NOTE: THERE IS A SLIDE FOR RECORDING YOUR ALL DAY/SPRING SEMINAR INFORMATION WHICH SHOULD BE USED IN LIEU OF THAT MONTLHY SLIDE. Keep it at a HIGH LEVEL SUMMARY. For your chapter presentation, select the THREE slides you want to share with the group : a challenge, a success and a Board choice. You will only have 20 minutes to present/answer questions. Chapter Membership • 2011-2012 Chapter President: Sally Hager • # of Members – Beginning of Year: 24 • Current # of Members: 22 • Chapter Size Category: Small • Membership Goal for 2012-2013: 22 • Recruiting and Contacting – methods: Emails, Website, Brochures and Word of Mouth • Chapter volunteers – recruiting, involvement (activities): Meeting attendance is good. • What months and day of the month do you hold educational meetings: September through June – on the 3rd Tuesday of each month • Methods of communicating with members: Email

Board of Directors • # of Members: • # of Members: 7 • Types of Positions: • Elected Officials: Past President, President, Vice President, Treasurer, Secretary and Two Directors • Appointed Officials: N/A • Meetings (how often and method i.e. in person, conference calls): Monthly meetings, some board meetings are via conference call • What was Good about your BOD: The board members are very involved and willing to serve. • What Challenges did your BOD face: Having board members changing job which left limited board participation. • Board Transition of Members – at end of year:June-July • Recruiting/Succession planning methods: We encourage new member involvement and do some personal recruiting

  6. September 2011 • Meeting Date: September 20, 2011 • Time of Day:10:00am • Attendance #’s: 20 • Topic: MO State Prison Tour • Speaker: N/A • Comments: Was given a guided tour of the penitentiary and the history back to the opening of the prison.

  7. October 2011 • Meeting Date: October 18, 2011 • Time of Day: 2:00pm • Attendance #’s: 9 • Topic: Web 1, 2, 3.0? Keeping up with the web content • Speaker: Nathan Troup • Comments: An interesting presentation on differences of web content - Web 1-static web, Web 2-social web, Web 3.0-semantic web

  8. November 2011 • Meeting Date: November 15, 2011 • Time of Day: 11:30am • Attendance #’s: 13 • Topic: Records keeping for Harry S. Truman Memorial Veteran’s Hospital • Speaker: Stephen Gaither • Comments: Very interesting topic on the changes during the years at the veterans hospital and how they manage their records for veterans all over the state at one facility.

December 2011 • Meeting Date: December 14, 2011 • Time of Day: 4:30pm • Attendance #’s: 10 • Topic: Christmas Party, Presentation Award • Speaker: N/A • Comments: Attendees brought in nonperishable food items/money to donate to a local food pantry. The Chapter Member of the Year Award was presented. A gift exchange game was played and a wonderful meal was served. This gathering is always a good time.

  11. February 2012 • Meeting Date: February 21, 2012 • Time of Day: 2:00pm • Attendance #’s: 7 • Topic: State Historical Society of MO tour • Speaker: Laura Jolley • Comments: Given a guided tour of the State Historical Society building, that explained how they preserve and protect their records.

  12. March 2012 • Meeting Date: March 22, 2012 • Time of Day: 2:00pm • Attendance #’s: 15 • Topic: Highway Patrol tour/presentation • Speakers: Keverne McCollum, J.D. Reece, Holly Haarmann, Tammy Byrd and Steve White • Comments: This was an awesome presentation. They explained how their system worked and how they tracked incidents (criminal or not) in their system and they also coordinated their system with the FBI.

May 2012 • Meeting Date: May 15, 2012 • Time of Day: 1:00pm • Attendance #’s: 14 • Topic: National Personnel Records Center (NPRC) tour • Speaker: N/A • Comments: This was a day trip to St. Louis MO to tour the National Archives Records Administration (NARA) building. We had a networking lunch prior to the tour. The operations include correspondence digitization, a workflow managing database, mold and fire remediation, climate controlled stacks, and public research space. It's an enormous records management and archival operation.

June 2012 • Meeting Date: June 19, 2012 • Time of Day: 6:00 • Attendance #’s: 10 • Topic: Officer Induction Ceremony, Awards Ceremony and ARMA Bucks Auction • Speaker: N/A • Comments: Cost for the meeting was $20.00 which included dinner. The board meeting was prior to the meeting. It is a great opportunity to visit with fellow chapter members and was a fun time by all.

Annual Seminar • Meeting Date: April 24, 2012 • Time of Day: 9:00 to 3:00 • Attendance #’s: 25 (11 members, 14 non-members) • Topic: Governing Your Information – Staying Out of the Courtroom • Speaker: Bill Millican • Attendee Fee Structure: $75 member - $100 non-member • Vendor Involvement/Support: Breaks and lunch was paid for by vendors and we also received a speaker grant from ARMA International, which helped us make a profit. • Fee Structure – The speaker changed $250.00 for speaking and only charged us for mileage. He was from Kansas City and did not have a hotel or charge us for meals. • Special Activities (e.g., silent auction): We gave away 2 door prizes.

  16. Special Projects • Community Involvement – charities, services etc. Annual food drive held during our December meeting. • Other professional organization projects/relationships: Chapter members build relationships with each other and reach out to fellow employees encourage them to become involved with ARMA. • Scholarship programs/promotions: The chapter does not currently have a scholarship program • Mentoring activities: Current CRM’s are willing to mentor candidates preparing for the examinations. • Vendor Relationships: The chapter has good relationships with many vendors in the area.

  18. Successes, Challenges & “Different” • What were your chapter’s top successes? (1 to 3 examples) 1) All of our meeting/presentations were exceptional this year and the attendance was good. 2) We also had an awesome speaker for our spring seminar. • What really challenged the Board and/or Chapter this year? (1 to 3 examples) 1)One board member had to resign due to a job assignment; 2)We lost several of our members as a result of state budget cuts. We have become a small chapter again. • What would/could the BOD have done different or would try next time? (1 to 3 examples)

  19. Conclusion • Please share one or two expectations or ideas you have for the coming Chapter year. To continue offering interesting and educational topics to increase/maintain good attendance.
