Coordinators • Develop strategies for campaign within your campus unit • Recruit Team Coordinator for campus unit by February 3 • Recommended to recruit 1 Team Leader for every 25 employees within group • Identify what employees each Team Coordinator will be responsible for soliciting • Submit names and contact information to foundation@pisd.edu
Coordinators • Meet as a team with your Team Leaders at least once prior to the campaign to finalize plans • Communicate regularly to ensure campaign success • Attend campaign events within campus unit • Help organize (optional) special events • Develop campaign communication strategies for campus • Encourage Team Leaders to get all money and pledge cards turned in by February 17 • Recognize and thank all volunteers in campus unit • Please include the following disclaimer in all communications: Plano ISD does not directly or indirectly require or coerce employees to: 1) make or not make a contribution to a charitable organization or in response to a fund-raiser; or 2) attend or not attend a meeting called for the purpose of soliciting charitable contributions.
Role of the Team Leader • Attend online training • Work with your Employee Coordinator to plan the campaign. • Educate employees • Plan optional employee meetings • Educate employees one-on-one • Answer questions and make the ask! • Distribute and collect pledge cards • Generate excitement and enthusiasm for the campaign and say THANK YOU!

Educate employees • Make the ask: • Before you ask, make your own gift • Remember, you’re not asking for yourself • Discuss any first-hand experiences with PISDEF and ask for others to share • Emphasize the convenience and ease of payroll deduction • Ask each employee to return a pledge sheet • Thank everyone for their time and consideration • Remember, giving is a personal decision

Best Practices • Promote incentives at meetings • Turn in pledge cards to Foundation Office by February 24! • Have fun!
Best Practices • Encourage payroll deduction! • Equate it to something meaningful: “Buy a child a snack per week” • Get more than $1 for a donut - consider putting special events at the end of the campaign • Ensure monies are secured • Educate and “make the ask”! • Don’t leave pledge cards on desks • Employee meetings are key to increasing participation • One of the main reasons people do not give is because they have not been asked
Reporting Results Pledge cards: • Collect pledge cards and give to Employee Coordinator and then turn in to the Foundation office. NOTE: Turn in results ASAP; don’t wait until the very end.
Best Practices to Engage Through Advocacy Spread the word & champion the cause at Plano ISD • 1. Develop a plan for success • Engage others, including PISDEF staff, in developing your engagement plan • Gain top management and key leaders commitment to your plan • Appointment of an Advocacy position on campaign committee to spread the word and champion the cause • 2. Develop a year-round communications plan • Reach employees via email, voicemail, intranet, and campus newsletter • Print employee testimonials in campaign newsletter or intranet • Report progress throughout the year
Best Practices to Engage Through Advocacy • 3. Get information and inform others • Hold employee awareness events during 30 minutes of campus time for employees at all levels on all shifts to educate on issues that are important to your organization. These meetings must be optional. • Recruit employees who are willing to share their personal experiences with fellow employees during employee meetings and in campaign materials . • Keep the principal/director involved at every step.
Overcoming Objections Common objections and effective responses: Reflect/Deflect Objection: I can’t afford a PISDEF donation. I don’t make enough money, and I have too many debts. Reflection: “Believe me, I know how you feel.” Deflection: “We’re all fighting the cost-of-living battle, and it gets harder everyday. I felt exactly the same way when I filled out my pledge card. But then I realized that, if things are hard for me, think how hard they must be for those in need.”
Overcoming Objections Common objections and effective responses: Reflect/Deflect Objection: “I’m feeling pressured into giving to PISDEF – so much so that I’d rather not give at all.” Reflection: “I can appreciate that. Why do you feel pressured?” (Let the person talk and be sure to listen carefully.) Deflection: “No one should feel pressured into giving. PISDEF is based on the concept of voluntary giving. The best, most responsive giving comes voluntarily from informed givers.”
Overcoming Objections Common objections and effective responses: Reflect/Deflect Objection: “I’ll never use PISDEF services.” Reflection: “It’s amazing the kind of reach PISDEF has. You might be surprised.” Deflection: “If you attended summer training, convocation, cultural competency training, you’ve used PISDEF resources. The list goes on. The great thing about PISDEF is that it provides a very practical way to help many different kinds of programs.
