Main Interactions with HETAC Provider submits learner registration using the HETAC data portal HETAC uploads learner files to HETAC database and issues broadsheet files to the Provider The Provider enters results on broadsheets, these are presented at the Examination Board meeting, which is usually held twice a year (summer and autumn) The Provider then returns Broadsheets to HETAC HETAC uploads broadsheet files to database and issues Result Lists to the Provider to confirm that data transfer is accurate. HETAC issues Parchments in time for the provider conferring ceremony and Single Subject Certificates (upon request from the provider)
Results List • After broadsheets have been returned to HETAC and uploaded by the LSU, a list of all learners currently registered on each programme is created and sent to the provider.
It is critical to double check the following details on the result lists: • Learner name – (spelling, layout of name) • Stage – Please ensure that learner is registered for correct stage of programme • Programme title – this is what will appear on parchment so must be accurate
There are two results list specific to ACCS learners that will be sent to the provider alongside the regular learner result list: • ACCS Full Award Result List • (This is a list of all learners that HETAC records as presenting for a full award. Please ensure that the GPA and overall result are accurate). 2. ACCS Subject Confirmation Result List - (This is a list of each ACCS learner alongside the modules that they were registered for in that sitting. Please ensure that all modules are noted on the list along with correct result.)
Once the result lists have been returned to HETAC and amendments have been made, parchments are ready to be printed. We print parchments by provider, in order of conferring – so it is important that you keep us informed if there are any amendments to the conferring date. Before parchments are sent to providers we double check what has been printed against the returned broadsheets and do a total count of learners per programme.
You will find a delivery docket from the LSU enclosed with the parchments that are sent to you. This docket details the programme codes and titles that parchments were printed for and a total number printed for each. Please sign and return the white page of the docket to the LSU to confirm that all is in order. If there are any issues please contact the LSU immediately. Receipt of Parchments by provider
All HETAC parchments are sent to providers by registered post or courier. We aim to have parchments with the provider 1-2 weeks before conferring, however delays will be incurred if there are issues surrounding amendments to result lists etc. All parchments should be distributed to learners at HETAC conferring. If this is not possible please forward all parchments to learners by registered post.
