Multiple Umbrellas • In 2012, we partnered with the Office of Community Engagement to utilize OrgSync for the Service Management needs for UNTHSC • Issues to consider when adding umbrellas • Who is responsible for training? • How will costs be divided for services that are shared? • Who will communicate OrgSync progress to administration? • Communication amongst departments is KEY

  5. Problem • We’ve had OrgSync for 3 years, but we do not have the amount of student usage we would like. Students sign-up during Orientation, then may not log-in again. • How do we underscore the importance of using the system, especially the additional features we’ve invested in? • How can we effectively explain OrgSync functionality to campus stakeholders now that we have Multiple Umbrellas and various departments on campus utilizing OrgSync?

  6. Plan Nine Weeks of OrgSync Campaign as product “re-launch” • Modified from Midwestern State University • Targeted specific student populations (first year, student leaders, returning students) & campus departments • Tried to identify student needs addressed through using OrgSync

Campaign Goals • Increase active logins of student to OrgSync so that they can be in the loop about on campus events and what organizations are doing on campus • Identify top 3 departments based on website traffic to increase the flow of information via OrgSync • Health Promotion, Financial Aid, CAP • Have an increase in the number of first year students who have OrgSync profiles so they have access to campus organization information • Increase the number of students using tools on OrgSync to stay connected • Increase the use of OrgSync tools to communicate with student organization members

You must have an OrgSync Profile and membership in at least 1 organization. Green Tickets will serve as your admission to the OrgSync Party! Office of Student Development 8:00 am-4:30 pm EAD 116 • Green ticket pick up OrgSync Table 11:00 am-2:00 pm Library 2nd Floor • Prize wheel spin for completed profile and 1 group membership Features Highlighted: Add organization, complete profile Mystery Word • First person to find mystery word gets a cool giveaway! • Hid the word under the “polls” section Features Highlighted: Polls

October 8-12: Most Photos & VideosFeature highlighted: Photos and Videos The student organization that has uploaded the most photos and/or videos of their organization in OrgSync will win! Video entries may be eligible for the Parent and Family Weekend Video Contest. October 15-19: Rock the Polls-Vote for Your Favorite Organization Video Feature highlighted: Polls The top 5 student organization that receives the most votes on the OrgSync Poll will be considered finalists. October 22-26: Most Communication FeaturesFeature highlighted: Communication Tools The student organization that has initiated the most communications (discussions, news & polls) in OrgSync will win! October 29-November 2: Best Website DesignFeature highlighted: Websites The student organization with the best website built through OrgSync will win! November 5-9: Most Events on the Organization CalendarFeature highlighted: Calendar/ Events The student organization that has the most events registered in OrgSync will win! November 12-16: Completed Organization Profile/Portal Feature highlighted: organization profile One lucky organization that has completed its organization profile and portal (including profile picture & welcome) will win! November 26-30: Most Creative Use Feature highlighted: All The student organization that has demonstrated the most creative and holistic use of OrgSync at UNTHSCby the end of the fall 2012 semester will win! Outcomes • Having students sign up at orientation is a successful means of ensuring that each student had a profile • The overall number of log-ins to the OrgSync website for student organizations increased over a 3 day time period • The most involved organizations displayed an increase in involvement over 10 week campaign • The number of events on the OrgSync calendar increased • September 2012 to November 2012 : 41 events • November 2011 to November 2012: 53 events • There was a slight increase of the number of completed profiles so that members could have accurate organization information • 10 week long campaign was too long to maintain student engagement • Decrease in active participation by the end of the campaign • Difficulty finding winners

Implications • Why are students not utilizing this feature as much as our office would like? • What amount of time commitment are our students willing to put towards using OrgSync? • How would the students prefer to communicate with organization members? What are the factors for student motivation outside of the classroom on our specific campus? How can we get students, not just student leaders to use OrgSync on a regular basis?
