Federal Law • Federal law requires that employees paid in full or in part by federal funds must verify monthly that they spent their time on activities that qualify for payment with these federal dollars, as a percent that mirrors district payroll records. • Failure to have 100% compliance in this matter could result in having the grant cost shifted to your general fund budget as a result of an audit finding.
Federal Law • Time & Effort is a requirement for employees paid out of Federal Funds. • Federal Funds: • Titles I, II, III, IV, or V • Special Education funds • IDEA funds • Perkins Vocational funds • Teacher Quality Enhancement [TQE] • other federally funded grants…
Process • Employees receive an email each month if they have new records, records that need to be reviewed, or if they have outstanding prior month records that need to be processed. • Employees should: • Log In with Outlook Username and Password • Verify Percentage Of Pay On Each Grant • Confirm, Change or Reject The Percentage Of Pay • Mid month an additional email is sent to employees who have not completed Time & Effort.
Process Continued • Employees have 1 week from email distribution to complete the process. • At the end of the month an email is sent to Instructional Superintendents, Principals and Department Heads. -This email consists of employees that have not completed Time & Effort reporting. • Employees will be informed by the Principals or Department Head to complete.

Secretary Actions • If employee changes or rejects • A pace form needs to be processed in order to move employee into correct project for future transactions.
REMEMBER THIS IS A MANDITORY STATUTE BY THE FEDERAL GOVERNMENT
