  2. CHAPTER OF THE YEAR AWARD SUMMARY OF EVENTS Chapter Membership Survey:There were 18 responses, which is considered good in relation to historical meeting attendance of 20-25 in 2010. Networking is the main reason for joining • Networking and training opportunities are considered the most rewarding aspects of the membership Top topics of interest: • Human Resources/Health/Wellness-scheduled for February • Professional speakers-at all meetings • Technology and software-scheduled for April • Audit/fraud-scheduled for August • Roundtables – GM and software vendor panels • Chapter is considered good at providing education and networking needs of members. • Average membership of current members is 2-5 years. • There were several suggestions for a NFP Charity to support, but no duplications. Sharon discussed the Community Foundation of Sarasota which provides support for several charities. Year end donation will be made to this foundation. • Committees –The Education and Membership Committees were the top 2 choices. • Suggestions were made on the survey for the following: • Be respectful of people’s time, we should have everyone out by 8:00 • Consider having a lunch meeting • Quarterly newsletters Member Survey During the new 2010-2011 Board’s SWOT meetings we felt that the first meeting of the year should address our members to let them know what our plans are, which are to bring the best education, networking and social activities to our members in 2011. We sent out a survey in November 2010 and asked for their guidance. We wanted to be sure that our perceptions and goals matched that of our membership. And the survey said:

We feel that the increase in membership attendance, from an average of 25 in 2010 to 30 in 2011 validated our choice of topics and speakers. We believe that 2011-2012 will bring in an even larger attendance with new topics and more professional speakers added for the upcoming year. But, we also wanted to have fun and give our members opportunities to network. This began with our Board Installation held as a Luau at the Longboat Key Club, the sunset on the Gulf of Mexico was beautiful, the DJ took us all back to our “younger” days, and everyone had a great time which was sponsored by our allied/vendor members who really came through this year as very supportive of our members. Many of our meetings ended by 8:00, but members usually stayed 30 minutes later to network and “catch up”, even though we have networking usually 30 minutes before the meeting! We developed a deeper bond with each other and long lasting friendships.

  4. CHAPTER OF THE YEAR AWARD SUMMARY OF EVENTS TRENDS by McGladrey & Pullen • This is an annual meeting that gives our members the statistical and financial trends of all their clients throughout Florida. • This year the CMAA Gator Region was invited and over 30 participated, bringing a total of 71 attendees, our biggest turnout of the year Game Day at the Rays! • This is the first social event coordinated by our first Social Committee, chaired by Brian Wyles and Christine Fox • The chapter provided funding by purchasing tickets for all members, guest paid for their ticket and it was HAT Day! • A great turnout with 33 in attendance, a fun family day for our members. Most Popular and Well Attended EventsEducation, Social, and Networking All in One!

  6. CHAPTER OF THE YEAR AWARD SUMMARY OF EVENTS Chapter Management Plan • Board member responsibilities: discussed member responsibilities, in particular chapter management plan: reviewed and did chapter self evaluation. Overall chapter score among those in attendance was 83% which is good; it tells us that we did a good job last year meeting the expectations of our members. We did review each section and agreed that we needed to work on some areas in order to take our chapter to the next level of service to our members. • Board of Directors Leadership • Institute succession planfor the board similar to that of other chapters and the International office. We will contact other chapters for their advice regarding succession and transition plans, and review our bylaws. • Chapter/National Identity • The group felt that we needed to provide more information to our chapter about the benefits we have available to us from International. • Awards: we would like to institute a member award program and need to form a committee so we can start the program January 1st. One idea is to award for member recruitment and explore other areas. • Chapter of the Year: it is a challenge that we can fulfill, especially for our size, this would need the formation of another committee. SWOT ANALYSIS October 2010 was a busy month with our officer/board installation quickly followed by a trip to San Diego for the Annual Convention. The board met November 18th. We reviewed both the Chapter Management Plan results and the member survey results. The board was divided among “seasoned board members” and “newbies” so there was lively discussion and a new direction infused by “new blood”. The next few slides will show what we discussed and items in bold red reflected what we accomplished in our first year as a team. The 2011 election results show that the board did have some changes and new faces have joined as a direct result of our efforts to bring in new board members and create a succession plan.

  7. Chapter Management Plan cont. CHAPTER OF THE YEAR AWARD SUMMARY OF EVENTS • Chapter Management • The group decided member recruitment and retention was important and that we needed more member involvement. We decided a member survey was needed which Sharon will coordinate and send out through Survey Monkey. • Communication is the key and we need to improve this with our members, either through e-blasts, newsletter, and website change and follow up phone calls for that personal contact. • It was decided that our January meeting should be a business meeting so we can discuss with our members the survey results, our goals for the year, give them a financial report and set up the required committees. We would like each member to commit to one committee this year. • Reporting and Recording • We will contact other chapters for their guidance on how they keep records, i.e. flash drives, etc. This will be part of the Secretary’s responsibilities to ensure that our records and reporting procedures and done in a timely fashion. • Financial Management • It was decided by the group that we need a budget for this coming year. There are a lot of things we’d like to do and need a comprehensive budget to do it correctly. We may want to start saving for the Regional Conference that we will be sponsoring in the next few years. • It was also decided that we need to update the current QuickBooks license that we have so we can start using it, along with the HFTP Uniform System of Financial Reporting for Chapters and the file created for QuickBooks and Excel. • The group would also like to see a financial at our meetings. • Membership Recruitment/Retention • There was a long discussion regarding the need for the Membership Committee to continue and report to the board at the January board meeting. Larry Robbins was contacted and agreed to serve as Chair of this committee. Jim Dumas, Glenn Price and Brian Wyles volunteered to be on the committee, each bringing a different perspective to the committee, i.e. clubs, hotels, vendors. They will ask for additional volunteers at the January meeting. It will be their responsibility to implement a plan for the membership recruitment drive which will kickoff in February. It will also be their responsibility to work on member retention.

  8. CHAPTER OF THE YEAR AWARD SUMMARY OF EVENTS • Chapter Management Plan cont. • Sharon discussed the partnership with USF-Sarasota/Manatee Campus, in particular with our newest member Cihan Cobanoglu who is a new professor of the Hospitality Management Program. He has already formed a student chapter and will work with us to bring them to our meetings and setting up an intern program. Sharon has already submitted paperwork for her club requesting an intern. She will provide all the members with the documentation needed to do the same. • The CHAE and CHTP were discussed and it was decided that it was a program that we needed to continue promoting and in addition establish a scholarship for our members and the student chapter. We will need an Education Committee, Jim Dumas will be the Chair. The committee will establish the criteria for the scholarship. • We would also like to offer the exam quarterly for our members since we have so many CHAE’s available to proctor the exams. In addition, we will ask Kris Shoemaker to conduct 1-2 study groups to help our members achieve their goals. Kris is from the Mid-Florida Chapter and was recently awarded the President’s Award from the International Board at the 2010 Conference in San Diego for his dedication to HFTP and his significant contributions throughout the year, in particular his participation on the Certification Council. • Communication/Public Relations/Community Involvement • Everyone agreed that communication was sufficient, but we needed to improve upon for effectiveness and find other avenues to communicate to our members. We agreed that a Communication Committee would need to be formed with Karen Stevenson, Secretary, as part of that committee. • We would start looking at ways to “announce” our meetings, either through local magazines, like Biz941, newsletters, links to our website, etc. We would like to create our own website that is available through the International website. We would also like to link from both the international website and the Florida website. Everyone agreed that the Florida website wasn’t substantial enough and we needed to make a change. It will be up to the Communication Committee to make this happen. It is a pretty simple website and has several templates to choose from so it should be “easy” to assign, receive and post information on a monthly basis. It will give our chapter more of a presence and professional source for our members and prospective members to get information about us and link them to International to join our chapter.

  9. CHAPTER OF THE YEAR AWARD SUMMARY OF EVENTS • Chapter Management Plan cont. • Sharon spoke of the Chapter of the Year and Chapter Choice that is available to us. Chapter Choice in particular can be member service based or community-charitable based. The Chicago Chapter won Chapter Choice; they were the only chapter to have a presentation before the Leadership Summit this year. We would like to see our chapter compete this year for this award. Therefore, a committee will be formed to tackle this objective. The group felt that the more the membership became involved in activities the better chance of retaining our members and making them feel part of the group. We will put out a survey to our members asking for their input on charities they would support and how they would like to do this, either partnering with a local non-profit, or making financial donations. We don’t believe we can take on the task of putting on our own non-profit event, but believe that there are plenty of opportunities to join other organizations in their efforts. • We would also like to look into other local Florida chapter’s fundraising events and support them more vigorously in the coming year, i.e. Mid-Florida and Gulfcoast. • Social Activities • We would like to form a Social Committee. This committee would be responsible for arranging one to two socials per year. In addition we would like to see them bring something fun to each meeting whether through a game, or sponsored happy hour. • Member Responsibilities • Everyone agreed that it was the member responsibilities to participate in the chapter. We will facilitate this by the formation of committees and ask that each member sign up for at least one committee so we can meet all our goals and objectives in 2011. • With member participation we hope to spread the “fun” and help retain members as well as recruit new members by presenting a different kind of chapter, association. There are lots of associations that are in competition for members and it’s our responsibility to ensure they choose us.
