  5. Testing Breaks The amount of time listed in the previous table is approximate. Students are to be given as much time as they need to complete the test, but it must be completed within the same school day it is begun. Whatever time your testing group completes Session 1, the students are to be given a 10 minute break. They should close their test books (and place their answer sheets inside their books if they are in grades 4-11). The testing room must be locked during the break. Make sure your students are quiet as they walk to the break area. Other students may still be testing. Students must be told beforehand that they are not to discuss the test and they must be monitored during the break. Schools should provide nutritious snacks to the students during the testing breaks.

  6. WESTEST 2Secure Materials Test booklets and answer documents are secure materials. Both must be counted and signed for each time they are checked out and in.

  7. Preparations in Advance Principal and building level coordinator must determine how students are going to be grouped for testing. Recommendations: Group students together who typically take more time; pull out students who are typically disruptive and test them in smaller groups. Review the WVS.326 test accommodations report for accuracy. It should match the IEPs. Contact the case manager if changes are needed. If changes are made, print a corrected WVS.326.

Preparing Students for Testing • Science and math teachers should provide practice for students using the reference sheets. • Periodic Table of the Elements (Grades 5 – 11) • Science Reference Sheets (Grades 7 – 11) • Mathematics Formula Sheets (Grades 9 – 11) • Students are allowed to have copies of the reference sheets now. New copies will be provided during testing.

Preparing Students for Testing • Ensure all students are familiar with both the general types of questions on the test and the procedures to follow when recording the answers. • Third grade students mark their answers in the test booklets. • Fourth through eleventh grade students mark their answers on a separate bubble sheet. • Teach students in grades 3 – 11 how to mark the gridded response answers for math; grades 6 – 11 must change mixed numbers to improper fractions or decimals. This must be practiced before testing.

Materials Needed by Examiners • Examiner’s Manual • Calculators (allowed on all parts of the math and science tests) • Rulers (Grades 3, 4, 5, 6, 8, 10, and 11, during math test) • Mathematics Formula Sheets (Grades 9 – 11, during math test) • Science Reference Sheets (Grades 7 – 9, during science test) • Periodic Tables (Grades 5 – 11, during science test) • Graph Paper • Scratch Paper • Testing Irregularity Sheet • Pencils and Erasers • “Do Not Disturb” Sign • Testing Group Roster of Students • Examiner’s Security Checklist (New for 2010) • Student Test Booklets (Grades 3-11) • Answer Documents (Grades 4-11) • WVS.326 Testing Accommodations (if applicable)

During Testing • The principal/building level coordinator will monitor testing rooms to ensure that proper testing procedures are followed. • Test booklets and answer documents will be checked out each day and checked back in immediately after daily testing. The School Security Checklist will be used to log the transfer of testing materials back and forth between principal or building coordinator and examiner.

  13. Damaged Test Materials Examiners must inform the principal/building level coordinator immediately if a book or answer document is damaged. The Principal/Building Level Coordinator will obtain non-damaged material from school overage or from county test coordinator • Student responses must be transcribed to a non-damaged test booklet or answer sheet. • The scribe must complete a WESTEST 2 Scribe Verification Form. • The principal/building level coordinator will complete the student information on the Bio-Grid in the new test book (grade 3) or answer document (grades 4 – 11).

  14. Damaged/Contaminated Test Booklets/Answer Documents • If test materials are contaminated, follow safety precautions when handling them (i.e. rubber gloves, mask). • Seal contaminated booklets and/or answer documents in a plastic container/bag after transcribing. • The damaged or contaminated materials must be returned to the county test coordinator. • Never destroy or throw away any test booklets or answer sheets.

  15. Scenario Mary attends public school and her teacher, Mrs. Brown, is also her mother. Mrs. Brown administered the test to her class. Is this ok?

  16. 3.16.Examiner. An examiner must be a currently employed educator and/or an approved employee of the state, county or RESA, or a currently employed educator of a nonpublic school who holds a valid West Virginia teaching license or certification granted by the Office of Professional Preparation. The examiner may also include substitute teachers or aides serving as an examiner for special needs students when they are instructionally assigned. All aides and nonpublic school educators must be approved by WVDE. Student teachers may not serve as examiners. The examiner must have been trained and must have on file a signed Examiner’s/Scribe’s Secure Materials and Test Procedures Agreement for the purpose of administering or assisting with the administration of an assessment included in the WV-MAP. Examiners may not administer WV-MAP assessments to his/her child.

  17. Scenario On the morning of testing, the Grade 3 Examiner has a medical emergency and cannot be at school. The principal decided to have an experienced kindergarten aide administer the test to this class. Is this ok?

  18. 3.16.Examiner. These aides may serve as an examiner for the special needs students to whom they are instructionally assigned. All aides must be pre-approved by WVDE.

  19. WESTEST 2 requires standardized testing conditions.

Instruct students to cover their answers and monitor to make sure they do. • ensure relevant instructional materials are not displayed in the testing area. • provide an environment free of distractions: intercoms, cell phones, pagers, watches with alarms, etc.

Standardized Conditions RequiredPresentation • Instructions in the Examiner’s Manual must be followed precisely. • Instructions in shaded areas and preceded by the word SAY must be read verbatim. • Instructions for use of calculators on all sessions of the Mathematics and Science tests must be followed. Pages 26-27 of the Examiner’s Manual contains information on calculator use and types of calculators that are allowed and prohibited.

  25. Standardized Conditions RequiredPresentation • Examiners must monitor testing at all times. • Irregularities affecting two or more students must be reported immediately to the principal/BLC and must be recorded on the testing irregularity form.

Standardized Conditions RequiredResponse • Students in Grade 3 will indicate their answers directly in the test booklets. • Students in Grades 4-11 will indicate their answers in Answer Documents. • Examiners must show examples of the proper way to fill in the Answer Document for both multiple-choice and gridded response items. • Students must make clean erasures and write answers in the space provided.

  28. Standardized Conditions RequiredResponse • Highlighters, markers, colored pencils, and pens are not to be used in the testing process. • Students may use #2 pencils to fill in graphic organizers, underline key words, or complete problem solving techniques in the test booklets.

Standardized Conditions RequiredTiming • The WESTEST 2 content area tests are not timed. • All sessions of a content area test are to be completed on the same day they are begun. • Follow the county testing schedule. • The test should be given at the beginning of the school day to help maximize student performance and to allow plenty of time.

Standardized Conditions RequiredTiming • Students who typically take longer to complete tests should be grouped together. • Students requiring additional time must be accommodated. • Additional time must not result in an opportunity for the student to study information on a test already started.

  31. Standardized Conditions RequiredTiming • A 10-minute break must be provided between Session 1 and Session 2 of each content area test. Students must be monitored during breaks. • When breaks are given, test booklets and answer documents must be closed and all test materials must be secured. • Students should be instructed not to discuss the test during scheduled breaks and upon completion of testing.

  32. Options to Standardized Setting • Individual, small group, or different class testing may be provided. • Adaptive furniture may be provided. • Special lighting and/or acoustics (such as a microphone and speakers) may be provided.

  33. Options to Standardized Presentations • Color visual overlays may be used. • Visual magnifying equipment may be used.

  34. Options to Standardized Response • Templates (e.g., a typoscope) may be used to maintain place. • Audio amplification equipment may be used. • Place markers may be used.

  35. Options to Standardized Response • Scratch paper, graph paper, line guide, slate, and/or abacus for computations, alignment, and note taking while reading and responding to questions is permissible in all content areas. • A scribe may be used when a short-term medical condition (e.g., a fractured arm in a cast) precludes the student from writing with the dominant hand to mark responses. Prior approval must be obtained from the county test coordinator.

  36. Graph paper, scratch paper, and any additional allowable reference sheets that are given to the students to use during testing are considered secure material. Examiners are to collect them and count them to verify that all have been collected from the students before the students leave the testing room. This is to prevent students from writing secure information on the paper and carrying it out with them. These papers must be collected and destroyed by the Principal/Building Level Coordinator at the end of each testing session.

  37. Make-up Sessions • The Principal/Building Level Coordinator is responsible for scheduling the time and place for the make-up sessions and for assigning an examiner to administer the make-us tests. • All test security and test administration procedures must be followed before, during, and after each testing session. • Follow all scripted directions during the make-up sessions. • Give the students all scheduled breaks and monitor during breaks.

  38. Preparing Students to be Tested • Ensure all students are familiar with both the general types of questions on the test and the procedures to follow when recording the answers. • Remind students the day before the test to bring appropriate activities to work on when they complete their tests. • Have quiet activities prepared for those students who forget to bring their own. Activities must be unrelated to that day’s testing.

  39. Several DaysPrior to Test Administration • Read your examiner’s manual well in advance of testing. • Read the Examiner’s Administration Checklist. • Ask your principal or building level coordinator if there is anything in the manual or on the checklist that you do not understand.

  40. Day of Testing – Before Test Administration • Check out your testing materials • Ensure you have a copy of the Test Examiner’s Manual, as well as manipulatives, reference sheets, calculators as needed for each student. • Check each test booklet (Grade 3) or Answer Document (Grades 4-11) to verify that it has a pre-coded student label. If there is no pre-coded label and the Bio-Grid is blank, contact the Principal/Building Level Coordinator.

  41. Day of Testing – Before Test Administration • Transfer student names from the labels/bio-grids to the Examiner’s Security Checklist if this has not already been done. Make sure the student’s name is written on the Security Checklist on the line that corresponds to the barcode number of his/her test booklet. During testing, you will mark the Examiner’s Security Checklist to show that books / answer sheets were checked out to the student and back in upon completing the test session. • On the front cover of the test booklet, leave the student name and teacher name lines blank. Students must complete this information. • Place a Do Not Disturb sign on your door. • Instruct students in grades 4-11 to mark the bubble beside “Operational” on the answer document. If a breach form must be used, the principal/blc will provide directions.

Preparing Manipulatives • Mathematics punch-out rulers for grades 3, 4, 5, 6, 8, 10, and 11 are provided with the testing materials and should be prepared prior to the day the mathematics test is administered. • Students may also use personal rulers or calculators, as long as these tools do not display formulas, hints, or information that could be used to answer test questions. • Mathematics Formula Sheets (grades 9 –11), Periodic Tables (grades 5-11) and Science Reference Sheets (grades 7-9) are separate from the test booklets and must be distributed with the math and science tests, as applicable.

  44. Preparing the Classroom for Testing • Clear desks and work areas of all booklets, papers, and other materials. • Ensure that NO information pertinent to the test being administered is displayed in the classroom during test administration.

  45. Preparing CalculatorsRead pp. 26-27 of the Examiner’s Manualfor detailed information • Any 4-function, scientific, or graphing calculator may be used unless it has features described as prohibited. • For models permitted with modifications, the examiner is required to modify the features. • If a graphing calculator is on the permitted list, all types of memory—including standard memory, ROM, and flash ROM—must be cleared to factory defaults both before and after testing. • Any programs or applications must be removed prior to and after each testing session.

  46. Preparation of Test Booklets On the test booklet cover for grades 3 through 11: • during the first test session, ensure each student prints his/her name on the front cover of the test booklet. • ensure each student prints the examiner’s name on the line provided each day.

  48. For 3rd grade students, the student label will go on the front cover of the test booklet. For 3rd grade students who do not have a student label, the Principal/Building Level Coordinator will fill in the information on the bio-grid which is inside the front cover of the test booklet.
