Termination eForm • We will now demonstrate some screen shots of an actual client’s workflow. We have chosen the Termination eForm for illustrative purposes and to demonstrate how the process works. Some other eForm types in ePAF™ include: • Hire An Employee • Editing Existing Job • Submit Leave of Absence
PeopleSoft Login – Here the originator logs into PeopleSoft as they would to use any of the PeopleTools tool set.
Home page - This is the ePAF home page for this user. This allows users to create, view and edit ePAF™ forms.
New ePAF - Here we select the “Terminate an Employee” option below
Select An Employee - Here we use search criteria to look up an individual through the PeopleSoft-delivered search function and select the appropriate employee record.
Terminate Employment Status - In this process, we are only shown those fields and options which are necessary to complete this action. This helps to reduce significantly the number of errors in the process.
Terminate Employment Status - The last step for this page is to insert comments for the permanent record and then hit “Submit”
Termination Process - After filling out the form we are asked to finalize the form by selecting “Yes” or rejecting these changes with a “No”
Form Finalized - This page confirms the action the approver has performed, and indicates the next person in the approval process.
Auto Emails - When a form has been submitted to the next approver an email is sent to their inbox. The next approver can then click the link at the bottom of the email and go directly to the form.
Next Approver Signs In – From the email link, the next approver is prompted to log into the system
Evaluate Terminate Status Change - Once logged in the approver is taken directly to a page where they can evaluate the action.
Evaluate Terminate Status Change - At the bottom of the page the approver can add their own comments to the record and approve, deny or recycle the form back to the initiator, or put it on hold.
Approve The Form - Here the approver is prompted to confirm their action.
Completed Form - The approver sees the “Evaluation Complete” page and a message indicating it has been sent to the next person in the approval process. If the current approver wants to see who is next in the approval process we provide a “View This Form” link
View The Form – The approver can review the information they have submitted or proceed to Form History by clicking on the “Next” button.
Form History - The approver can now see who originated the form, how each approver responded and the work form status all at once. They can also click on “Who can work this form” to find out who is next in the process
Who Can Work This Form - Here the approver can see the four approvers who can review and approve the form at this step.
Other Approvers - The procedure is the same for the other approvers in the process. If someone decides to check on the status of the form they can sign in directly to the system, select ePAF Home Page and choose “View an ePAF”
Other Approvers – The user then selects “View a Terminate Employee ePAF.”
Record Search – The user can search for the desired record using a number of different search criteria
Record Search – The user then selects the appropriate record from the list
Form Contents and Comments – The user now sees the form data. To see the form history the user clicks on the “Next” button
Form History – The user can now see that that the form has been approved, authorized by the final approver and executed to the system
Job Data – …and see that the termination has been recorded in the system.
