  11. Studies Process Overview

  12. Key Terms Workbench – Where you see all tasks (Work Items) that you can claim to work on. Workflow Status – This field will show you where in the workflow the Producers are, including the status of any QA/QC steps that are ongoing. Actual Start/End Date–The Manager is responsible for entering when work begins and ends for each task. Failure to enter or update the information will have negative impacts on the EV information reported to FEMA. The Actual End Date for a task can’t be populated until the Producer has completed the task and any associated QA. Projected Preliminary/LFD Date – The Manager must update this date as soon as he/she knows of a change in schedule. This information is utilized by CIS, other FEMA systems, and is used to project KPI progress. Other Ongoing Tasks –Provides the Manager with insight into other tasks going on in the project, so he/she may assess impacts to his schedule. Cost information is not displayed. Leverage – Manager responsible for capturing leverage information, in either units or dollars. Workflow History – Allows the Manager to see who has completed/claimed/performed a certain task. Can be used to determine where a project sits, and whom to coordinate with.

  13. Manage Data Development

  14. Manage Data Development Process Manage Data Development Tasks: • Enter actual cost and schedule information for DFIRM Database • Add information about independent QA/QC of the DFIRM Database • Enter leverage information

  15. Manage Data DevelopmentPre-requisites • Task-specific information • Actual start date / End date • Cost to date • Percent complete • Projected preliminary date (DFIRM database task only) • Leverage Information • Quantity • Type of leverage • Contributed by • Fiscal year

  16. Tips and Tricks Don’t use your Internet browser’s back button - use the navigation buttons in the tool to move forward and backwards. Use this: Not this: Be sure to click Update Status to see the impact of your changes on your project’s CPI and SPI. You can see comments entered by the Producer. They will use the comments field to help coordinate project delivery. Actual end dates can not be entered until the appropriate workflow step has been completed by the Producer. Be sure to click “blue buttons” at the bottom of sections. This is how the MIP captures what you have entered.

  17. Guide Me:Working in Simulations • Simulations are a snapshot of the real MIP • Used to simulate live environment • Walk step by step through process • Does not show the passage of time • Getting started • Active X procedures • Maximize screen to view scrollbars, if necessary

  18. Simulation Manage Data Development Refer to Work Instruction <Manage Data Development.doc>

  19. Manage PreliminaryMap Production

  20. Manage Preliminary Map Production Pre-requisites • Task-specific information • Actual start date / end date • Cost to date • Percent complete • Projected preliminary date

  21. Manage Preliminary Map Production Process Manage Preliminary Map Production Activities: • Enter cost and schedule information to update the EV • Review workflow history

  22. Simulation Manage Preliminary Map Production Refer to Work Instruction <Manage Preliminary Map Production.doc>

  23. Manage Post Preliminary Processing

  24. Manage Post Preliminary Pre-requisites • Task-specific information • Actual start date / end date • Cost to date • Percent complete • Projected LFD date

  25. Manage Post Preliminary Processing Process Manage Post Preliminary Processing Activities: • Update LFD date, as necessary • Enter cost, schedule and percent complete information to update EV • Review workflow history • Review estimated CPI and SPI information

  26. Simulation Manage Post Preliminary Processing Refer to Work Instruction <Manage Post Preliminary Processing.doc>

  27. Manager Review • After entering schedule and cost information, don’t forget to click Update Status • This must be done at least monthly • Actual End Date will be disabled until certain workflow activities are completed for that task and area • Percent Complete may not be recorded as 100% complete until certain activities (i.e., QA) are complete for that task • Projected Preliminary Date and Projected LFD Date cannot be edited after the Producer enters actuals • EV requirements remain in place. Managers must update each task at least monthly. • Failing to enter Actual Start and End Dates in a timely manner will result in poor EV performance for the project.
