  3. AZNet II – Arizona Network Transition Update CenturyLink will transition as the sole provider as of August 1, 2012 Transition activities include: Administrative Operational Billing Open MACs and Projects

AZNet II – Arizona Network Billing Final AZNet COP Billing Will be included on the Telesoft August invoice, available around 8/16 Please open a Remedy TEM ticket immediately for any disputes Plan to identify resolution to existing Seat, Per Occurrence and MAC disputes involving Black Box by 7/31 First AZNet II Billing Will be included on the Telesoft September invoice, available around 9/18 Existing Seats will be mapped to new Voice Seat types. Each applicable Voice Seat will also include a Network Seat

  5. AZNet II – Arizona Network Moratorium Update New Project Guidelines:  Effective 7/1/12 – New Remedy tickets for Projects will be held until the transition to the new AZNet II contract on 8/1/12. New RFI Guidelines:  Effective 7/1/12 – New Remedy tickets for Request for Information that involve AZNet services and equipment will be held until the transition to the new AZNet II contract on 8/1/12.  New MAC Guidelines:  Effective 7/23/12 – New Remedy tickets for Moves, Adds and Changes will be held until the transition to the new AZNet II contract on 8/1/12. NOTE:  Effective 7/1/12 – MACs involving equipment purchases will be reviewed to ensure equipment can be received and installed by 7/31/12. Existing Projects in Process – all existing Projects must be completed by 7/31/12. Hard stop on all request with the exception of repairs is 7/23/2012

AZNet II – Arizona Network LAN Switch Management The Telecommunications Executive Governance Committee (TEGC) met on July 10, 2012 to discuss and vote on a couple of key issues related to the AZNet II contract.  LAN Refresh Only vs. LAN Refresh & Management TEGC  members reviewed and discussed the advantages and disadvantages for both options.  TEGC voted unanimously for LAN Management and Refresh 2. Network Seat Billing- Details provided later in the presentation

  7. AZNet II – Arizona Network Network Seat Billing As required by AZNet II contract,  a method had to be adapted  and approved by TEGC to count the Network Seats. A subcommittee was established to work on this task,  the following 4 categories were identified as potential options and recommendations presented. Options: # of Active Ports on the LAN switches # of employees # of Personal Computers in use by each agency # of voice seats currently billed Option 4 was identified to be used for the first 90 days after transition. The subcommittee was task to due further financial analysis on Option 2 and present to TEGC within the first 90 days of the contract, for further discussion or consideration.

AZNet II – Arizona Network Active Ports on the LAN Switches Approach:  Obtain a current inventory of all state LAN switches, with active ports counts Deduct from the active port count the out of scope device connections: Servers,  printers, alarms, card readers, HVAC monitoring devices Challenge: Due to a large number of out of scope device connecting to the LAN Switches, it will be very difficult to validate and maintain an accurate count

  9. AZNet II – Arizona Network Number of Employees Approach: Deducted from the count employees on 2nd and 3rd shift employees with primary duties not requiring connection to the IT Network, I.e. Highway Landscape maintenance, Field Inspectors & others Other Class of FTE's  as identified by the subcommittee Agency to validate the list, included PON/SubPon information Challenge: Agency validation

AZNet II – Arizona Network Personal Computers in Use by Each Agency Approach: Obtain a  count of Personal computers by agency Agency to compile a list, included PON/SubPon information Challenge: No central repository for all Personal Computer inventory Agency inventories reflect devices in spare inventory,  in deployment phase,  in surplus phase Manual procedure has to be developed and implement by the contractor and  agencies to validate and maintain an accurate count

AZNet II – Arizona Network Voice Seats Currently Billed – Interim (first 90 Days) Approach: Obtain current inventory from the TEM Provider Only count the Analog, digital/IP seats( ACD included) Create a duplicate for each item and label as Network Seat Use the current PON/SUBPON identified by the agencies Challenge: Validation of the acceptable seats, which is being performed by EIC

AZNet II – Arizona Network Security Privacy and Risk (SPR) Onboard Process EIC will notify SPR of AZNet II candidates after they successfully pass the CenturyLink background check Background check and required security training courses will be initiated simultaneously by SPR SPR will administer security training SPR will initiate the State background check

AZNet II – Arizona Network SPR Security Training Process EIC notifies SPR of potential candidate SPR creates account in ERMA to assign a EIN Candidate will be required to complete training and pass exam (70%) Security and Privacy Awareness Training (SPR1000 1.0) System and Network Admin (SPR2000 1.0) HIPAA Privacy and Security Awareness Training (SPR3120) Stop UNAX In Its Tracks Safeguarding Federal Tax Information Any additional training an agency may require

  15. AZNet II – Arizona Network Candidates are required to show proof of completion by emailing exam certificate to SPR SPR will keep updated spreadsheet of candidates, completed training and email/phone contact information SPR will notify EIC when courses have been successfully completed

  17. AZNet II – Arizona Network SPR Background Check Process Prospective candidates must pass CenturyLink background check before being sent to EIC. EIC will then notify SPR of candidates SPR (working with HR) initiates fingerprinting/background check with Capital Police (or local police if candidate is remote) Local candidates will have fingerprinting done by Capital Police Remote candidates will receive an authorization form and fingerprint card via FedEx from SPR and have it completed by local authorities. The signed form and fingerprint card will be mailed by to SPR when completed ADOA, DPS and Gaming receive results of candidate background check If candidate receives approval the on-boarding process continues with EIC (submit security request) If candidate is denied due to background finding they will not be approved for access
