Data Ownership, Privacy and Security • Per our standard service agreement… • You own all data stored in the system • DM cannot sell, give away, or give out statistics on your data • Family Education Rights Privacy Act (FERPA)-compliant • Rehabilitation Act, Section 508-compliant • All data moving to and from our servers are sent over a secure connection • Servers are in a Sun-managed datacenter…with financial institutions’ data • Biometric hand scanners, caged server rooms, armed guards behind bullet-resistant glass • Redundant fire suppression systems, climate control systems, power connections, and Internet connections • Three backups every night to geographically-distanced locations • Two additional backups every night by Iron Mountain • All major financial institutions work with IM

Steps in Getting Setup, Timing and Resources Setup Steps 1 Customize screens and reports • Send campus-wide reports that you would like to run • We know what others commonly collect…we use this as a base Example: title of presentation, presenter names, location, date • We use the reports you send to add screens/fields to the base • You use test accounts and specify changes until perfect • Go a step “down” in campus hierarchy…add data to campus data 2 Load data from other systems or “connect” other systems 3 Proxies (e.g., temp. student workers, dept. assistants) enter data 4 Announce the system…utility for this is provided You control the pace…allow time for customizations and roll-out Campus Administrator (should be a business/functional owner) and one liaison per college/school to identify needed reports • Work drops-off after setup
Overcome the Biggest Challenge: Getting Data In • Load as much data as possible from other systems • Make it just one click in a highly visible place to access the system • Do not make faculty enter entire CV in first year…build database over time • Year 1: Enter current year; Y2: Last three years; Y3: Five years • Cannot wait to build over time? Hire data entry workers • Cannot and should not try to enter all information • Just enter pub/presentation title, authors/presenters, location, date • Ensure faculty and campus administrators see the benefit relative to their time • Faculty must already prepare annual activity reports and they want promotions, tenure, merit pay increases, awards/honors • Administrative reports must be prepared for accreditation, state/system, institutional research (Delaware Study), media sources (U.S. News) • Pledge to faculty that if they enter it once, you will never ask again • Post-launch, periodically share how the data were actually used • Pull your campus website’s faculty profiles from the system
Technical Details Two methods for bringing data in from other systems • Export to comma-delimited or XML files and load them here • Use web services to push data into this system • Either way, you determine the frequency Additional features (no additional cost to use) Advanced authentication (in order of most to least preferred) • Shibboleth: User redirected to your Shibboleth IdP if not authenticated • Portal: You authenticate, then “pass” us the user • LDAP: We authenticate against your directory • Basic: We authenticate against our directory File storage • Put a WebDAV (much like FTP) server in place, or setup with Amazon • Provide one account with read/write privileges Web services • REST-based implementation with a common grammar Data backups • Script using a CRON job or batch script
