Passport Objective To provide a mechanism that links the exhibition hall, the Technology Showcase, ITS America program sessions and Forum Showcases into a fun and meaningful experience for all conference attendees, while providing added exposure on the technology and goals within the ITS Industry.

  3. Envisioned Passport Passport To Innovation Each delegate receives 7 stamps or signatures, 4 from one of the listed exhibitors and one from each of the other categories below - 1 technology showcase, 1 ITSA program session and 1 ITSA Forum showcase (all options will be listed in the Passport/mini-map). Completed passports are dropped off at the ITSAWC Booth by 12:00 noon on day 3.   4. Passport Experience (Current Thinking) • Sponsors may consist of exhibiting company’s and/or participants of the technology showcase. (Each sponsor receives a Passport to Innovation display for their booth or session room) • Participants may consist of registered attendees (including students). Exhibitors, vendor personnel, and ITSA/WC personnel or excluded. • The Passport will be provided via a mini-map handed out at time of entry (or registration) to the exhibit hall. • Promotional staff to be hired as Passport Brand Ambassadors and will hand out the passports and promote passport participation throughout the exhibit hall. • The passport will tie in to the Video Wall (60 second commercial) • The passport will tie into the Show Daily via “Passport to Innovation Technology Articles”. One per each technology/exhibitor (sponsor). • The Passport will tie into the ITS International web/electronic newsletter via the Daily articles. • Pre-promotion for the Passport - phone call outreach, web, ITSA newsletter, and ITSA Web. (We will first target Demo participants with early bird Passport sponsorship.) An email blast will be sent to all exhibiting companies with a link to the participation application which will include sponsorship investment. Investment suggested to be $1500 per company. • What’s in it for the delegates? On day 3, an announcement is made acknowledging two winners of the Passport to Innovation. Winners are selected via a drawing of all COMPLETED passports.

  5. What’s in it for the delegates? • To increase value of the Passport program, and in being sensitive to what government officials can accept, the winning prize is promoted as personal & business development. • The winners are given a sponsored “scholarship” by ITSA/WC to attend the Vienna WC – airfare, hotel accommodations and conference registration is paid for with the funds raised by the 2011 sponsoring companies.

What’s in it for Exhibitors • Exhibitors: • 40 Exhibitors have the opportunity to participate in the Passport to Innovation promotion to drive delegates to their booth. • Cost to participate in the promotion: $1500.00 ($60,000) • Exhibitor Benefits • Drive delegates and students to exhibitor booths. • Greater activity on the showroom floor. • Exhibitors participating in the Technology Showcase will be listed in two categories (exhibitor / technology showcase) driving delegates to booth and demonstration. • All participants will be listed in the ITS World Congress Program on the Passport to Innovation promotion page. There will be video wall and show daily promotion for the Passport program. • Web and email Pre-promotion- ITS America emails and announcement in the ITS America news bulletin to promote the program. Participating companies featured on the ITS America website. • Exhibitors will receive a sign during the conference highlighting their participation. • Exhibitors will be entered into a drawing to win an ITS America Member recognition gift - $1500 off their fee for the Vienna WC booth. • Exhibitor will be announced during the Closing Plenary. • Gift Value of 1,500.00 – The amount of investment

  7. What’s in it for the Technology Showcase Participants? • Technology Showcase: • There are currently 30 companies committed to technology showcase. (see next page for list) • These companies will be provided the first opportunity to participate in the Passport to Innovation program given for greater exposure at the ITSWC2011. • Early bird Deadline to commit December 1, 2010. (All other exhibitors will be invited after this date, email and application to go out on December 10, with commitment needed by December 24th.) • These companies are committing an incredible amount of resources, time and funding to ITSWC2011 and will also be allowed to submit their company name in two categories (for greater exposure) in the Passport to Innovation booklet. • Benefits • Technology Showcase participants receive same benefits as exhibitors and are entered into the same drawing for recognition and next WC discount

  9. What’s in it for the ITSA Sessions/Forums • ITS America Sessions & Forums: • 10 ITS America Sessions and Four ITS America Forums will be selected to participate in the passport. These will be listed in the designated areas. • Delegates and Students will be asked to have one of these stamped or signed by a moderator or speaker at the end of the session. • Benefits to Session’s and Forum • Greater exposure prior to the conference. Signage and cross-promotion as part of the Passport to Innovation Program during the conference • Greater attendance.

  10. Financial Objective and Overview Investments by Sponsors • 40 companies invited to participate in Passport Program at $1500 each. ($60,000) Total Sponsored Funds: $60,000 (estimate) Funds to be used for program: • Exhibitor Appreciation Gift ($1,500) • There will be Two delegate winners. Gift costs: ($5,000x2 = $10,000) est. • Passport/mini-map Design and Production ($10,000) est. • Conference signage (exhibitors, technology showcase, forums ($500) est. • Exhibit Hall Signage: (Walkway, Forum, Designated eating areas), Tech. Showcase signage ($5,000) est. • Promotion people (Brand Ambassadors) Cost to be determined. • Promotion via Show Daily Cost to be determined. Total Program Funds (estimate)- $27,000 (Minus Show Daily & Promo ppl cost) Potential revenue for ITSA = $33,000

Moving Forward… Next Action Items: • OOC Approval regarding finance estimates, winning gift – package to Vienna - and additional details of the program • Schedule meeting with Marketing sub-committee to discuss: • Development of Passport to Innovation design for Passport/Mini-map • Development of Exhibitor & Technology Showcase sponsor benefits email and application form • Develop Exhibitor / Technology Displays for booths/session rooms • Engage EAC sub-committee members (Dec. 1 Meeting) • Reach out to Technology Showcase Demo Participants and invite their early bird participation • Reach out to all ITS America Members via web, phone call to participate in program
