SELF MANAGED TEAMS PRESENTED BY: TOM VALANT & FORREST REYNOLDS
What are characteristics of teamwork? • Good communication skills • Open-Mindedness • Diversity • Motivation • Participation • Accomplishment • Efficiency
What is teamwork like at your site? • Discussion • Worksheet – “Quick Team Check”
What is a Self Directed Team A group of people working together in their own ways toward a common goal which the team defines.
What is a Self Managed Team A group of people working together in their own ways toward a common goal which is defined outside the team.
Components of the Self-Managed Team • Team Sponsor • Team Leader • Team Member
Team Sponsor • Provides direction by establishing goals • Gives timeframes for completion of objectives • Determines “what” the team does, but not “how” the team does it
Team Leader • The team leader is equal with other members of the team in terms of power. • Team Leader should: • avoid taking over the team. • not impose their own ideas on the team. • not become the sole conduit of information to management. • Teams should periodically rotate team leadership to give everyone leadership experience.
Team Member • Composed of all positions from traditional hierarchy • Ideally composed of 5-12 members, but could be up to 20 • Determines how objectives given by sponsor are accomplished • Any member should be able to lead the team
A Successful Self Managed Team Would Have Measured Results Showing More • Enthusiasm • Learning from peers • Comfort knowing help is there • Camaraderie • Shared Responsibility • Focus on the Organization • Responsibility for the Team
A Successful Self Managed Team Would Have Measured Results Showing Less • Individual opinion about what’s important • Reliance on individual abilities • Panic when workload peaks • Backbiting • Protecting information • What’s in it for me? • Stress on the “Supervisor” • Feeling unaccomplished
How would the SMT approach work at the site level? • Site Manager forms team(s) • Focus on meeting specific goals • Decide how to meet goals • Use at weekly meetings • Assess effectiveness periodically • Survey site staff
Sample Goals for SMT at the site level • Meet enrollment within 30 days • Complete 100% of Dial-3 screenings within 45 days • Complete and file 100% of Home Visits • Complete and file 100% of Parent Conferences • Attain Nonfederal Goal each month • Dealing with a disruptive child at the center • How to handle vacancies at the center
Ensuring Success • Increase employee satisfaction • Create employee incentive programs • Use effective praise
Increasing Employee Satisfaction • Sense of purpose • Sense of being compensated fairly • Feeling appreciation • Feeling of participation • Inspired middle management • Top management commitment • Sales and Marketing Magazine recently polled Fortune 1000 companies and found the #1 reason people leave their jobs is lack of appreciation and praise.
Employee Incentive Programs • This is a team function (not management) • Create fund for purchase of awards for staff • Use or solicit donation for incentives • Creative awards (day off with pay, employee of month parking spot, etc.) • “If you give somebody a 40-cent item in a $1 box with $100 worth of recognition, that’s a thousand times more effective than giving a $100 item in the same box but with 40-cents of recognition” • Mary Kay Ash, Mary Kay Corp.
Effective Praise Must Be: • Sincere • Immediate • Specific • Meaningful
