    2. ! Important Dates ! Census day is 19th May 2011 Return to us by 26th May 2011 Attendance: Spring Term 2011 (1st January – 24th April 2010) Exclusions: Autumn Term 2010 (1st September – 31st December 2010) Learning Aims: 8th October 2010 – 19th May 2011

    3. IMPORTANT! Data submitted by the 26th of May will receive the usual data checking sheet, data submitted after will not!

    4. How many pupils are studying a particular course Exactly which course should be recorded – you must know the QAN! If an entire course is missing from the return If one of the courses included on the return is not offered at the school

    5. Make use of the Learning Aims Detail Report – and save the final version! Consortia - All post-16 pupils attending more than one establishment should be dual registered (possible change in September…..) End dates should be on or before 31st July in the academic year in which the learning aim is expected to end. Completion status must be entered for any pupil who has withdrawn or transferred from a course. Points to remember!

Post 16 Learning Aims in SIMS Census Tools - allows new QANs to be brought in to SIMS .net Maintain Course - allows detailed management of courses Nova-T and Academic Management - allow class information to be edited which is then available to courses Update Course Memberships - ensures that class information is accurate Leavers routines - ensures that course completion information is added when a student leaves the school NEW Update Learning Aims Panel - Post 16 area of census!

    9. Update Learning Aims New panel for Summer 2011 PEND date used for matching – leave alone if possible Update from Course Manager!!!???

Preparing the Learning Aims Information Take account of any new classes (Nova & Course Manager) Check multi-year Learning Aims (end dates in Course Manager) Maintain existing course memberships Make sure actual end dates are accurate update course memberships and manually edit protected courses Take account of any re-sits Enter completion status for memberships that have completed / ended prematurely Check / Update students’ course information Take account of errors sent in Autumn term 2010

    13. Checking / Running the Census Create and Validate as normal – follow notes! Print the “Summary Report” for checking Print the “Detailed Pupil Learning Aims Report” for checking Use “Update Learning Aims” panel & Course Manager routines

    17. IMPLICATIONS OF GETTING IT WRONG Loss of funding to school over a number of years Measured against incorrect data for planning purposes Poor audit findings

    18. QANS & Discount Codes Summary If incorrect QANs are submitted, the accuracy of the calculations made by the YPLA will be affected, resulting in inaccurate funding allocations being made to Schools. It is therefore essential that the correct QAN is entered for each learning aim submitted.

    19. Learning Aim Dates If the learning aim status is shown as ‘Completed’ ‘Withdrawn’ or ‘Transferred’ a Learning Aim Actual End Date should have been entered. The Learning Aim Start and Learning Aim Actual End Dates should not be dates that are in the future.

    20. LIFE AFTER THE CENSUS ? YPLA Session at Tillington Hall 12th May on the data and its use in funding. New data cleansing exercise is on the radar – dates and timescales not known. Keeping data up to date.
