  3. E-Meeting Examples • Various types of e-meetings discussed • Discussion Boards • Limited Duration Services • Correspondence Groups (e.g., mail exploders) • Teleconference with electronic document access • “Web” meeting and its various flavours GSC-8, OTTAWA

  4. Keys to Successful E-Meetings • Most closely follows format of a face-to-face meeting • ITU’s use of “Discussion Boards” successful • FOCUS, FOCUS, FOCUS in the terms of reference • E-meetings should allow for participation at a locally-convenient time (worldwide) • participants must be able to reserve time to participate • allow participants to select the most appropriate time to them to work • Clearly defined agenda and timetable are essential to manage the work • Technical Secretariat support essential • post documents, etc. GSC-8, OTTAWA

Face-To-Face Meetings • Face-To-Face meetings are invaluable and cannot be fully substituted through electronic support • use video or multimedia as a supplement • Electronic support invaluable • Ready access to documents • Proofing and versioning • Cataloging, searching and distribution • Access to Internet • External servers • Mail • Near real-time access to expertise GSC-8, OTTAWA

  6. Factors AffectingE-Enhancements to Meetings • Transport • Sufficient bandwidth & availability • Both intra- and extranet capable • Content • Document services, including both machine and human resources • Support • Technical assistance to individuals, equipment GSC-8, OTTAWA

Factors Affecting Participation at Face-to-Face Meetings • Demands of participants of current electronically-enhanced meetings include • Need for high-speed access Internet • Need for connectivity not only at meetings but at place of rest • Demands of industry of their participants • Reduced costs of travel • Reduced times in situ • Constantly in contact GSC-8, OTTAWA

E-Meeting Support • EWG has substantial resources to assist with e-meeting planning • “been there, done that, got T-shirt” • As technology evolves, so will EWG to respond to innovations • Collective experience in leading-edge technologies • GSC “Prime Directive” – Share and Cooperate GSC-8, OTTAWA

  9. Need For Outreach • TTA identified need for visibility of PSO specific standards • e.g., TTA work on WINC, WIPI • Proposal to add links to ETSI GSC site • PSO Work Plans (not being fully used) • PSO News • ESTI Portal REMINDER: PSOs can ask to place info on GSC site GSC-8, OTTAWA

EWG Intersession Work • Record collective experiences with e-meetings • To use GSC Guidance Document as vehicle • Urge all PSOs to provide (through a liaison) their experiences • Provide more effective exchange through ETSI GSC web site (http://www.gsc.etsi.org and http://www.ewg.etsi.org) GSC-8, OTTAWA

  12. Electronic Working, yes, but… • Remember the HUMAN factor • We need rest • We need socialization • We need relaxation • Objective: to maximize overall productivity GSC-8, OTTAWA
