  2. Agenda • Daily and weekly time and attendance tasks, such as: • Editing Timecards • Fixing unpaired punches • Entering non-worked hours (sick, vacation) • Reviewing punch edit approvals • Closing a pay period • Running reports

  3. Tour of the Site Manager You perform most daily tasks from the Home tab and manage teammate profiles from the Employee tab. Perform tasks by clicking buttons (also called “widgets”). A red number on a button means there is something for you to read or do. Buttons for related tasks are grouped under menus or “task flows.”

  4. Daily Overview Click the Daily Overview button to see the shift schedule and punches for the current day.

  5. Daily Overview You can change the date here. Hover over a warning icon to see the punch exception message, such as “Long Meal.” Click the name of a teammate to view or edit the teammate’s timecard. The Daily Overview page displays your teammates’ punches and current status for today.

  6. Edit a Timecard To edit a punch, click in the Time field and type the time. Click Submit to save edits. Use the Call Off button to cancel a shift or the No Show button to log a no-show. Note: To close without saving changes, click Cancel.

  7. Edit a Timecard Click the Audit Reason drop-down arrow, select the reason you made the edit (such as “Forgot to Punch”), and then click the OK button. Important: If you enter a teammate’s punch for today’s shift, you need to tell the teammate to close the Web Clock and launch it again. Each time the you launch the Web Clock, it gets updated information from TmT. Note: All timecard edits and approvals will be done electronically in TeammateTime. This replaces the timecard edit tracking sheet.

  8. Unpaired Punches Click the Unpaired Punches button to view and fix the unpaired punches. Unpaired punches are missing punches. For example, a teammate forgot to punch out at the end of shift.

  9. Unpaired Punches To fix a teammate’s unpaired punch, click the teammate’s name.

  10. Unpaired Punches Locate the time field that is missing a punch time. In the Time field, type the missing punch and then click Submit.

  11. Unpaired Punches Click the Audit Reason drop-down arrow, select the reason you made the edits, and then click the OK button. Remind your teammates to review and approve or reject punch edits. They should refer to their Quick Tips for instructions.

  12. Time Off Requests Click the All Time Off Requests button to view the requests.

  13. Approve Time Off Requests Click the Request Calendar tabto view all Time Off Requests in a calendar view. A list of time off requests that are awaiting approval displays.

  14. Approve Time Off Requests Click the Pending tabto return to the list of requests pending approval. All of your teammates’ time off requests and approval status display in the calendar view.

  15. Approve Time Off Requests To view a time off request, click the teammate’s name.

  16. Approve Time Off Requests Review the request. You can also click the Peer Requests tab to see other time off requests that conflict with this one. Click the Approve or Deny button.

  17. Scroll Down to Reveal Buttons Hover over the down arrow bar to scroll down and reveal more buttons in this section. (Don’t click.)

  18. Approaching Overtime The Approaching Overtime button displays the number of teammates who are approaching overtime for the current week. Click the button to see details.

  19. Timecard Summary The Timecard Summary button gives you access to view teammate timecards and edit punches.

  20. More Tasks Click the More Tasks menubutton to expand the menu.

  21. Non-Worked Hours Click the Non-Worked Hours button. The Non-Worked Hours button allows you to enter pay adjustments for non-worked hours, such as vacation and sick time.

  22. Non-Worked Hours Click the Add Adjustment button. Then click the teammate’s name in the list.

  23. Non-Worked Hours Fill in the form: Job: Select the TM’s job from the list. Type: Select from list, such as Sick Pay or Vacation Pay. Amount: Type the hours. Reference: Select the date of the non-worked hours. Comment: Enter any notes. Click Submit.

  24. Review Punch Edit Approvals • Before closing a pay period, review the status of timecard edit approvals. You need to go into the Core to do this.

  25. Review Punch Edit Approvals Log in to Core and click Punch Edit Approval.

  26. Review Punch Edit Approvals Review the status of all punch edit approvals. The Punch Edit Approval page is read-only for managers. Review the status of each punch edit approval. Click the green Pencil icon to view comments entered by the teammate. Teammates should always enter a comment when they reject a punch. If possible, teammates should approve all punch edits before the close of the pay period. However, if they do not you can still close the pay period; teammates will be paid based on the edited punches.

  27. Close Pay Period Click the Close Pay Period menubutton to expand the menu. The Close Pay Period menu in Site Manager provides a workflow for closing the pay period each week. Important: You cannot close a pay period before the pay period is over.

  28. Close Pay Period: Unpaired Punches If a red number appears, click the Unpaired Punches button and fix the unpaired punches. To close a pay period, you must complete the tasks in the order displayed under the Close Pay Period menu.

  29. Close Pay Period: Run Pay Engine Click the Run Pay Engine button. After fixing all missing punches, the Run Pay Engine button becomes active.

  30. Close Pay Period: Timecard Summary Click the Timecard Summary button. Review the timecard summary. Make any necessary edits to the timecards. After running the pay engine, the Timecard Summary button becomes active.

  31. Close Pay Period Click the Close Pay Period button. An icon on the button will spin while the pay period is closing and data is being exported to Payroll. After clicking the Timecard Summary button, the Close Pay Period button becomes active.

  32. Close Pay Period When the pay period has finished closing, all buttons in this workflow become grayed out until it is time to close the next pay period.

  33. Quick Pay Request & Reports Let’s briefly look at the following in the Core: • Quick Pay Requests • Running Reports

  34. Quick Pay Request Some locations require immediate payment after termination. In this situation, you should submit a Quick Pay Request. Refer to the instructions in your TmT Manager’s Guide.

  35. Running Reports From your dashboard in the Core, you can access a number of reports. Refer to the TmTManager’s Guide for help using reports.
