Wyoming Chapter Membership • 2010-2011 Chapter President:Pat Newbern • Beginning of Year 2010-2011:31 Members • Current # of Members:31 Members • Chapter Size Category:Small • Membership Goal for 2010-2011:Hold on to 28 to 31 • Recruiting and Contacting – methods:E-mail, meetings, seminar, and workshops. • Chapter volunteers – recruiting, involvement (activities):Annual Seminar, Monthly General Meetings, Workshops, Silent Auction, and Holiday Get Together. • What months and day of the month do you hold educationalmeetings:General Meetings are held the 2nd Tuesday of the Months of September through May. • Methods of communicating with members:Person to person, E-mail, meetings, and other activities (i.e., seminars, workshops, etc.).

Wyoming Chapter Board of Directors • Number of Members:Currently 10 • Types of Positions: • Elected Officials:President, Vice President, • Secretary, & Treasurer • Appointed Officials:Chairman of the Board &Committee Chairs (Education, Membership, Programs, Webmaster & Newsletter). • Meetings:Board Meetings each 4th Tuesday of the Month (August through May) - General Meetings each 2nd Tuesday of the Month (Sept. through May). • What was Good about your BOD:EVERYTHING ! • What Challenges did your BOD face:Very difficult dissention with one board member….

September General Meeting • Meeting Date: September 22, 2010 • Time of Day:11:30 a.m. • Attendance #’s:14 • Topic:G.A.R.P. • Speaker:Nick De Laurentis, President of ARMA’s Board of Directors, CRM, SCLA, ChFC • Comments:As the President of ARMA International’s Board of Directors, Nick De Laurentis visited our chapter to share information on GARP and the new GARP Maturity Model. He explained that using the GARP Maturity Model can provide a rating of an organization’s overall information governance.

  6. October General Meeting • Meeting Date:October 2, 2010 • Time of Day:8:30 p.m. – 4:00 p.m. • Attendance #’s:76 • Topic:“Wyoming Archives Day Workshop” • Speakers:Candy Moulton, Gayla Mead, & • Donald Skupsky, JD, CRM, FAI, MIT • Comments:This workshop was divided into three sessions dealing with Wyoming History; Wyoming Archives & Historical Writing;and Records Retention Schedules. • There was no cost for this Workshop, although attendees were required to be pre-registered. This was co-sponsored by our Chapter, Wyoming Archives, Wyoming Department of Transportation, City of Cheyenne, and WY SHRAB.

  7. November General Meeting • Meeting Date:November 16, 2010 • Time of Day:11:30 a.m. – 12:30 p.m. • Attendance #’s:17 • Topic:Wills, Trusts & Estate Planning • Speakers:Debb Roden and Ryan Ford, Attorneys with Woodhouse Roden LLC • Comments:Ms. Roden and Mr. Ford spoke to attendees regarding the one of the biggest decisions of our lifetime – how do you want your life remembered through the decisions you make now? Planning for the future of your family, friends or charities needs to be thoughtfully and fully considered when writing a will or trust.

  8. December Holiday Get Together • Meeting Date:December 4, 2010 • Time of Day:5:30 p.m. • Attendance #’s:18 • Topic:Holiday Get Together • Speaker:Tony Adams opened his home and heart to the chapter members for a social gathering with lots of yummy food and beverages before we traveled downtown to the Atlas Theater for the production of “A Christmas Carol”. The chapter collected food items for local food banks and for the first time we collected diapers for needy families through the local Boy’s and Girl’s Club. Our chapter also donated $100 to a Cheyenne man in need of a lung transplant (cannot be put on the transplant list until he has a set dollar amount in cash). The Chapter also donated $50.00 to a charity of a Jackson, Wyoming member’s choice.

January General Meeting • Meeting Date: January 11, 2011 • Time of Day:11:30 a.m. to 1:00 p.m. • Attendance #’s:22 • Topic:Disaster Recovery and Tour • Speakers: Heather Fleishhacker, Partner at Valley Construction and Debbie Hammond, • Co-owner of Valley Construction • Comments:Heather & Debbie gave a very informative talk on disaster mitigation, recovery, and the certified trained personnel available to the public through Valley Construction. We were also able to get a brief tour of the different areas of the recovery process at Valley Construction.

  10. February General Meeting • Meeting Date:February 8, 2011 • Time of Day:11:30 a.m.-12:30 p.m. • Attendance #’s: 17 • Topic:“Financial Scams – How to Protect Friends & Family” • Speaker:Jeremy Hamilton, Warren Federal C. U. • Comments:Jeremy related that scams are everywhere and that seniors and families are primarily targeted. The best means to not be scammed is to be careful - wary of any one trying to get your personal identifiable information and BE INFORMED.

  11. March – Annual Seminar • Meeting Date:March 8, 2011 • Time of Day:8:30 a.m. – 4:30p.m. • Attendance #’s:78 • Topic:“Impacts of Social Networking on RIM in the Professional Environment” • Speakers:Helen Streck, CEO of Kaizen InfoSource, LLC; Mike Crouch, Wyoming Enterprise Security Coordinator, Office of the Chief Information Officer; Kim Sears, Wyoming Business Council and Sue Castenada, Public Relations and Marketing Specialist with the Wyoming Department of State Parks and Cultural Resources

  12. March – Annual Seminar continued This seminar was divided into three general categories: 1. What Social Media/Networking is - How to set up a social networking site for business use & the need for up-to-date training, policies, and retention schedules. 2. Information assurance and risk assessments that should be done with Social Media/Networking. 3. How Social Media/Networking is being used and why Social Networking is now a HUGE part of today’s business climate. Virtually - we heard the good, the bad & ugly, And the useful !

  13. April – RIM Month • Meeting Date:April 14, 2011 • Time of Day:11:30 a.m. – 12:30 p.m. • Attendance #’s:23 • Topic:“Facebook and Social Network Safety” • Speaker:Officer John Gay of the Cheyenne Police Department • Comments:Officer Gay related that social networks have long term implications with questionable material on your networking sites. Inappropriate material can get you fired and can also prevent you from getting hired! He also related that it is imperative to have your networking sites locked down to protect you and your families information and that open communication with family members to imperative.. and to make sure everyone knows what is appropriate material to post.

May General Meeting • Meeting Date:May 10, 2011 • Time of Day:11:30 a.m. To 12:30 p.m. • Attendance #’s:14 • Topic:“Emergency Preparedness” • Speaker:Jeanine West, Laramie County Emergency Management Agency • Comments:Jeanine gave us all a good reminder of how important it is to plan for a disaster and what to do should there be a disaster. Whether it was for our organizations or our personal families..... she listed the important documents we need to have in a safe place or with us. As recently seen in many disasters – we all need to have a plan and have paperwork for our “other” family members as well (i.e., our pets, etc.).

  15. June – Annual Year End & Awards Dinner • Meeting Date:June 9, 2011 • Time of Day:6:00 p.m. to 8:00 p.m. • Attendance #’s:28 • Topic:Annual Year End and Awards Dinner • Speakers:Pat Newbern, Chapter President; Donna Crock, Chapter Chairperson; Barbara Thomasee, Chapter Vice-President • Comments:We were welcomed by Pat who gave a brief over-view of the year and chapter activities. New members were recognized by Donna and she also presented Certificates of Appreciation to SHRAB, Department of Transportation, and the City of Cheyenne for their continued support of the Chapter and their efforts to educate members and other interested individuals.

  16. Annual Year End & Awards Dinner Cont. Certificates were also presented to Wendy Kinkade, Programs Chairperson; Tim Tyler, Membership Chairperson; Mary Burby, Newsletter and Kristy Anderson, Seminar Committee Chairperson. Longevity Awards were given to the following members: Lynn Orester, 15 years; Donna Baur, Deanne Widauf and Rich Wilson, 10 years; Mike Wingert, 5 years; and Dan Siglin, 20 years. Our member of the year for 2010-2011 was Donna Crock. Rich Wilson was honored with a retirement gift of a fun caricature, signed by chapter members for his contributions to the Chapter and his retirement from the State of Wyoming. The official election ballot results for the Board of Directors was approved and the 2011-2012 Officers and Board of Directors were sworn in.

  17. Special Projects • Community Involvement – Charities, Services, etc. Comea Shelter, Jeff Stewart transplant fund, Food Banks, Boy’s and Girl’s Club, ARMA International Educational Foundation, Wyoming Climb, Wyoming Chapter of ARMA members. • Other professional organization projects/relationships -WYSHRAB, City of Cheyenne, Department of Transportation, Department of State Parks and Cultural Resources, ARMA International, Public Service Commission, Wyoming Travel & Tourism, Wyoming Department of Corrections, & the Arts, Parks & History Bookstore. • Scholarship programs/promotions –Scholarships: • Academic Scholarships for two individuals. • Tony Award - two ARMA & Chapter Membership scholarships. • Mentoring activities -Three Board of Director members attended a Northern Colorado Chapter meeting in April. • Vendor Relationships -NA

  18. Special Projects-Board of Directors • List and explain special projects that the Board or Committees tackled this year: Per our By-Laws, the chapter, sends the chapter president to the ARMA International Annual Conference. However, this last year our president did not attend with the express desire to send chapter members to other “regional” meetings and conferences. We did have three attendees attend a Northern Colorado Chapter monthly meeting and the driver donated her gas so this was a very low cost educational opportunity. We had more interest for other regional events, but unfortunately the timing and dates just didn’t work for our members. We had some interest in attending the Northern Colorado & Mile High Chapters’ Conferences, but again, timing just didn’t work out. Some board members thought this was only for board members, where as it was in fact, intended for any interested chapter members.

  19. Successes, Challenges & “Different” • What were your chapter’s top successes? (1 to 3 examples) 1.Our Archives Day Workshop and Annual Spring Seminar were great successes given the economy. The Workshop (October) and Spring Seminar (March) were well attended and had the weather forecast been better for our Spring Seminar – we’d have had an even larger attendance. Archives Day Workshop and Spring Seminar topic (Social Media/networking) were well received. • What really challenged the Board and/or Chapter this year? (1 to 3 examples) 1.Sadly, one board member caused a heap of problems: i.e., Constantly questioning what the board had done for over thirty years; Causing considerable stress during and outside of board meetings.. Unfortunately this individual was not new to the chapter or to the board & did not look at her service on the board as anything but “what was in it for her”, thus causing considerable hate and discontent. 2. Board leadership sought assistance from Regional Management and HQ, and for the first time ever (in 37 years) used a ballot format for election of our 2011-2012 Board of Directors. 3. Fortunately this individual was voted off the Board….. WHEW !!! Thank you JoAnn and Trevor for your guidance during this difficult period.

  20. Successes, Challenges & “Different” • What would / could the Board of Directors have done different -or would try next time? (1 to 3 examples) • After the fantastic successes our Chapter has experienced, we’d simply prefer to look to the positives that are in front of us …… and go forward. • Our first big event will be October 7th, when we will again co-sponsor the 2012 Wyoming Archives Day Workshop - hosting Geoffrey A. Huth, State of New York Records Manager, for an Archives Electronic Records 101- Workshop in Cheyenne, WY.

  21. 2010-2011 Year Conclusions • Please share one or two expectations or ideas you have for the coming Chapter year. • We look forward to trying to offer additional educational opportunities for members across the state (i.e., most of our activity is in the SE corner of the state). We’d like to provide resources for others around the state, (providing funds are available), with more links and events. • We have a great board & membership - but we would really like to see more state-wide membership involvement, and I think we can get it if we provide the opportunities for professional / educational development.
