Feature: Microsoft Dynamics GP 2013 R2 Dashboards Why this feature is cool! In the Reporting Tools Setup window, four new dashboards will now be deployed at the same time as the other Excel Reports. The new dashboards for the Financial, Sales, Purchasing and Inventory series will be in their respective folders with the other reports. These refreshable reports can deployed to a shared network drive, SharePoint or SharePoint Online. Go Back

Feature: Document Attachment – Replace OLE Notes Why this feature is cool! The ability to attach documents to record level notes in the Microsoft Dynamics GP 2013 R2 application has been done as OLE objects. This functionality has been replaced with the Document Attachment Functionality. This functionality will allow users to attach documents to the notes that will be stored directly in the Microsoft SQL Server Database. Since the files are now stored in the SQL Server Database, the data is stored and backed up along with the rest of the Microsoft Dynamics GP data and paths to the files is no longer an issue. Files that are attached to the notes using Document Attach will also be accessible from the Web Client. Go Back

This functionality has been replaced with the Document Attachment Functionality. This functionality will allow users to attach documents to the notes that will be stored directly in the Microsoft SQL Server Database. The Migration Utility runs as a separate application and can be obtained from PartnerSource/CustomerSource. The utility will allow existing users to migrate the files that have already been attached to Notes using the existing OLE functionality into the new Document Attach functionality Go Back
Feature: Document Attachment – Payables Why this feature is cool! The same Document Attachment functionality that was Added to Sales and Purchasing in prior Microsoft Dynamics GP 2013 releases has now been added to Payables Transactions as well. Documents can be placed directly on the Payables Transaction or they can be set to flow from the selected Vendor. These documents can be viewed from the entry window or inquiry window. Go Back
Feature: Document Attachment – Scan Why this feature is cool! The Scan feature allows you to attach a paper document directly into Microsoft Dynamics GP 2013 R2 using an attached scanner. Attaching paper documents with your scanner was a 2-step process before. You first needed to scan the document to get a soft copy onto your computer, then go to the Document Attachment Management window of your choice and attach it. Now, just load the document into the scanner and choose the Scan button on the Document Attachment Management window of your choice, and the document will be scanned and attached in one step. Go Back
Feature: Email or Print any Report in Word format Why this feature is cool! Users will be able to send any form using a Word Template. In the Email Options form, you will now see a .docx option available to send the report. Web Client will automatically create a template for the report when your print the report and choose template option. From that point, you will now be able to send the report using the .docx option. Desktop – you will need to first create the template prior to sending via email (This can be done using the template generator tool). Go Back

Feature: Print Remaining Documents Why this feature is cool! Users will now have the ability to email and print batches or statements in one step. In the batch (PM, RM, SOP, POP) forms the UI will not change; user will simply mark both options to Print and Send Documents in E-mail. Print Receivables Statements form, a new checkbox option will be added stating Print Remaining Statements. Go Back

This now gives the end-user flexibility to send emails based on the actual type of the document; for example you may want to send quotes to a different email address that you send the actual invoice, this now can be accomplished using a simple interface. Feature: Purchase Requisitions - Requester Why this feature is cool! In Dynamics GP2013 R2 Purchase Requisitions lets a user enter a requisition. The requisition ties in with Purchase Order Processing functionality. Navigation is streamlined for the requester to see a requisition status or enter a requisition. And because it’s part of Dynamics GP, the requisition can be routed through a workflow process you create using new workflow functionality. You will only see requisitions you enter. Purchase Requisition is unique because less information is required for data entry: requisition number, date and item description. You can order items from inventory or non-inventory and attach documents to the requisition to send to the purchasing agent. Go Back
Feature: Purchase Requisitions - Purchasing Why this feature is cool! The purchasing functionality associated with requisitions is completed in Dynamics GP 2013 R2. When requisitions are submitted, they will route through the active workflow. The purchasing agent can combine requisitions, link requisitions to open purchase orders or create one or more purchase orders from a single requisition. Setup options allow companies flexibility in how PO’s are created. The purchasing agent can purchase from the navigation list, requisition inquiry or in requisition entry. When they choose to purchase, the purchase orders will be suggested with vendors, item, quantity and costs and the purchase agent can verify or update this information before generating the PO’s. Feature: Purchase Requisitions - Integration Why this feature is cool! Purchase Requisitions tie in with other functionality within Microsoft Dynamics GP. Attachments, using Document Attachment functionality, can be added to a requisition or line, these attachments can flow to the Purchase Order. When Encumbrance Management is enabled, the budget is checked for the requisition line account number and if there isn’t budget available, a warning is given to the requester. A reviewer can later review and approve or cancel the requisition line. The requester can enter transaction dimension codes for the general ledger account using Analytical Accounting. Default reports are added with SmartList favorites, Excel Reports and SQL Reporting Services reports. Go Back
Feature: Workflow Maintenance Why this feature is cool! Dynamics GP now has a new workflow system, utilizing a custom workflow engine based in the GP code. The workflow design experience is now in a GP window, replacing the prior GP Workflow system, and removing the dependency on SharePoint. This system allows users to design workflows, such as approval paths, for documents in Dynamics GP. In GP2013 R2, four workflow types will be available for use in the new system: Purchase Order Approval, Purchase Requisition Approval, Payroll Timecard Approval, and Project Timesheet Approval. Feature: Workflow Types • Why this feature is cool! • With the new workflow system, there will be four workflow types available in GP2013 R2: • Purchase Order Approval • Purchase Requisition Approval • Payroll Timecard Approval • Project Timesheet Approval • These workflow types allow users to create workflow processes around each of the respective document types, requiring the workflow to be completed before defined document processes can be performed. • For each workflow type the workflow status is displayed on the window, as well as workflow controls allowing the user to perform workflow actions against the document. • Other workflow types will be available for the new workflow system in future releases. Feature: Workflow Email Notifications Why this feature is cool! There are two types of email notifications in the new Workflow system for Microsoft Dynamics GP2013 R2: Workflow assignment notifications, and Workflow action completed notifications. With Workflow assignment notifications, users can receive an email notifying them that a workflow action has been assigned to them for a document. This email contains information about the document, including information from the document workflow. The user is also able to perform Workflow actions against the document by clicking a hyperlink in the email. This opens a Web page that allows the user to enter comments, and complete the action. With Workflow action completed notifications, the workflow can be configured to send notifications to the originator and other users when actions are taken against a document. These are set up for a workflow in the Workflow Email Notification Maintenance window. Email templates are configured in the Message Setup window. This window has been modified to include Workflow fields, as well as allow line item information to be included in the message. Go Back
Feature: Workflow Calendar Why this feature is cool! In the new Workflow system for Microsoft Dynamics GP2013 R2, each step in a workflow can be given a time limit which calculates a due date/time by which the task must be completed. The Workflow Calendar allows users to define standard working hours for the company and holidays. This calendar can then be used in calculating the due date/time of a task so non-working days or time does not count against the time limit to complete the task. For example, if a task with a time limit of 8 hours is assigned at 4:00 on Friday afternoon, and the company’s working hours are Monday to Friday, 8:00am to 5:00pm, then the due date/time for the task is set to 3:00pm the following Monday. Feature: Workflow User Delegation Why this feature is cool! The new Workflow system in Dynamics GP2013 R2 creates task assignments for users with a due date/time by which the task must be completed. Users have the option to delegate task assignments to another user on a task-by-task basis. If a user will be out of the office for an extended period of time, the system also offers the option to set up automatic delegations. Task assignments can be delegated for all workflow types, or different delegates can be defined for tasks for each workflow type. If a task is assigned to the user while he or she has turned on the automatic delegations, the task is then automatically delegated to the assigned delegate. Go Back

With the new Workflow system in Microsoft Dynamics GP2013 R2, Workflow History provides a way to view and track the workflow of a document, providing an audit trail for the document. The history includes all actions that have been taken for the workflow, and any action that is pending. It shows the who, what, when, and any comments associated with the action. Go Back

Feature: Employee Self Service Timecard Entry Why this feature is cool! With Microsoft Dynamics GP2013 R2, employees and managers can now enter time and attendance through Web Client or the Desktop Client. You can use the Time Management area in your Home Page to view summary information, quick navigation to common tasks, and viewing the most recent activity for timecards. Your company must be using the Workflow feature to approve timecards before employees can be paid. The rules for approving timecards can be defined to fit your organization’s needs. Go Back
