  3. PENN Community ProjectOverview Collect and manage the most commonly used information needed for identification, communication and controlling access to privileges at the University. Develop processes and procedures that will improve the quality and usefulness of this information. Support the clients using it. • Business Services • Information Systems and Computing Project is sponsored by:

PENN Community ProjectOverviewPenn Community contains the most commonly used Biographic, Demographic and Affiliation data. • Biographic data – Needed to establish unique identity and assignment of a PENN ID. (i.e, Name, Date of Birth, SSN) • Demographic data - Various forms of contact information. (i.e. Postal address, phone and e-mail) • Affiliation data - Record the relationship(s) a member has with the University. (Student, Faculty and Staff)

PENN Community ProjectBackgroundWhen discussing PENN Community, a brief discussion on its relationship to the PENNcard System is helpful. • Consolidate data from multiple sources into one location. • Manufacture id cards. • Distribute data to other application systems At the highest level, PENNcard performs three major functions:

PENN Community ProjectBackgroundSome responsibilities change with PENN Community.PENNcard becomes a customer of PENN Community. • Consolidate data from multiple sources into one location. - Moves from PENNcard to PENN Community • Manufacture id cards. - PENNcard continues to manufacture cards. • Distribute data to other application systems. - Initially, remains with PENNcard. Over time PENN Community will pick up data distribution duties.

PENN Community ProjectPhase I Objectives • Manage Biographic, Demographic and Affiliation data separately from ID card issuance. • Improve data integrity. • Recognize multiple affiliations. • Enable systems to use PENN ID in place of Social Security Number. • Support clients using PENN Community data. • Support PENNnet id to PENNkey conversion

  11. PENN Community ProjectPhase I Deliverables Objective: Manage Biographic, Demographic and Affiliation data separately from ID Card issuance. Deliverable: • Oracle database structures. (5/20/2002) • Process to add new affiliate groups in batch mode. UPHS will be the first. (5/20/2002) • Web-based data entry tool for managing biographic, demographic and affiliation data. (5/20/2002) • Data entry tool can be used by Schools and Centers. Used for affiliates that don’t arrive via batch interface. (6/10/2002)

Deliverable: • Software tools that will identify and manage data conflicts as they are received from source systems. Prevention of duplicate ids a priority. (5/20/2002) • Procedures for communicating and resolving data conflicts with source system stewards. (5/20/2002)

(5/20/2002) • Oracle data structures to record PIN usage activity. (5/20/2002) • Process to print single PIN letters on demand. (5/20/2002)

  17. PENN Community ProjectSummary of Benefits What does PENN Community do for me? • Control over duplicate ids. • Ability to enter data for affiliates. • Convert systems from SSN to PENN id. • Manage privileges based on affiliations. • PIN letters for PENNkey. • Multiple affiliations.

PENN Community ProjectFutures • Coordinated effort to resolve existing duplicate ids. • Continuous improvement to the data. • Migrate data extracts from PENNcard to PENN Community. • Investigate a new Directory System. • Accept more affiliate groups in batch mode. • Pre-generated access control lists.
