIMS • Must read and sign a security agreement
Administering HS AIMS • Test Administrators and Proctors must administer the test exactly as directed in the Test Administration Directions • Test Administrators and Proctors should “Actively” proctor the test Critical
Sign-In --- Sign-Out • All Test Administrators must verify students’ IDs • Students are required to sign-in with the test administrator • When students turn-in tests upon completion, they must sign-out that the test has been returned • Sign-in sheets must be retained until the end of until score reports are received and accounted for Critical
Proctoring Active Proctoring includes: • Supervise the room at all times during testing • Answer student questions that pertain only to the clarification of test administration directions • Verify that students are marking their answers in the proper locations in their answer documents
Proctoring Watch for student misconduct • Use of inappropriate resources (scratch paper, calculators, cell phones, iPods, etc.) • Disruptive behavior • Giving or receiving answers
Test Materials • Fall 2009 administration includes three test books: one for the writing test, one for the reading test, and one for the mathematics test • New this year, there are 3 separate answer documents
Test Administrators and Proctors Resources for Writing • Six Trait Rubric Office Scoring Guide for AIMS may be posted in testing room • Students may use commercially published paper dictionary and/or a commercially published paper thesaurus for the AIMS HS writing test only - Several copies of each of these items must be available in the event students choose to use them
Test Administrators and Proctors Resources for Mathematics • The AIMS High School Mathematics Reference Sheet may remain posted in the testing room
Unacceptable Resources • Electronic devices, including, but not limited to, computers, calculators, cell phones, digital watches, personal digital assistants, and portable music players, are prohibited during AIMS testing • Math manipulatives, charts, and aids, including, but not limited to a ruler, number line, compass, and an abacus • Extra paper or scratch paper
Restroom Breaks • Students may be allowed to go to restroom, if necessary, during testing • Only one student may leave at a time • Student test materials must be collected before the student leaves the room and then given back to the student upon returning to the room
Leaving Test Early • Students who leave school during testing before completing a particular content area are ineligible to continue the test for that content area • The Test Administrator should inform the student they will not be permitted to finish that content area • Must sign out and indicate that testing was not completed • The student’s answer document must be sent for scoring, even if it is unfinished
Disruptive Students • Disruptive and misbehaving student should be allowed to continue testing in a different location so that other students may test undisturbed • Students who disrupt testing, refuse to participate, receive help from others, or engage in unacceptable behavior should be subject to disciplinary procedures established by the school after test has been completed • The student’s answer document must be sent for scoring – finished or not
Students Suspected of Cheating • Allow students to continue testing • Teachers are to remove any inappropriate resources (cell phone, calculator, etc.) • After testing investigate incident for details before students leave campus • Document as many details as possible concerning incident • Call Cindy Hurley, 225-5418, as soon as possible for further instructions • Fill out an electronic incident report if requested to do so
When Incidents Occur • The Arizona Department of Education recommends that the student’s parents or guardians receive written notification of the incidents concerning students leaving testing early, disruptive, or inappropriate behavior of students and its consequences.
Invalidations • Contact Cindy Hurley as soon as possible about any testing situation to determine what course of action will need to be taken • Remember only the Arizona Department of Education can approve invalidations • Teachers can not determine that a test needs to be invalidated regardless of the situation
Critical As Students Finish Testing • As students turn in their tests Test Administrators must: • Verify student has put name on front of test book and answer document • Must check answer document for scannability • Make sure no answer document is inside a test booklet • Have student sign out indicating that they have completed and turned in test • Students may read or do classwork silently while waiting for the scheduled testing session to end
Dismissing Students • Before dismissing students, test administrators must verify that all test books and answer documents have been returned by students • After dismissing students and double checking counts, test administrator must return test materials to site test coordinator • No test materials may be left in a testing room overnight Critical
Accommodations • All test administrators must read and be familiar with the Testing Accommodations Guidelines for 2009-2010 available on the ADE website: http://www.ade.az.gov/standards/AIMS/Administering/TestingAccommodations2009-10.pdf • Testing Administrator need to see that: • Students who qualify for testing accommodations receives them • Students who do not receive accommodations are not affected
Accommodations • Universal Accommodations • Available to all students • Standard Accommodations • Available to SPED, 504, and ELL students • Not all accommodations that are appropriate for instruction are appropriate for use during a standardized state assessment. • No longer allowable accommodations • Use of scribe for writing • Read aloud for reading • Use of a calculator
Students With Injury • Students with an injury may also receive the following standard accommodations: • Answers transferred from a test book into an answer document • Record or dictate multiple choice responses to a scribe • Use assistive technology with spell check, grammar check, and predict ahead functions turned off All responses must be transferred to student’s answer document
Common Errors To Avoid • Test directions not read as scripted • Incorrect accommodations given to student • Math invalidations due to use of calculators • Reading invalidations due to test being read to student • Invalidations due to cell phone usage
Student Bar Code Labels • Labels will be printed for students in cohort 2011 who have not “exceeded” in a content area • Labels will be printed for students in cohort 2010 and below who have not “met” in a content area
Student Bar Code Labels • Schools that had student enrollment data in SAIS by September 4 will receive student bar code labels • Labels are content specific and sorted alpha by cohort – if there is a label, use it! • NEW: • one label per student for each content area answer document • no master label this year • no extra label this year
