GRADE LEVEL COORDINATORS • Responsible for beginning and coordinating all party planning • Creates flyer/invite to go home in Wednesday folder with electronic version through email for all Classroom Parties (be green  ) • Manages grade-level party-planning budget $$ • Coordinates grade-level special events like 2nd grade Cinco de Mayo decorations basket weaving, or 1st grade Pilgrim bread making and Thanksgiving Program assistance • Passes on all info received from Room Parent Coordinator to Leads to disseminate appropriately to their team or parents • USES ONLY EMAIL with LEADS MOSTLY

LEAD ROOM PARENT(S) • Primary communicator up and down the Room Parent Organization and outwardly with Classroom Parents • Communication within your team: Who gets emails about what? • Begin by asking your Room Parent Team what they prefer to included on. • 3 options: • Everything • Only classroom help • Only traditional RP areas like party planning and presents • Might have to make three distribution lists essentially, but avoid sending to those on the team who feel anxious about either “task list” • Communication to your Classroom Parents: How should you get your message out? • Begin with a letter sent home in the Wednesday Folder to ALL Classroom Parents • Introduce yourself and your team • Ask how they prefer to be contacted and ask for correct contact info for ALL GUARDIANS • Give a preview of what to expect for the year (# of parties and generally when, # of gifts, that class gifts are optional. [Letter example] • Use email from that point on except for Class Parents who do not have email access – use Wednesday Folders for those • Be green – small flyers

  20. Hello families of Ms. Kiely!! Please take note of the 4 things below: 1.) My name is Valerie Tyler (mother of Cooper Tyler) and I am serving as your LEAD ROOM PARENT this year. That means I will be communicating with you several times throughout the school year for things like Ms. Kiely’s birthday (coming up in 10 days!!), classroom parties, and HOWL participation. 2.) The most important thing I would like to do is learn how I can best do that communicating with you. There is a card attached to this letter that I would appreciate you filling out and returning in your child’s Homework Folder (or Wednesday Folder) as soon as possible. From this information, I will learn how best to contact each family so EVERYONE knows EVERYTHING that’s going on! My job is to facilitate Ms. Kiely’s needs, the needs of the school and the PTA, and to help communication from those entities with you so please let me know anything I can do to help you. 3.) We are fortunate to have several parents who have also volunteered to assist me as Room Parents. They are: Jocelyn Gibbs, Lorie Raney, Tracy Sheridan and Dandre Whitehead. We are especially fortunate that Tracy Sheridan is the Grade Level Coordinator of all Room Parents for the 3rd grade and Dandre Whitehead is our PTA President so they will keep us all “in the know!” We thank these women for their willingness to help Ms. Kiely and our kiddos by their service. If there’s anyone else who wishes to be an “official room parent” contact me and I’ll put you in touch with the Room Parent Coordinator. 4.) As I mentioned, Ms. Kiely’s birthday is coming up on October 11th. I would like to begin collecting donations from you immediately in order to get her something from the class. There are typically three times we ask for donations throughout the year: for the teacher’s birthday, for a winter break gift, and for an end-of-the-year gift. As always, contributions to the class gift are absolutely OPTIONAL

Folder notes when teacher needs specific things • Communication about Classroom Parties and Field Trips • Collection of donations for gifts or class projects

Responsibilities • Teacher Support • Copying, Laminating, Book Binding • Reading to Children in classroom • “Parent Readers,” Edit writing, Math “Pull out” help • Wednesday Folders • Buying needed supplies like Wipes or Kleenex • Taking home cut work • Field Trip assistance • There may already be some people helping in these areas, but check with new room parents to see if they had hoped to volunteer in these areas. • Send email only to those Room Parents who want to know about and be available for this type of help.

Responsibilities • H’Owl Booth • Communicate with ALL Classroom Parents immediately about the theme and needs for your assigned class booth • Coordinate with other class Lead IF you have a “partner class” running the booth • Send email only to those Room Parents who want to know about and be available for this type of help. • Can ask “Volunteers” Chair for assistance filling shifts • Ultimate responsibility for manning the booth falls to the Lead Room Parent • Be positive and generate excitement for the H’Owl • Let’s Hear from our H’Owl Chairs!!!

  27. Responsibilities • Classroom Parties • Grade Level will begin dialogue and ask all LEADS to help with the party planning • Communicate along the way with ALL your Room Parent Team who wanted to be a part of party planning • Share the joys (burdens?  ) of getting things together for the parties with ALL your Room Parents in your room – let others bring the cupcakes or punch sometimes. • Use RE-usable Plates – Lead keeps them or assigns a “party goods Room Parent.” • Don’t forget to recruit “assigned workers” to help run the party and not just follow their children around the party. • Grade Level will prepare a flyer to go home in Wednesday folders inviting all Parents • But additionally, maybe even before the flyer/invite, communicate party date, time, location and details to ALL your classroom parents early enough to allow them to make plans to attend as well

Responsibilities • Teacher appreciation/gifts • You and your Room Parent Team can choose which times to “gift” your teacher and what to give. • Typically done Birthday, Winter Break, and End-Of-Year • Must be clear it is OPTIONAL, and ask for whatever is comfortable for the family. If asked further, then can suggest $5-10 a family. • Although 1st letter to classroom parents should give an “overview” of the gift “expenses” for the year, do not ask parents to contribute for all 3 up front. • Will also need to organize class for Teacher Appreciation. Try to think of things easy, burden-light and $-light – maybe not even every day. Check with others in grade-level to be sure your in-line with the rest of the Team • Must recruit coverage for Teacher Appreciation Luncheons (Winter Break and End-of-Year) or provide it yourself.

  30. Responsibilities • Communication from Teacher to Parents • As a Lead, your job is to provide “one-stop-shopping” for the teacher. She should be able to only have to send one email to her Lead(s) and expect to have her needs met. • If it is a request for classroom help, attempt to use your task-specific Room Parents on “the Team” first, and then, if necessary, reach out to all other parents. • Be willing to let the teacher use your communication chain for all communications he needs to share with his parents. Sometimes it may even be curriculum or “project” specific – like everyone remember to bring your letter box letters Thursday instead of Wednesday due to the Monday holiday.
