Why Volunteer? • Our association relies completely on its volunteers to host home games and tournaments. • Volunteers are imperative to our success in providing home game opportunities to our teams and a pleasant experiences to our visiting teams. • We volunteer for our players to have a great and fun experience with the game of hockey. • If everyone volunteers then everyone has a little bit lighter load.
Login to Dibs • The online Dibs system allows us to track your volunteer points per family. • 1. Enter www.tornadoeshockey.com in your internet browser. • Log in with the username and password you created when registering your player by clicking on “Sign In” in top right corner. • The Sports Engine login box will pop up for you to enter your information in and bring you back to our home page. • Click on the “Dibs” tab (far right)
Claim a Dib Item • The dibs page displays “Available Sessions” at the bottom of the page. • Typically you will see the 2 main categories of Concessions and Game Day Assignments. We add special events as needed to this list such as the Ice Melt Fundraiser. • The top half of the page displays the numbers of dibs you have claimed or completed. • To start claiming a dib, click on one of the categories such as Concessions or Game Day Assignments. • It will display all dibs that need to be filled by date/time/position needed.
Click on the blue text under the “Item” tab. • Next click on “Claim this Dib Item” in blue. • Fill in the mandatory boxes that have a red star by them: Athlete (if you have multiple athletes you can just choose the same athlete every time – this applies to the family no matter which one you pick) • Fullfiller – name of person 14 yrs or older that is volunteering • Fullfiller Email: your email address • Click on the “Claim Dib Item” box in bottom right.
Complete Claim or Cancel • A pink box will appear as it reverts you back to the list of dibs and will indicate a Successful Dib was claimed. • If you click on the Dibs tab at the top right it will take you back to the main screen and now show you claimed a dib. • To also view dibs you can click on the Available Session again and review you dib or cancel it from here. • If you need to cancel, click on the dib item again under the item column. • Then click on Cancel Claim, which is on the bottom right. • Confirm by clicking “Cancel Claim”
Volunteer Positions Available • We offer a wide variety of volunteer opportunities. We also have many experienced volunteers who are more than happy to mentor you! Just ask and we will find someone to help you learn! • Concessions, Gate, Clock, Music/Home Penalty Box, Visitor Penalty Box, Score Sheet and Live Scoring. • Each of these positions must be filled prior to the game start time and it is the responsibility of the team manager to make sure that all positions are filled if their team is on the ice. Managers should monitor if positions are being filled during the week to avoids issues on game day. • Volunteer times start at a minimum of 15 mins prior to puck drop and that is often reflected on the dibs sign up page. It is suggested that you arrive a ½ hour prior to start of the game. Also, if you need assistance to learn the position, please line that up during the week so that someone is there and ready to assist when you get there on game day.
Concessions • There is a very comprehensive instruction manual found in the concession stand and complete instructions on startup/cleanup and each appliance that we use with an explanation on how to operate it. Gate • This position is responsible for collecting fees for league games and league tournaments. The cash box and change are located in the concession stand, please inquire with your team manager if you have questions. • Instructions for deposits and how much cash to leave available for the next game are in the cash box. • A table will be set up outside the rink doors and fees are listed on a sign in the box. Please check family passes; family passes cover immediate family only. Grandparents/extended family must have their own pass or pay the fee. Checks can only be made out for the amount of fees only. • Arrive at rink 30 minutes prior to game time and do not leave until after the intermission between 2nd and 3rd period or until the next gate volunteer has arrived to relieve you.
Clock • This position is responsible for setting the times for periods, penalties, warm ups and intermissions and entering goals & shots on goal. Arrive at the rink 30 minutes prior to game time to get the warm up times set up in the clock. Music/Home Penalty Box • This position is responsible for playing music and opening/closing the home penalty box door. Arrive no later than 15 prior to game start. • There is a computer in the concession stand labeled specifically for music for our association, pick it up from there unless it is already in the box from a previous game. Return it to the concession stand if you are the last game of the day. • Play music when the play has stopped on the ice for penalties, goals, time outs, intermission ect. • You are also allowed to plug in your own personal phone/ipad to play music but please be mindful that we have many ages in our crowd and play appropriate music. Please do not play anything offensive. Think G rated. • Open the door for players on the home team that are serving penalties. Watch the clock to open the door when the player should be released. When a player is serving a major penalty (10 minutes) the player is released after his/her ten minutes are served at the next stoppage of play. Please defer to the on ice officials and score keeper if you are unsure of when a player is to be returned to the ice.
Visitor Penalty Box • This position is responsible for opening/closing the door for the visitor penalty box. Arrive 15 minutes before game time. Open the door for players on the opposing team that are serving penalties. Watch the clock to open the door when the player should be released. When a player is serving a major penalty (10 minutes) or there are coincidental penalties the player is released after his/her penalty is served at the next stoppage of play. • Again defer to on ice official and score keeper if there is question of when to return a player to the ice.
Score Sheet • This position is responsible for completing the score sheet by tracking goals, penalties as indicated on the scoresheet. Arrive 20-30 mins prior to game start. Obtain the scoresheet from the Team Manager. • Our score sheets are located in the hallway leading to the locker rooms and extras are in the ref locker room. • Team managers will have already picked one up and have it ready with rosters on them for the score keeper. Make sure the top of the score sheet with team names, date, time, location, age group ect are all completely filled out. • After the game be sure that both coaches and referees have signed them. Both coaches or their team managers should be given a copy. White and yellow sheets must to be placed back in the file holder in the locker room hallway. Live Scoring • This position is responsible for completing the Live Scoring online for league games. All PeeWee, Girls U14, Bantam, JV and Varsity games should be scored live. It is also suggested that we start learning to live score the Squirt SDAHA games to familiarize ourselves with the process. • The live score computer is also located and labeled in the concession stand, return it back there if you are the last game. Typically this volunteer sits in the perch in the stands as there isn’t a lot of room in the scoring box. You can communicate with your score keeper via text if you need to confirm player numbers or penalties. • Your live scoring must match EXACTLY what is written on the score sheet.
