  4. Thought Shower … • In pairs list as many forms of electronic communication as you can!

  5. Learning Objectives • To define and outline the advantages and disadvantages of the main forms of electronic communication. • Draw on knowledge to identify most appropriate forms of communication for business scenario and explain why.

  6. Viewdata Systems Better known as Teletext or Prestel. Advantages: • Some services free to customers • Set up by information providers • Updated regularly and can include adverts. Disadvantages: • It is slow by modern standards • Is not interactive.

Advantages: Immediate passing of information Easy and universal to use Immediate reply and feedback Relatively cheap, although long distance can be expensive Growth in system has made it increasingly flexible Disadvantages: The sender cannot see the non-verbal reaction and so recipient may say one thing and feel or mean another Changes in numbering system can cost UK firms as they have to change signs, letterhead and vehicles etc… No formal record of conversation is kept, so it may be difficult to prove Telephone

Advantages: Cheap, can run on existing phone line Allows graphical and written info to be transmitted Simple to use/no training required, accepts written data so no need to type up notes etc Providing receiving machine is switched on messages can be sent 24hrs a day Disadvantages: It can tie up telephone line There may not be an immediate response or feedback from recipient The quality can sometimes be poor. As a form of communication it does not provide the sender with non verbal communication signals Facsimile - FAX A fax is an exact copy of a message. The Fax Machine transmits info via the telephone line.

  9. Answering Phones & Voice Mail Systems Allows messages to be left when no one is available to receive it in person. Advantages: • Allows contact with people out of working hours as message can be left • Allows the used to filter telephone calls and only answer calls from those they wish to speak to Disadvantages: • People often reluctant to leave message • Messages only received if receiver plays them back • Switches responsibility of communication from sender to receiver, as messages rely on the recipient calling back

  10. Pagers As an alternative to answer phones, pagers can be used to pass on brief messages. Advantages: • Inexpensive compared to other forms of electronic communication • Small and convenient to carry around they usually bleep or vibrate • Require only a telephone to send a message Disadvantages: • Messages are very short, as little as 40 characters • They are not interactive • No acknowledgement from receiver

  11. Video Conferencing Through the use of computer links and closed circuit television, they allow people to hear and see each other and communicate from different locations. Advantages: • Reduced time and expense of business travel as no longer necessary • Non verbal communication can also be assessed by both communicating parties Disadvantages: • Facilities are expensive to install • Require the use of dedicated telephone link to be successful

  12. Homework Activity: E-mail • You learned about e-mail a few weeks ago, so you can give me: • Definition • Advantages • Disadvantages • Make a note in your diary!

  13. In Class Activity … • Task One – 10 mins Word process a table to show the advantages and disadvantages of all the main types of electronic communication. Spell check and proofread your work before printing a hard copy to be marked and put in your folder

  15. Confident … 15 min’s • Task Two You have been contacted to set up a new company which sells tea and coffee direct to small retail outlets throughout the UK and France. The firm obtains its supplies from tea and coffee plantations in Brazil and Sri Lanka, and these are then imported via Bristol where they are processed and packaged. There is a sales force of 35 representatives who work from home. Advise the Board of Directors of the most suitable forms of communication for the company to use to manage their business effectively. Give your reasons to support your suggestions.

  16. Not so Confident … 15 min’s • Task Two You work for a large national company engaged in the production of aircraft engines. The firm has strong links with Italian and French designers and engineers and is currently engaged in a research programme to develop a new engine. Word process a mini report for your employer advising them of the most appropriate methods of communication they need to establish to enable you to work more effectively with your European colleagues.
