Consignments at the Cupboards • Pick Ups • Pick up from March 17-22 only • Booths must be reserved • Only one open consignment order per troop • Select Cupboards only • Whole cases only; 10 case maximum order, place a pending order as usual; note in the comment section “consignment” • Returns • Can return to the box level, not to exceed the original consignment order • Return date set by Cupboard Manager, or NLT March 25 • No late returns Cookies 2014

Initial Order Instructions (Pages 21 – 24, Troop Guide) • By January 20, make sure all paperwork has been turned in to your SUCC so you can be invited into eBudde. • January 22 – 24, set up your troop, verify banking information, add Contacts, add/edit girls (for ease in ordering, complete this step early!) • By February 9, Troops must enter and SUBMIT I/O by 11:30 PM • Auto Roundups are automatic, not a separate step. • Initial Orders are entered for each girl in boxes. eBudde will automatically round up your troop’s order to full cases for delivery day. • Make sure to include a booth sale order to avoid lines at the cupboard! • Choose preferred delivery time on Delivery tab.   22. Initial Order Delivery (pages 25 – 26, Troop Guide) Be on time for your pick-up! If you bring more than one vehicle, arrive together. Bring a print-out of the order from eBudde to the delivery station. Count, count, count everything before you load your vehicle and sign your receipt! Do notseparate girl orders at the delivery station! Do notstore product in a car, direct sunlight, a garage, on a cement floor, porch, patio, or in any warm place! Do separate girl orders before notifying families that product is in. Prepare an M-3 receipt for each family picking up product. Distribute girls’ money envelopes with their product. KEEP ALL SIGNED RECEIPTS!! Cookies 2014

Safety Tips (page 27, Troop Guide) • Follow all guidelines in Safety Activity Checkpoints and Volunteer Essentials (available online) • Collect money only when delivering cookies • Internet—cannot collect money, but may use social networking, email and promises through LBB’s Cookie Club. • Adult supervision at all times. • Do not carry large amounts of cash. • Remit cash & checks to the troop promptly & frequently. Booth Scheduler • Troops choose and schedule their own booth sale shifts online. • Compare your calendar to available shifts and reserve! • Know what your boothing schedule is immediately. • Cancellation is a click! - Just sign into eBudde, click to release the shift, and you are done. • The cancelled shift immediately shows up as available to other troops! • Council-wide boothing opportunities for everyone! • Limited to their home service unit for first round of sign-ups. • Real-time data into the LBB Cookie Finder and mobile app • Allows customers looking for cookies to find your booth from the listing. How does the Booth Scheduler work? • First round -- sign-ups are limited to the home SU. • SUBCs will monitor the sign-ups and report any out of area reservations. • Open/close time is always 6:30PM • First three rounds will be completed prior to initial order being submitted so that troops’ initial orders will INCLUDE an initial booth order.   26. Boothing Guidelines (Pages 30 – 33, Troop Guide) • Boothing is a privilege. Respect each other and host businesses - uphold GS Promise & Law! • Ask customers on the way out only and thank everyone! • Two adults required, no more than four girls (recommended). • Do not leave any trash (including cookie boxes) at the booth site. • Be sure to thank the site manager. • Conflict? Problem? You are the face of Girl Scouts! Settle disputes away from girls and customers and be respectful and considerate at all times. Contact your Boothing Chair or PSM. • Out of council girls selling in LA? Get a troop #, name, and report details. There are consequences for breaking rules. Cookies 2014

Successful Boothing • Girls should know: • How to approach customers with their Cookie Pitch! • Cookies offered and the price ($4 per box or 5 for $20!) • How to behave at a booth site (wear uniform and no goofing off!) • About the council-wide Gift of Caring Program! • What the troop plans to do with their proceeds! • For Adults: • Make sure all adults picking up cookies are listed in eBudde. • Be familiar with Safety Activity Checkpoints and boothing guidelines. • Adults may assist, but cannot sell cookies! • Bring cash box & change, Troop eBudde confirmation, GoC receipts, boothing kit (available from your SUCC). • Method to track sales (utilize Booth Sale Recorder App!) • Make sure to release shifts you cannot attend! • Teach girls selling strategies & how to improve their Cookie Pitch each time.   28. Accepting Credit Cards is Easy (Page 33, Troop Guide) • No cash? No problem! Troops may accept credit cards for cookies. • Troops choose their own service provider. • Troops research and partner with a company that offers superior service, free hardware and a reasonable rate. • Troops that accept credit cards have a 25 box PGA higher than average. • Troops accept credit cards using a smart phone & credit card reader. • Authorize transactions in seconds. • Funds are deposited directly into troop accounts. • Transaction fees may apply. • Data charges may apply depending on cellular contract.   29. Corporate Booths Locations are in DTLA, Long Beach, Woodland Hills, Burbank, or on Westside (during business hours). Buildings are council exclusive; troop cannot reserve. Requires a high degree of maturity, experience & organization. Girls must be in uniform, and follow the building’s requested code of conduct. Need 3-5 girls and 2 adults; cannot leave it unattended. Cookies are delivered to approximately 50% of sites. Unsold cookies can be returned to the cupboard. Booths are assigned via ‘Corporate Booth Application’ Coordinated out of Marina Service Center, but this program is open to all troops, especially with the more diversified locations.Older girls given preference.   30. Cupboards • Find cupboard locations and schedules on the GSGLA website www.girlscoutsla.org – Cookie Central • Cupboard days/times differ at each location, check before you go! • Place a “Pending Order” – 48 hours notice is preferred • Troops should not contact the cupboard manager unless a telephone number is listed. Cupboards are not staffed to handle telephone calls and/or emails. • Cupboard customers should remember that most cupboard managers are volunteers, too, and should be treated accordingly! Cupboard Policies General • Whole case quantity until March 6; then to the box until the end • Troops may pick-up product at any GSGLA cupboard • Pending Orders in eBudde are strongly suggested/requested • 48 hr in advance; pending order is not a guarantee; deleted 2 days post • Names MUST be entered in eBudde to be authorized to pick-up cookies • Authorized contacts should be prepared to show ID Exchange Policy • Damages are exchanged for like product only • February 27 – March 19 only! • At designated cupboards only. Check before you go! • Place exchange pending order to speed you through Cookies 2014

Tracking Sales (Page 38, Troop Guide) • Initial Orders are FINAL and cannot be changed. • Do not input I/O under a girl’s name unless they have real orders for those cookies. • Do not add a girl until they have participated for accurate PGA. • Enter first and last name for each girl. • Utilize booth sale order line for extra - do not make up names. • After I/O, cookies (from cupboard, roundup or initial booth sale) must be allocated back to girls to receive proper credit. • TCCs SUBMIT recognitions order in eBudde. • Troop-to-troop transfers entered only by troop releasing the cookies. Gift of Caring Partners (pages 39 – 40, Troop Guide) • Los Angeles Regional Foodbank • Distributes to 100+ LOCAL food banks • Bob Hope Hollywood USO at LAX • Hospitality Suite for arriving/departing service men & woman • Operation Gratitude • Send care packages to those on active duty in conflict areas • Blue Star Mothers • Hospital visits, care packages • Goodwill Southern California • At-risk youth mentor programs In 2013, over 140,000 boxes were sold 389 girls had 50+ GOC, but 21,603 girls had no GOC sales 73% are not selling GOC – we need to fix this! Cash Handling (Page 42, Troop Guide) • Girls’ Monies: • Girls must be registered and have a Parent/Guardian Permission & Responsibility Agreement on file with the Troop Leader. • This protects the TCC by assigning additional financial responsibility. • Customer checks payable to Troop ____, not the parent. • Do not accept one check from parent. Parents DO NOT deposit into personal accounts to remit to troop. • Collect money when delivering cookies (GOC is exception). • Girls should hand in money at every opportunity. • Accept credit cards via a smart phone app to get the money where it needs to be safely and securely. • Financial literacy means learning how to handle money, while staying in control because they have planned for contingencies. Cash Handling (Page 42, Troop Guide) • Troops’ Monies: • Deposit money into bank account promptly & frequently. • Use receipt books for ALL transactions/record payments in eBudde. • Debit is pulled from the info in eBudde. Routing # is 9 digits, starts with 1,2, or 3. Account # is 2nd set of digits. Be a Money Management Super Hero You have plans on how to sell cookies, but real business people know they need to plan for every detail, including how to control the flow, security & ethics of money. Debt Management (pages 43 – 44, Troop Guide) • Payment Policies • $300 parental credit limit for bad debt • Troop cannot not collect (i.e. “they didn’t turn it in”) • Girl order should have a customer behind it • Troops responsible for NSF fees caused by negligence • Troop knows due dates • Troop knows amount due • Troop cannot claim we took the funds w/out authorization, caused the NSF • Troop Chair agrees to “managing my troop’s Cookie Program including all sales proceeds and ensuring that the funds are deposited into our troop account by the deadlines outlined” • Like any mortgage or bill, proceeds are due on the dates specified Cookies 2014

Final Wrap Up • Complete Troop-to-Troop transfers. • Allocations for proper girl counts – use the Booth Sale Recorder App to streamline. • Finalize girl recognitions – enter sizes, or make choices, if applicable. SUBMIT when ready. • Payments to Council are “automatic” – on the calendar – must email PSM for payment issues • Troops must take ownership of their obligations, pay on time and deliver Discrepancy Reports on time. • Girl and troop recognitions are delivered to Service Units May/June.
