Year End Process • Deadline is August 1st • Data is shared with the Board • Make sure residents have accepted “Access Agreement” • Simplified process implemented last year • Will not need to submit hard-copy • Will verify electronically
Important Reminders for Year End Process • Make sure completion date is correct in ADS • Integrated programs will not have graduates yet • Save a copy of the data/reports (pdf) • Export data • Full detail • Resident Operative and Defined Category
Steps To Submit Data • Go to “Year End Tab” • Set Current Graduating Class (2009-2010) • Verify graduates • Generate and review reports • Submit the data • View status
Saving A Copy of the Data • Schedule an export of data • Tab-delimited file containing everything entered • All data • Can specify a date range • Found on “Case Entry” tab • Program director/coordinator • Resident can save their own data • Download procedures
Saving/Exporting Reports • On report, there is an icon on upper left for export report • Adobe acrobat • Excel • Word • Word editable • RTF
Transfer Process • New program initiates request • Enter the resident in ADS first • Enter SSN and name • Search database • Indicate appropriate attending, institution and rotation
Recent Changes • Created system for integrated programs (451) • Mappings/procedures same as independent programs • RRC my change – track procedures pertaining to general surgery • Integrated VS – Roles updated to match general surgery (SC, SJ, TA, FA) • Separated major and minor procedures
Future Changes/Updates • Redesigning the user interface • Eliminates pop-up windows • Fresh look and feel • Allow creation of favorites list • Sometime in Fall of 2010 • Will no longer support IE 6 as of July 1 • Mobile website application (iPhone) • Will not be an installed local application
Imaging/Diagnostic Studies • Adding capability to track these studies • 5 Additional categories (abdominal, cerebrovascular, extremity venous, and peripheral artery) • Entered via CPT code – same as procedures – don’t have to be tied to patient • Must select one as credit – all will count equally on reports
ADS Reminders • Make sure information is up to date • Coordinator • Phone number/e-mail • Function to copy CV of faculty at same sponsoring institution • Case log reports for PIF
Case Log Reports for PIF • Insert vascular surgery operative log reports for each year since the last site visit • Reports can be generated from ADS • Log into ADS • On left-hand side, click on “Case Log Reports” • Program level and resident level
