Who We Are • We are a function of the Office of the Dean of Students. • The Student Center Assistant Managers handle the campus logistics for ALL student sponsored, on-campus events. • KarissaKozlak, BSC Assistant Manager (Evening): • TCNJ fraternities and sororities • College Union Board (CUB) • Yakima Melton, BSC Assistant Manager (Daytime): • All other student organizations including academic honor societies.

  3. The Basics • Make sure your organization is registered with the Student Activities Office. • Make sure your organization is recognized by the Student Government. • All requests for campus space must be submitted online, using the reservation system, Book-It! @ TCNJ.

  4. Make The System Work For You • Executive Effort - communicate amongst the members of your executive board • Planning • It’s never too early • Spaces book quickly • Thinking • The details are important • Understanding • TCNJ is a “special place”

Make The System Work For You by PLANNING • Tier 1 - Minimum of 10 business days notice required • Event outside of the BSC that DOES NOT require additional furniture. • An event or a vendor table in the BSC. • Tier 2 - Minimum of 20 business days notice required • Event outside of the BSC that DOES require additional furniture. • Event taking place in a venue that requires a separate “permission.” • Tier 3 - Minimum of 30 business days notice required • Events taking place in a performance theatre (Kendall Hall, Music Building). • Major events defined as a large scale event requiring use of multiple campus services and/or venues.

  6. Make the System Work For You by THINKING Is the location handicapped assessable? Outside or Inside? Are there any fees associated with the location? Can your organization afford them? Are there any restrictions on the location? Can the location accommodate the type of event you want to host? Is the location handicap assessable? Is this a location that people would want to come to? Room capacities?

  7. Make the System Work For You by THINKING Are there other groups doing something during the same time? When are your guests likely to be available? Will students be around? Does your event fall during an academic break or holiday? Weekday vs. Weekend? Evening vs. Morning? Will the venue you want be available during your date and time?

  8. Also, Think About… Is the location handicapped assessable? Do you have a vegetarian option? What about religious restrictions? How does your program align with your organization’s mission? Does your program title offend or exclude specific groups? Sending out invitations? Send them out early and don’t forget anyone! Does your holiday party exclude certain students? Is the admission or ticket fee affordable?

Make The System Work For You by UNDERSTANDING Understanding your confirmation notices: • Confirmations are sent via email. • Email confirmations are the only way to know for sure that you have the things you requested. • Keep copies and bring one to your event. Be proactive and informed: • Get to your event early. • Common event “hiccups.” • Communication will be sent to your TCNJ email account.

Make The System Work For You by UNDERSTANDING • Service Providers • Offices that provide services outside of the Student Center • They are separate from the Student Center • Service Providers comprise the following: • Operational Services • Building Services • Campus Police • Grounds • Facilities • Dining Services • Telecommunications • Media Technology Support Services (MTSS)
