Posting Charges MedTrak Unbillable Charges Dashboard displays total amount of charges for patient visits that are ready to post to an invoice Billing editor with clinical staff has done the following: Cleared encounters needing authorization Reviewed demographic changes to patient and employers Reminded physicians of encounters still needing history/exam completion Sent Further Review Needed(FRN) messages to clinical staff for clarification
Encounters Ready for Billing • Charges available for review include all visits that are ready for posting that have not an FRN order on them • Further review done includes all visits that have FRN order on them that has been completed by clinical staff • Figure 24-1 Unbilled Charges Dashboard • Do This! Reviewing The Line Items • Several line items appear with “IGNORE” or “HEADER” in charge amount field • MedTrak automatically ignores header information and prescriptions because these are not billable • The ignored line item provides additional information for billing editors • Sometimes line items appear with a “0” amount to notify the billing editor of certain procedures performed for patient to indicate how involved the visit was • Billing editor manually ignores the “0” amount line items before posting to bill • To correct a line item that has an erroneous code place cursor in command field next to line item and click Change button • You can send a message to billing rules manager to correct a rule for future use
Assigning Diagnoses To The Line Items • MedTrak automatically assigns a diagnosis to each line item • Every line item needs an appropriate diagnosis attached to it for presentation to payer on CMS1500 form • Figure 24-6 Chart of diagnoses associations
Posting The Charges • Other supplemental info is needed for some invoices • MedTrak provides access to these field through Supplemental Info button • After reviewing all charges billing editor posts charges to an invoice by placing cursor in any of line items command fields and click Post Charges button • Medtrak will perform a number of edits to check line items charge posting for accuracy and completeness of data • If any edit fails, MedTrak will refresh charges screen with an error message presented in red under date and time at top of screen. If no errors are found MedTrak will post invoice
Posting The Charges • Some line item edits include: • Line item amount is not zero • CPT codes exist for each line item (or HCPCS or NDC codes) • If there are multiple diagnoses each line item is associated with a diagnosis • Unbilled Charges: Patient, COMM Ins screen will reappear with a “Post completed…” • Message at the top • Figure 24-7 Unbilled Charges: Patient, COMM IBS screen cleared • Figure 24-8 Unbilled Charges Dashboard cleared • Do This!
