Timeline • Contract (represented) classified staff and academic student employees (ASE) will have a salary increase effective July 1, 2014. • The salary increase module for academic personnel, librarians and professional staff will be created from OPUS as of close of business on June 19, 2014 • June 20 – July 5 Administrators in the Dean/VP offices key in increases in the module • June 20-July 14 Restricted Entry Time in OPUS • July 3 automatic reappointment process is run for faculty.
Timeline • July 7-14 OPB, Academic Personnel and HR Compensation review the salary increase data entered by units • July 14 new FT salary rates post to OPUS overnight • July 15 OPUS re-opened for normal operations, no restricted entries • July 15-21 Units make necessary corrections in OPUS for salary increases posted or not posted from the salary module • July 15-21 Units enter July 1 promotions in OPUS
What do you need to do as a payroll coordinator for academic personnel, librariansand professional staff?
The salary increase module for academic personnel, librarians and professional staff will be created from OPUS as of close of business on June 19, 2014 • Academic personnel, librarians and professional staff in OPUS on a current appointment tab with a payroll distribution with an end date of June 15, 2014 or later and an earn type of REG, PLP, LWO or S/L will show up in the salary module.
By 4:00 pm on June 19, 2014 (final cutoff) • Before 4:00 pm on June 19, 2014 Enter summer quarter payroll appointments • For payroll distributions with an earn type of SUM, if possible enter these on a current appointment tab that has a REG distribution that is effective until 06.15.2014 or later • Payroll distributions on a current appointment with only SUM earn type will not be included in the salary module • Summer Quarter payroll distributions with an earn type of REG may be entered on a new appointment tab
summer Quarter appointments entered after June 19, 2014 • If possible enter these on a current appointment that has a REG distribution that was effective until 06.15.2014 or later • If you are unable to enter the payroll distribution on a current appointment that has a REG distribution that was effective until 06.15.2014 or later, then create a new appointment tab but the salary increase will need to be entered manually into OPUS during the review period.
What does “restricted” entry Mean? • For currently employed academic personnel, librarians and professional staff in your college/unit/department • Do not create new appointment tabs in OPUS • Do not make changes to the full-time salary rate in OPUS • Do not delete the payroll distributions from the automatic faculty reappointment process. Corrections/deletions can be made after July 14 • OPUS entries for employees not referenced above can be processed as usual
During the restricted entry time in opus • What may be done in OPUS for academic personnel, librarians and professional staff during the restricted entry time? • Enter appointments for all new hires (new professors, librarian or professional staff). • Enter separations for employees that are leaving the University. • End appointments for employees that are leaving your college/unit (for a new position within the UW). • OPUS entries for employees not referenced above can be processed as usual
WARNING • If a department enters a salary rate change for current faculty, librarians or professional staff during the restricted entry time in OPUS, it will be overwritten – replaced by the salary data in the salary module upload on the evening of July 14, 2014.
What about Promotions? • 12-month Faculty or Librarian Promotions • Promotions effective July 1st will be calculated after salary merit increases have been awarded. The title changes and 7.5% increases must be entered in OPUS no earlier than July 15, 2014 and no later than July 21, 2014. • Salary before merit is $6,000, receive a merit increase of 4% = $240. New FT salary is $6,240. 7.5% increase for the July 1 promotion is calculated on the $6,240 = $468. Promotion FT salary is $6,708
What about Promotions? • 9-month Faculty Promotions • Promotions effective September 16th will be calculated after salary merit increases have been awarded. The title changes and 7.5% increases must be entered in OPUS after September 23, 2014 and no later than September 30, 2014.
