Data Synchronisation in Shoper 9 • Data Synchronisation enables both Head Office and Showroom to maintain latest data at any specified time. • Data is transferred between Head Office and Showrooms through selected medium. • Transfer of data can be triggered manually or automated using scheduler. • Shoper 9 HO controls the sync mechanism by creating rules, schedules, masters, etc. • The communication details are configured in template to be used at showrooms.

Map Business Needs • Synchronisation mechanism is configured depending on your business needs, such as: • Type of Data • Frequency of transfer • Size of Data • No. of Showrooms • Choose the mode of communication for data transfer depending on various factors like available infrastructure, business needs, etc. • HTTP: A virtual server is created using the IIS platform and used to exchange data between Shoper 9 HO and Shoper 9 POS. • FTP: In this mode a FTP server is used as data transfer medium. • Mail: Standard email clients are used to transfer data. Example: Outlook, Outlook Express. • Direct Copy: Direct transfer is used when Shoper 9 HO and Shoper 9 POS are connected over a network.
Configuring Shoper 9 HO • Shoper 9 HO installed at Head Office is the controlling application. All the configurations are set at HO. • Selecting the mode of communication • Entering the details for the selected communication mode • Cataloguing the Showroom master
Configuring Shoper 9 HO - HTTP • Setup the Online folder using the IIS option • Go to Housekeeping > Reconfiguring System Parameters > Click On Line under Categories • Select On Line as the mode of communication • Enter Online server (system hosting IIS folder) details to enable connectivity
Configuring Shoper 9 HO - Mail • Configure HO Server and Mail Server • Go to Housekeeping > Reconfiguring System Parameters > Click Mail under Categories • Select Mail as the mode of communication • Furnish the mail prerequisites to enable identification of data
Configuring Shoper 9 HO - FTP • Setup FTP Server with Username and Password. • Go to Housekeeping > Reconfiguring System Parameters > Click On Line under Categories. • Select FTP as the mode of communication. • Enter FTP server information with username and password used at both POS and HO. • Also check for the FTP mode in the server. Shoper synchronisation supports FTP in both Passive and Active mode.
Configuring Shoper 9 HO – Direct Copy • Configure Local Area Network (LAN) settings • Select Direct Copy as the mode of communication • Enter the details of the folders to be used for exchange of data
POS Catalogue at HO • Showrooms masters are catalogued in Shoper 9 HO. Communication mode to be used by showrooms for synchronisation is also configured in the catalogue. • In Communication tab of showroom catalogue, select communication mode.
Configuring Shoper 9 POS • Business Templates take care of configuring mode of communication in Shoper 9 POS, except for Direct Copy • Direct Copy: Configure the path manually in Shoper 9 POS • Enter HO Code and Name • Choose the mode of communication as Direct Copy • Enter path details (Direct Copy path)
Working of Data Synchronisation • Data Synchronisation involves import and export of data over the set medium between HO and POS applications. • Data is exported using encrypted Zip files. The application importing these files will decrypt and load the data. • Example of file name: HO1MYS000001.ZIP, where HO1= HO Code, MYS=Showroom Code, 000001=Incremental Number. • Out folder is used to upload data files and export. Similarly, In folder is used to download data files and import. • During synchronisation log files having detailed progress of the process are created in <Application folder>\Share\Log folder. • The log files are created with .log extension.
Sync Agent • Sync Agents are used to trigger the synchronisation process based on the set schedules. • Sync Agents will set the sync process rolling in HO and POS respectively.
Data Transfer Options • Import: Data can be sent/ received using the Import and Export option manually in Shoper 9 HO • Go to Data Sync. > Imports > Showroom Transactions • Use Import data option to load data received from Shoper 9 POS manually • This option will load the data files from In folder
Data Transfer Options • Export: You can manually export data to Shoper 9 POS by selecting data range and specific showrooms • Go to Data Sync. > Exports > Master Data to POS • This option will create data files in Out folder • Created data files are sent to Shoper 9 POS
Data Transfer Options • Manual Sync: Data upload and download can be initiated manually in Shoper 9 POS • Go to Housekeeping > POS-HO Synchronise > Synchronise with HO • Extract and Upload POS data • Download and load HO data in POS
Data Transfer Options • Scheduling Synchronisation: Shoper 9 HO controls the scheduling activities, by: • Creating schedules for sync in Shoper 9 HO • Creating schedules for sync in Shoper 9 POS • Configuring activities to be executed during scheduled sync
Scheduling HO Sync • Schedules can be set for Shoper 9 HO to sync with showrooms based on their Geography/Location Type/Group. Geographical: Set of showrooms located in a common geographical area such as Region, State, City, etc. Location Type: Set of showrooms grouped based on their business type. Data Sync Groups: Flagship showrooms or showrooms in commercial centres irrespective of geography/location type can be grouped.
Scheduling HO Sync • Schedules can be set Day wise or Date wise at specific intervals or specified times Day wise: Selected days of a Week Date wise: Selected dates of a Month
Scheduling HO Sync • HO Agent – Allows configuring the activities to be carried out during scheduled synchronisation
Scheduling Sync from POS at HO • Schedules can be created for showrooms to sync with Shoper 9 HO based on Geography/Location Type/Group
Scheduling Sync from POS at HO • Schedules for synchronisation from Showrooms can be created Day wise or Date wise at Specific Intervals or Specified Times
Scheduling Sync from POS • Schedule agent allows configuring the tasks to be executed in Shoper 9 POS during scheduled synchronisation
Reports • Reports can be generated and viewed to get details on data loaded, data not loaded in Shoper 9 HO and also a Dashboard report for complete details about synchronisation. • Files Loaded: List of files loaded in Shoper 9 HO • Files not Loaded: List of files not loaded in Shoper 9 HO • Dashboard: Gives details of data synchronisation
Synchronisation Status Report at POS • At POS synchronisation status can be ascertained by generating a report • The report will display the status of each task in synchronisation process and receipt of acknowledgement from Shoper 9 HO for the data synchronised
Rollback Showroom Transactions • Another option that HO application has is to rollback the showroom data already synchronised. • This can be used when you want to synchronise data from an earlier date for which data was loaded in Shoper 9 HO. • Rollback is required when synchronisation fails, due to: • Database restoration in Shoper 9 POS • Database restoration in Shoper 9 HO • Loss of acknowledgment file
Synchronisation to Multiple HO • Shoper 9 POS application can be used to synchronise with multiple HO applications. • A Large franchisee dealer can sync data with HO at the Franchisor head office and with head office of the franchisee network. • In synchronising with multiple HO’s, POS can use different mode of communication for each HO. • POS Agent will handle multiple schedules set by different HO’s incrementally and share execution time.
