Spring 2019 Recap • Printed – 2,986,965 • Shipped – 2,846,319 • Outbound boxes (delivered to districts) – 56,811 • Inbound boxes (returned to DRC) – 53,945 • 29,704 UPS • 24,241 King • Processed – 2,376,411 • Processed Sheets of Paper • Spring 2018 – 15,578,516 (25,000,000 all of DRC) • Spring 2019 – 66,859,422 (Florida alone)
PreID Labels • No PreID Label • PreID label issues are the most common reason test and answer books are transferred to the problem cart. • All To Be Scored test and answer books must have a PreID label applied. • Spring 2019 – 955 books returned without a PreID label
PreID Labels (cont.) • Unusable Label • All To Be Scored test and answer books must have a PreID applied that is clear and scannable. • Grocery store quality barcode • Spring 2019 – 586 books returned that had either a faded label, creased label, smudged label, or human readable number cutoff Human readable number cutoff Smudged Faded Creased
PreID Labels (cont.) • Test Ticket Label • Test tickets do not have barcodes, which contain the student information and are required to check in and scan the books. • Spring 2019 – 140 books returned that had a test ticket applied
PreID Labels (cont.) • Place new On-Demand PreID label over unusable test tickets or incorrect labels. • Additional blank PreID label stock is available in TIDE to order. • Pearson or WIDA PreID labels are not valid. • If pencil marks are present on or within the PreID or security barcodes, the marks may interfere with ability to check in the book. • Carefully erase pencil marks or place a new On-Demand PreID label over the affected label.
Materials Return – Boxes • DO • Use DRC boxes (order in TIDE; several size options) • Reuse boxes received with DRC shipments, including the TAM shipment • Tape the boxes securely using heavy-duty shipping tape • Pack materials in one of three ways: 1 – All facing the SAME way 2 – Half facing one way and half facing the other way 3 – Books in batches of 20-25 facing one way, then the other • DON’T • Pack materials by alternating directions of each individual book • Use Pearson or other vendor boxes
Materials Return – Return Labels • DO • Place a return label on EVERY box • Use the correct return label(Pearson vs DRC) • DON’T • Place a label over the box seam • Use duplicate labels (the barcodes are unique)
Materials Return – Plastic Bags • DO • Use with To Be Scored regular print material • Use zip ties (zip ties keep out water and prevent the books from spilling out of a box if the box is damaged) • DON’T • Use with special document material or Not To Be Scored material
Materials Return – UPS • DO • Call 866-857-1501 to schedule a UPS pickup • Schedule appointment one day in advance • Apply correct service label UPS-RS label to each box • Striped-labeled calibration boxes returned with UPS-RS Next Day Air labels • NTBS white return labeled boxes and blue (LP/OIPP) and pink (Braille) return labeled boxes returned with UPS-RS Ground labels • TBS colored return labeled boxes returned with different UPS-RS service level based on the district • DON’T • Call the general UPS number • Schedule a pickup window
NEW for Spring 2020 • Districts will be responsible for transcribing large print • OIPP will continue to be transcribed by the districts. • A large print book not transcribed into regular print Form 1 test and answer book before it is returned to DRC will move to the problem cart and be in late reporting. • DRC will continue to transcribe braille. • CBT Work Folders, CBT Worksheets, and ELA Writing Planning Sheets will be in packs of 25 • Pending Approval - Districts will have the option to choose if their schools receive UPS labels
NEW for Spring 2020 (cont.) • Districts will not receive plastic bags • Districts receiving freight shipments will receive extra shipping boxes with their Gr 3–6 RM materials • Secure Material Tracking Report (SMTR) • Formerly known as the Answer Document Tracking Report. • Will contain all secure (scorable and nonscorable) material. • Posted after the first secure test material shipment. • Available daily through TIDE window. • Final format in development.
NEW for Spring 2020 (cont.) • Ways to use the SMTR • Use security numbers to load district database. • Confirm what materials DRC has received. • Confirm processing status – whether processed scorable, nonscorable, or in progress (on the problem cart). • Confirm student tested at another school within the district. “Having the ability to track documents in real-time was incredibly helpful because it allowed us to reach out to the School Assessment Coordinators and ask them to search for the “potentially missing” materials prior to the return deadline or the last day of school. The true benefit became obvious when several schools found the overlooked items and were able to ship them to the vendor in time to meet the “on-time reporting” deadlines.” – Miami Dade
