Department Form Department – Code that the Department will be identified by in Time Track Facility – Identifies the Facility that the department is a subset of Payroll Department –The code that will be displayed in the Payroll extract ERP Department – The department cross-reference in ERP. This value must be a valid ERP Department or transactions using this department will fail to post due to booking errors

The employee’s name is added to the Employees tab of the specified Work Group

Either Employee should have Attendance & Labor reported or should be reported using an Absence record • Non-Work Day – Employee is not expected to work or report hours, but can do so • Not Allowed – Employee is not allowed to report hours on this day • Reduction Sets define breaks for the shift

Payroll SchedulePayroll Periods Weekly • First periods starts on Payroll Calendar Start Date and runs for next 7 days. • All subsequent periods start on the same weekday that the Payroll Calendar Start Dates falls on. Bi-Weekly • First periods starts on Payroll Calendar Start Date and runs for next 14 days. • All subsequent periods start on the same weekday that the Payroll Calendar Start Dates falls on. Monthly • Payroll Calendar Start Date must be on the 1st of a month • First period starts on the Payroll Calendar Start Date and runs to the last day of that month Semi-Monthly • Each week in a pay period is a complete 7 days • The period ends on the last day of the last full week prior to the 1st or 15th • Most pay periods will be 2 complete weeks but some will contain 3 full weeks.

Employee Type – Configuration Employee Type Header – Assign Payroll Schedule General Tab – Main Employee Type characteristics Punch Parameter Tab – Defines Clock in rules and rounding parameters. • In combination with an employee’s shift record completes the definition of Attendance and Labor rules. Holiday Tab – Defines Attendance and Labor rules for Holiday Report Dates.

  37. Employee Type Header Employee Type Header – Assign Payroll Schedule • Assignment required in order to see employees of the Employee Type on the Hours Summary form.

Employee Type – General Tab Default ABS Code – ABS that will be created when the A icon is invoked on the Hours Summary form Labor Posting To ERP – Real Time, After Processing, None Process To Payroll –Unchecked no payroll record is created Remarks Mandatory – An entry is required to save a modified hours record Use Absence Approval System – Checked turns the system on Stop Only Transactions – User enters stop time and the application determines the start time based on the prior punch Combine Labor and Machine Time – Generates a corresponding machine record for each labor record Elapsed Time Data Collection – Unchecked the employee’s time is captured via start and stop transaction. When checked elapsed time entry is used.

  39. Elapsed Time Configuration Process Method – Process hours weekly or on a daily basis. Manual Hours Categorization – Will system calculate hours categorization or will user enter hours type. Allow Alternate Hours –Active with Manual Hours Categorization, allows a 4th hours type that accounts for regular hours over the OT threshold. Collect Attendance Hours – Allows the employee to clock in. Require Attendance Match Labor – Active when Attendance hours are being collected. Daily attendance hours must equal labor hours. Allowed Variance – Active when Attendance must equal labor. When variance with in threshold adjusts the last labor job so daily totals are equal. Submit 40 Hour Week – Submits 40 regular hours when attendance hours are not captured

Rounding Rules Applied if punch is outside the boundary of Grace and Penalization rules. Automation Rules Defines automated aspects of transactions. Complete Week Not Met Rules Defines hours categorization rules when complete week not met.

  41. Automation Rules Auto Start • Clock and Break/Lunch Transaction set separately • Starts the prior labor transaction that was previously auto stopped. Auto Stop • Clock and Break/Lunch Transaction set separately • Stops labor transactions that are running when stop attendance transaction is entered. Max Auto Adjustment between Jobs • Labor start transaction that start within this threshold will be adjusted back to the prior stop. • Will be applied to gaps between Attendance and Labor transactions as well as to Labor to Labor transaction. Auto Fill Gaps • Automatically fills gaps that exist at clock out • Fills with the ERP Fill Code • Generates an exception when gap >= Max Gap

Complete Week Not Met Rules Complete Week Concept • Shift may specify automatic OT or DT on the 6th and or 7th Shift Day. • When a complete week is met the work codes in the shift record are used • When the complete is not met the work codes specified in the not met parameters are applied. Overtime & DoubletimeThresholdsDefines the point where the accumulation of OTE hours in a week begin to categorize as OT or DT. Weekly OT Parameters Specifies complete week rules for the Weekly OT Method. Daily and Weekly OTSpecifies complete week rules for the Daily and Weekly OT Method.

Rounding Parameters The Tolerances for Employee Schedule is divided into 3 categories Grace Periods – Highest Priority Penalization Rules – Applied if the punch time is outside the Grace period with relative to Schedule time. Rounding Rules – Applied if punch is outside the boundary of Grace and Penalization rules.

  44. Hours Definitions Clocked HoursTime that accrues between an In transaction and an Out transactions. Absent HoursUnclocked Hours during Scheduled Shift Hours. ABS HoursAbsent Hours accounted for with an ABS Task code. Booked HoursClocked Hours spent assigned to a direct order or indirect task. Unaccounted For HoursClocked Hours that are not assigned to a direct order or indirect task.
