Flow Of Communication • Internal Communication Exchange of Information and ideas within the Organization. • Levels: • Downward Organizational Decision from top level management to downward level. This motivates the employees to work more efficiently • Upward Getting feedback, reports, response from downward management to know the problems of the organization more closely. • Horizontal Flow that takes place between department, peers and employees about making projects, discussion between them, meetings, memos etc. Note: These are all formal flow of communication within an organization.

Informal Internal Comm. • Grapevine: “An informal network of Communication that people use to communicate rumors, gossips and casual way of conversation among peers” • This is most of the times an important source of information. • External Communication : • Outisde the Org: • Proposals , reports , telephone call, creating goodwill etc

Preparing Effective Business Messages Five Planning Steps • Define the purpose of the Message: • Informational • Persuasive • Agreement/ Negotiation • Analyze Your Audience- Readers or listeners • Meeting the needs of your Readers • Keep in mind : Who are they ? • How big is the audience? • How Good are they at the subject your are discussing? etc

  6. Cont. 3. Choose the ideas to Include: • Consider your audience view point • Put yourself in place of your Listener/Reader • Ask your colleague/ Employees Etc. 4. Collect data to Support your Ideas • Be sure the info is accurate • Select Authentic Data • Choose Appropriate channels
