Data Systems Truisms: The first time you collect data in a new system, the data will be bad. It takes three or four iterations to stabilize a data collection process after any change. That said, the Fall 2012 MSDS data could have been much worse! EOTTA Data Webinar

Fall 2012 Data Cleanup – We will call targeted service areas about: • Duplicate records for same child • This is expected for children who move or have multiple assessments in the period • This is a problem when same record is submitted more than once from the same ISD OR when same child is submitted from more than one SIS • Children three or older need exit reason • Children with IFSP more than a year old need an exit reason • If you submitted an Enrollment Date after 10/3, please change it in EOY to BEFORE 10/3 EOTTA Data Webinar
Data Cleanup for Missing Records • Children counted in June but not in Fall • Please submit for EOY with enrollment date before 10/3/12. There is a window with OSEP to amend our state counts – we want to increase the child count • Special request – of the 2060 children active in the June count but not reported in the Fall collection, we would like to get data records outside MSDS for at least 350 of the active records – this will make our percent change < 10% • We will send a spreadsheet and ask you to provide information about latest IFSP date and exit reason • Contact Allan Knapp at allangknapp@gmail.com EOTTA Data Webinar
Special Ed Component for EOY collection • We know the Special Ed component caused troubles • See MSDS Manual for explanation – page 181 • http://www.michigan.gov/documents/cepi/Collection_Details_SY1213_MDE_amended_v1_395820_7.pdf#comp-earlyon Who is responsible for reporting Early On data in MSDS? ISD personnel are responsible for reporting Early On data in the MSDS. Please be sure these people work closely with Early On program personnel to ensure accurate reporting. Non-ISD staff that previously reported their data directly into MICIS must work with their local ISD to get the data reported in MSDS. Children receiving special education services will also need to be reported with the Special Education Component. The Special Education Component may be reported in the ISD record along with the Early On Component or in a separate record reported by an LEA. EOTTA Data Webinar
Heads Up – New Rules Coming • An Early On child three or older must have an exit reason and exit date • Enrollment date cannot be after the count date (program malfunction in Fall count) • If there is a District Exit Date, there must be an Early On Exit Date and Reason • If a PartCAssessment component is submitted, an EarlyOn component must also be submitted EOTTA Data Webinar
Heads Up – New FIELDS Coming for Fall 2013 • Initial IFSP Date • For SEA Notification: • Parent(s) Name • Parent(s) Address • Parent(s) Phone Number EOTTA Data Webinar
