History • Initial “Printopia” Lean Team formed in 2010 to address challenges: • Numerous suppliers/invoice problems • 1,600 copiers/16,000 printers • No standardization • Unmanaged devices • Paper reduction mandate from state • Obsolete toner cartridges • Energy costs • RFP issued 2012 • Contract awarded to Ricoh Feb. 2013

  3. UW Goals • Reduce number of devices on campus • Reduce environmental impact • “Hard” cost savings by leveraging UW’s volume • “Soft” cost savings by simplifying process • Strategic relationship with single supplier • Campus-wide program

How the Program Works • Contact MPS team  MPS website • Set up time to perform assessment of printing/copying environment • Gather data • Ricoh sends proposal based on assessment • Dept reviews proposal • Dept signs order form (4 year term) • “Cost per copy” program – no more leases • Bill monthly through ISD process (no p.o.)

Benefits to Campus Departments • Lower cost over traditional lease (25% savings) • Standardized models • Ricoh manages devices • No more obsolete toner cartridges • Simpler process – no P.O. needed! • Fewer devices to manage (consolidation) • Improved data security • Flexibility to make changes if situation changes

  6. Progress Made • MPS Website • Intake process through website • Billing process through MPS – no need to create PO’s • 50+ department assessments completed • 180 devices placed • Measurable “hard” cost savings of 30%
