  2. Conference Planning This module has been developed to assist West Virginia Department of Education employees with conference planning. If you continue to have questions about planning a conference, please contact your mentor or division secretary. Financial Questions Who are these people I am inviting? Who do I invite? How do I invite these people? End this module

  3. Financial Paperwork • Event Checklist – this form should be completed and returned to the Event Planner in Room 204. The Event Planner will make accommodations and return all financial paperwork to your office for signatures. For more information about Event Checklists contact: Mary Ellen Walker Extension 53409 mewalker@access.k12.wv.us

  4. Financial Paperwork • Workshop Form – The event checklist will commit the funds to pay for all hospitality needs of your workshop. To commit funds to pay for guest speakers, teacher stipends, and service agreements, you must complete a workshop form of estimated expenses and submit it to the finance office.

  5. Who do I invite? • If you are hosting a large conference, it is always appropriate to invite the State Superintendent of Schools and the State Board members. Other suggestions include the Assistant State Superintendent in your division as well as your executive director.

  6. How do I invite special guests? • To invite the State Superintendent of Schools to your conference, send a letter of invitation addressed to Dr. Steven Paine, Room B-358, or email your letter to dvermill@access.k12.wv.us. • To invite members of the State Board of Education, send a letter of invitation to the members’ home addresses. Also notify the State Board Secretary about the event by emailing vharris@access.k12.wv.us. Download home addresses

  7. State Superintendent of Schools Dr. Steven L. Paine All invitations for Dr. Paine are sent to Darcel Vermillion, Room B-358. Please remember to send the invitation in a timely manner.

West Virginia Board of Education The West Virginia Board of Education is comprised of nine citizens who are appointed by the governor and three non-voting ex-officio members -- the State Superintendent of Schools, the Chancellor of the West Virginia Higher Education Policy Commission, and the Chancellor of Community and Technical College Education.
