Maximizing Efficiency in an Ever-Changing Environment Brian Hill, President, General Revenue Corporation FABSAA Annual Conference 2018 Daytona Beach, Florida
Agenda Part I- How to identify areas of optimization Part II- How to properly communicate change Part III- Change is here! Ai and Machine Learning
Part I: How to identify areas of optimization
How to identify areas of optimization “Fresh Eyes” • If you have direct reports- spend time doing their job • Survey the staff- ‘What could/should we be better at’? Everyone wants to be better at their job.
How to identify areas of optimization DON’T STOP ASKING QUESTIONS • From the very beginning of a process to the end, you must continually probe to ensure you’re operating at maximum efficiency
How to identify areas of optimization Opportunities are categorized into 4 areas: • Over-production • Waiting (for people, equipment, paperwork, etc.) • Transporting (between processes) • Defects
Implementing change Analyze the change: • Is it minimal? • Is it drastic? • Who is impacted? • How about complexity level? • If your proposal is a high level of complexity, a GANTT chart can be your best friend and hold all parties accountable.
Part II: How to properly communicate change
Communicating change-Be a goose! • Share a common goal: As each goose flaps its wings it creates “uplift”. By flying in a V-formation, the whole flock achieves a 70% greater flying range than if each bird flew alone. • Increasing visibility:Flying in a V-formation • increases the visibility as every goose can see what’s • happening in front of them. • Empowering others to lead:When the lead goose in the • front gets tired, it rotates back into the formation and allows another goose to take the leadership position
Communicating change-Be a goose! • Always recognizing great work:The geese honk to recognize each other and encourage those up front to keep up their speed. • Offering support in challenging times:When a goose gets sick or wounded, two geese drop out of formation and follow it down to help and protect it. They stay with it until it dies or is able to fly again. Then, they launch out with another formation or catch up with the flock.
Will everyone be onboard? • Give people multiple opportunities to share concerns, ask questions, and offer ideas, and make following up with answers and updates a top priority • WIIFM- use this to your advantage • Last resort- Bus method
Part III: Change is here! Ai and Machine Learning
Definitions • Ai = Artificial Intelligence is the concept of machines being able to carry out tasks in a way that we would consider “smart” • ML = Machine Learning, is the practice of using algorithms to parse data, analyze it, and then make a determination or prediction. • (Think Tesla, Alexa, etc.) • 90% of the worlds data has been created in the last 2 years!
Ai and you today • National Basketball Association (NBA) • In all 29 NBA arenas, a company called Stats uses a six-camera rig, recording data 25 times per second, to track the position of the ball and each player • Data pulls in reports offering details such as: what part of a basketball a player touches, a player's speed during a play, and how close defenders get to other players during a game • Retail stores • Regularly track demographic and biometric data like age, gender, and mood just from reading faces of customers on video cameras • Can’t pull social media information because networks like Facebook and LinkedIn don't allow that kind of third-party access to their systems (but they’re trying)
How could Ai impact your institution? If you have ever sent emails, texts or instant messages to your students to answer questions, could those be automated?
How could Ai impact your institution? What if AI could predict a student’s propensity to drop out of school while the applicant was registering for the next semester?
What about you and your institution? • What do your campus operations look like in 5 years? 10 years? • What does your specific job function look like in 5 or 10 years? • Finally, what are you going to do about it?
