  7. To Begin- Get the document

  8. Scan the document

  9. Now this is the hard part- Save it to the right place

  10. We save our documents in a folder called data5 which is a subfolder under PAF under My Documents.

  11. Then we create another folder under the PAF data 5 and call it by the last name of the family.

  12. Into that folder you save the scanned document.

  13. Save the scanned document.

  14. To add your scanning- click on the s

  15. Click on new

  16. Select type of source from your source list.Then you press Select 1 2

  17. Click on image

  18. Now Click on Attach

  19. Click on Browse

  20. Find your folder and double click on it.

  21. Double click on correct file.

  22. Click on OK

  23. Now either click view to see it larger or click close.

  24. You’re done! Click OK Notice you now have a tiny asterisk by the Image box .

  25. Well, you are not really done.You need to add the details now. • .

  26. Notice I added the place of the census.

  27. Add identifying details.

  28. If the document is hard to read, you may want to type in the actual text.

  29. This icon allows you to copy to a clipboard the citation details.

  30. The open book icon shows a list of all sources.

  31. This shows all the sources entered for Andrew’s birth and life.

  32. Let’s go back and show how to add sources to the source list. • You only add the particular source once. That saves a lot of typing. One fellow added Ordinance Index 1200 times to his source list. Oops!

  33. This is easy if you remember it is a two step process.The first step is very general.The second step has the specific details.

  34. How to add a source:First click on new

  35. Now click on New again because you don’t have this source already in your list.

  36. Now add the source. Remember to keep it very general. The way the page is set up it is tempting to add too much detail. For example, if you did not have birth certificate listed as a source, that is all you would type. Then click OK.

  37. If it’s a book you’ll want to add all the detail to the top. Here is an example:

  38. Here’s an example of more of my source list. Notice it is all very general. I didn’t put 1800 US census, Scottsbluff, Scotts Bluff, Nebraska. I’d end up with a zillion sources.

  39. Here is another page of my sources. It would have been better if I had just used letter as a source title rather than all the specific letters.

  40. Now what about the poor guy who entered the same source 1200 times? You can’t just delete the source entries because it will delete the link to the sources.

  41. To get rid of duplicate sources you go to Tools and click on Merge Duplicate Sources and Citations

  42. Notice it merged those sources which were typed EXACTLY alike.

  43. Why not just put all the source information in the notes? • The power of it is that if you make an error in your source you can change all of the entries with that source with one stroke. • If you had made the same error in 100 of your notes, you would first of all have to remember which notes contained the source with the error and go back in one by one to change it.

  44. To share your PAF file • You will have to copy all the files associated with your sources. • You will probably have to send a flash drive if your file becomes too large. • If it is small, you may send a CD.
