Recap from last session - paragraphs • Paragraphs are made up of one main idea. • They have a topic sentence, supporting sentences and a concluding sentence • Using paragraphs in written communication make the text clear and easy to read.
Written communication • There are many different forms of written communication. • What are they?

Written communication • Each form has its own format, style and language use • Need to consider who the audience is • Would you use the same language when writing a personal letter, as you would when writing a job application letter? • Need to consider the form of written communication • Would you use the same language in a txt message as you would in an email?
Format of a business letter • Formal language • Correct punctuation and grammar • Correct layout • Greeting – Dear Mr Smith or Dear Sir/Madam • Opening paragraph – the reason why you are writing. May only be one or two sentences. • Second paragraph – expands on your opening paragraph with more detail • Third paragraph – states what is going to happen and by when. • Close – finish off with appropriate salutation – ‘Yours sincerely’ if you used their name when you greeted them, or ‘Yours faithfully’ if you used Dear Sir/madam.
Activity – write a letter! • Write a formal letter, using correct layout, grammar and punctuation. Use the Layouts for Business Communication booklet for assistance. • Topics to choose from: • TipTop – letter of complaint about a recent bad experience with one of their ice creams. • SPCA enquiring about what is involved to adopt a cat/kitten. • To Horizons Regional Council requesting information on the current status of the Manawatu River water quality • A letter to the PNCC requesting to have your latest parking ticket cancelled. • A topic of your choice • You can make up any relevant details as required (eg addresses, names etc)
Summary • There are many different forms of written communication. • The format, grammar, punctuation and layout differs for the different forms • Need to remember who the audience is and style your writing based on this.
Assignment – essay • Read the assignment carefully. • There are two parts: • Essay plan – due Thursday 22 May • Essay – due Thursday 5 June • Look at the example of an essay plan. • From now – choose a topic that you want to write your essay on. Must be health or science related. • Start researching your topic, keeping good records of where you get your information from – APA referencing is required.
