INFOTEK 2009 • Date: October 28-30, 2009 • Venue: Embarcadero • Format (Focus on the 4 components of the IT Scorecard) • Funding Sources/Support (solicitation-consider the 3 Congressmen, sponsorships – classification (star sponsors): Embarcadero – Co-presenter) • Participation Fee : P 3,500.00 • System of Payment – Cash, check – payable to Albay ICT Association, Inc. • Modules : rent – polysystem • Participants (exhibitors – 4 Scorecard components plus BPOs) – as ID during previous meeting • Invitation package (folio or jacket) – ok Major Concerns:

Event Coordinator (Rose/Dindo) Responsibilities: • Over-all coordination and management of the entire activity. • Monitor the status of implementation of the tasks assigned/given per work group • Inter-agency linkages and contacts INFOTEK 2009
Secretariat (Nievz, Dr. Amie Dorosan, Ellen, DTI) Responsibilities: • Prepare all correspondences/letters of invitation, requests, solicitations, sponsorships, etc. • Inventory of prospective participants • Send invitations to participants, confirm and follow-up (1 week to confirm) • Invite, confirm and follow-up of guest speakers during opening and closing ceremonies • Prepare Ingress/Egress/Monitoring Forms, Participants’ Profiles, etc. • Prepare Application Forms • Prepare certificates, plaques and tokens, corsage and leis for guests • In-charge of the ribbon cutting during the opening ceremonies • Coordinate with program, publicity and promotion group INFOTEK 2009
Finance – Ways & Means (Ems and Let with Event Coordinator) Responsibilities: • Send, confirm and follow-up solicitations and sponsorships • Accept and receipt all payments (cash or check) – participation fees, sponsorships, donations made to AICTA • Disburse funds for use pre, during and after the INFOTEK • Implement other IGPs related to INFOTEK such as printing and selling of souvenir t-shirts, mugs, buttons, etc. • Solicit for prizes (corporate give-aways) to be given away during raffles/games • Network with airline companies, hotels and restaurants where invited guests can be afforded with discounts or as sponsors • In-charge for the food/snacks during opening and closing ceremonies INFOTEK 2009
Finance – Ways & Means (Ems and Let with Event Coordinator) Sponsorships: Co-presenters : Embarcadero venue (free) + hotel accommodation for guests DTI ? LGU-Legazpi 100,000.00 (cash) + 1 dinner (guest speakers) Capitol 50,000.00 (cash) 3 Congressmen 20,000.00 each Five-Star : P 20,000.00 Four Star : 10,000.00 Three Star : 5,000.00 INFOTEK 2009
Logistics/Engineering (Ashley, DTI, Ding) Responsibilities: • Prepare the lay-out (base on the four major components of the scorecard: Talent support, Infrastructure Support, Cost of Doing Business & Business Environment) • Supervise the installation of modules and other exhibit paraphernalia as per the lay-out (coordinate with the provider) • Request/Coordinate with telcos re: installation of lines ( or wireless systems) • Coordinate with the venue personnel for the power/electrical set-up • Prepare the different venues (exhibit, conference, job fair, seminars) – Checks and Makes available the sound system, microphones, laptops, lcd projector, screens, lightings, chairs, tables, other fixtures needed – coordinate with respective group heads • In-charge of the motorcade (all requirements such as coordination with PNP, route, car numbering, balloons, streamers, etc) • Facilitate the ingress/egress of participants • Facilitate the hanging of streamers and banners in conspicuous places around the province – (includes obtaining necessary permits from LGUs) INFOTEK 2009
Program, Publicity & Promotion (Nievz, Roland, Jonathan, Secretariat ) Responsibilities: • Design/printing of the folio (jacket), program, brochure and flyers • Design/printing of banners & streamers (tarpaulins/cloth) – solicit • Design/printing of stage backdrops (all venues) – tarpaulin (solicit- MABA, Blue Haze, Megapixel) • Prepare the event website – up by end of October (c/o Jonathan) • Design/printing of event ID – solicit (Jasmie Computer) • Media promotion (tri-media) – press conference and all forms of promotional activities • Documentation – still pix and video • In-charge for the opening and closing ceremonies – Master of Ceremonies, Welcoming of guests (distribution of corsage & leis) • Invitation of viewers/participants to the different feature activities (business community, academe, students, government agencies, private companies, etc) via campus tours, company visits, campaign at the malls – use students INFOTEK 2009
Job Caravan (James, Lily & all School-based PESOs ) • -day 2 - 3 Responsibilities: • Identify and invite ICT-related companies (both local & foreign) to participate in the job caravan – at least one company per industry sub-sector (i.e. 1 call center, med trans, animation, legal trans, backroom, software devt, etc) – invitation must be coursed-through AICTA • Entertain guests (food & accommodation) • Design the mechanics of the caravan • Invite prospective applicants – conduct campus tour or via media • Document and monitor job placements INFOTEK 2009
Industry Tracks & Seminars (Andrew and all member-schools ) – day 1 (pm) day 2-3 Responsibilities: • Identify timely topics (focus on the BPO/O&O sectors) – good for 30 minute to 1 hour presentations • Invite speakers – local and national talents • Entertain guests (food and accommodation) • Design the mechanics of the seminars • Invite participants (business, academe, professionals, government, etc) – conduct campus tours, company visits or via media, etc. • Issue Certificates of Participation • Coordinate with the big work group heads for the logistical, financial and promotional requirements. ICT Conference cum Investment Forum (Dindo, Roland, Ellen ) – day 3 Responsibilities: • Identify topics (focus will be the presentation of the IT-readiness of the province) – Legazpi as IT Hub, BPAP, CICT, Sutherland, COSI, Embarcadero IT Park, TELCOs, Academe, NAPOCOR – • Solicit Venue: tentative – hotel • CHARGE PARTICIPATION FEE – P 500.00/head • Expenses of invited guests/speakers – get sponsorship (PAL, CEB, Hotels & Resto., LGU) – c/o Finance • Design the mechanics of the conference • Invite participants (local and foreign investors, LGUs, Academe, business community) • Issue Certificates of Participation, Plaque of Recognition to Speakers, tokens, corsage, leis • Prepare the program, Master of Ceremonies, Facilitator, Attendance, etc. • Coordinate with the big work group heads for the logistical, financial and promotional requirements.
