Welcome Welcome! An assignment request is created by an assignor to initiate the electronic assignment of a registered interest to another party called the assignee. To begin the electronic assignment process, a valid surface disposition activity is selected by the assignor. An assignment request should indicate the assignor/assignee, new service address and email address (if other than the default).The request may or may not require reviewer approval within the company depending on the role(s) assigned to the individual creating the request. Create Assignment Request - Introduction • In this module, you will learn how to create an assignment request by using the following tabs in logical sequence: • Activity Tab • Assignor/Assignee Tab • Service Address Tab • Email Tab • Status/Warnings Tab
Create Assignment Request - Activity Tab More Information (Pages 5 to 12) The Activity tab displays the activities that are being assigned to another party. The activities shown are the ones selected from the Activities Found screen. You can delete or add new activities to include in this assignment request.An Assignment Request number will be assigned by ETS when an assignment is saved. Ensure you note this number, as you will need it to access the assignment request through the Work In Progress (WIP) screen. Click on More Informationto view how to add/delete activities and save assignment request. • Assignment Request - The Assignment Request Number will show on the header if the request is successfully saved. • AssignmentRules - Click this hyperlink if you want to view the Electronic Assignment Business Rules document.
Create Assignment Request - Assignor/Assignee Tab More Information (Pages 14 to 16) The Assignor/Assignee tab identifies who the assignor is for the activities and who the assignee will be. Assignees may be removed from the tab while the assignment is at work in progress. Initially the assignee grid will be empty. The intended assignee client should have an existing ETS account in order to have a valid assignment request.The Add Assignee button will open the Find Client screen, which enables you to select the assignee.Click on More Informationto view how to add an assignee. • View Assignment Document - The Assignment Document hyperlink opens the Original Assignment Document (PDF). It is available on all tabs. • AddAssignee - Add Assignee button opens the Find Client screen where you can select the assignee. • ReviewerApproval - Depending on your role(s), the action button could change to Reviewer Approval Approve or Submit. This button is available on all tabs.
Create Assignment Request - Service Address Tab More Information (Pages 18 to 20) The Service Address Tab enables you to assign a new service address for all activities in the Assignment Request.The message at top of screen will say NOTE: NEW SERVICE ADDRESS WILL BE RESPONSIBLE TO PAY ASSIGNMENT FEE INDICATED. This message is meant to make the creator aware that whom they indicate as New Service of Address will be required to pay the fee.The New Service Address can only be changed to the Assignee indicated on the Assignor/Assignee tab.Click on More Informationto view how to insert new service address. • Ellipsis - The ellipsis(...) button opens the Find Client Screen where you can select the client. • CopyDown - Use the Copy Down button to copy the client service address for all activities. • Clear - Clear button will clear the Service Address field to “blank”. To remove the New Service Address, go to Find Client screen and click on Select Blank button.
Create Assignment Request - Email Tab More Information (Pages 22 to 24) The Email tab allows the users to insert a specific email address that should receive the email requesting concurrence to an assignment request. If an email address is not specified then an email message will be sent to clients with the concurrence role who are part of this assignment. The default email address is associated with the individual/client account that the Site Administrator had set up.The email recipients can access the request using the Work In Progress (WIP)screen.Click on More Informationto view how to insert an email address. Create Assignment Request - Status/Warnings Tab More Information (Pages 26 to 29) The Status/Warnings Tab displays the status information about the assignment request. Any applicable Client Errors/Warnings will also be displayed on this tab as well as on the other tabs.Client Errors will be displayed after the request is validated. Errors will stop the Creator from proceeding further until errors are corrected. The assignment will then require revalidation.Client Warnings will be displayed after the Validation Process. Warnings will not stop the Creator from proceeding further.Click on More Informationto view how to display the status/warnings. • Client Errors - Any applicable client errors/warnings are displayed at the top of the screen. • InitiatedBy - This is where you can select the individual/company who initiated the request. • Comment - Enter brief information about the assignment request. Comments are displayed on the Work In Progress screen. This information is helpful in identifying your assignment.
