The demonstration runs for approximately 10 minutes and you can pause and restart by pressing the ‘s’ key on your keyboard. The HIPs system is web-based – you don’t need any special software. You simply type the address of the system into the web browser. Enter your user ID and password details and press the login button.
You are now in ‘My Actions’ – a list of things you need to do to progress any of the HIP you’ve requested. • Click on the buttons to see HIPs at each status: • Draft • In production • Ready • Archived
To create a HIP click on Create Pack Select the type of pack you want to create and press OK.
Choose a reference (can be letters and numbers) and select the pack type from the drop down menu.
Now start completing the details for the HIP. Any fields that have * besides them must be filled in as these fields are mandatory.
Once you have typed in the property postcode click on the Look up button. A pop-up screen will appear so you can choose the correct address. Continue completing all the details, remembering all the mandatory fields.
Further down the Create HIP screen, you’ll see some information automatically populates from the property address entered earlier on.
Select who is to complete the property information form and the fixtures and fittings form. If you choose to select Seller then you can email these forms to the seller for them to complete online. Once you have fully completed the relevant details click on Next Page.
Check that all the details displayed are correct before continuing from this page. Select the address you would like pack copies to be delivered too.
You can choose to order both printed and CD copies. • The following forms can be printed for the vendor: • Finance Agreement • Non Finance Agreement • Property information form • Fixtures and fittings form Select MDA Advantage or Initiator to chase the seller for any components.
Enter the retail price you are selling the pack at. Select Yes for financing, or No for upfront payment. Use the Browse button to upload the finance agreement.
You can now get access to the official copies of the register and plan before the pack is ordered. Click here to view the results of the property enquiry search. Click on Order HIP to continue.
This is the main pack details screen. Here you can see all the different components that make up the pack. You can upload documents to form part of the pack, and remove elements that you don’t need in the pack. You progress your pack by completing actions. Possible actions are listed in this column, and we’ll show you an example of each action.
All properties will need a plan. Click on Attach plan to add it.
When you’re in the Attach Plan screen, click on the Draw Property Outline button.
The red dot on the screen signifies the middle of the property. To draw the outline you just click on each corner of the property in a clockwise direction. Once you have finished the outline of the property click on the Finish button.
If you require any additional searches, click on the Order Additional Searches button. If you need to update the seller or solicitor contact details at any point during the process, click on the Seller/Solicitor details button. As you work your way through all your actions, you’ll see more of the components gain a status of Complete. You can view some components once they are loaded by clicking on View.
When you choose ‘View document’, the selected component opens in a different window. This is the fixtures and fitting form.
If you click on ‘Upload document’ you’ll see this screen. To upload a document click on the Browse button and find the saved document. Then click Upload to attach the document to the pack.
This is what you see when you choose to complete a document online. This is the property information form.
You will only see this screen if you choose ‘Seller’ to complete the property information form and fixtures & fittings forms. This will send the ‘Seller’ an email with the login information they require to complete these forms online.
This is what the ‘Seller’ will see once they have logged in to the system. The ‘Seller’ will need to click on ‘Complete Online’ for each of the two forms. Once the seller has completed both of the forms online the system will then automatically attach the forms to their HIP.
Back at the main details screen, you can tell that the pack is ready to go as all components show a status of ‘Complete’
