What is the Technology Refresh Project? • Replacing all public-use computers running Windows 7 operating system: • Resource Rooms: • Training Rooms • ADA - 81ea 24 inch monitors with swing arm • Outreach/ Rapid Response - 80ea portable devices • Replacing out-of-warranty ESD issued staff computers • Installing new Cisco Webex Teams Video Conferencing • Upgrading the conference room and remaining windows 7 computers to Windows 10 + Office 2016

Why are we replacing computers now? • Public Use: • Windows 7 EOL January 2020 • IRS Audit Finding • PFML Audit Finding • WaTech OCIO Security Compliance • Staff: • Goal is to have all ESD issued machines under warranty • Provide a laptop to all ESD staff to prepare for Telework / mobility • Video Conferencing: • Service Enhancement • Multiple systems in use today, goal is to set a standard reducing support complexities and provide compatibility at all facilities • Support Teleworking initiative

What are the risks? • Facts • January 2020 timeline: Microsoft End-of-Life Support • This project will impact staff and job seekers • Implementation will impact business operations • Gaps with technical and warehouse staffing resources • One solution does not meet all business needs • Asset Management Policy update • Assumptions • Purchased desktop for public use resource rooms and laptops for training rooms • Project only procured 50% of new monitors for staff computers • ESD issued desktop devices to WorkSource partners • WorkSource offices to begin to transition to cloud-based services, for this reason, ESD purchased Microsoft Office for only 25% of public use machines.

Public Computer Overview • Resource Room:  Desktop computer + Single Monitors, keyboard and mouse.  • Training Room:  Laptop computer, no monitors keyboards or mice.  • Charging cart provided for every 15 laptops. • TV's & Projectors:  Desktop computer + keyboard and mouse.  Note: Microsoft Office additional $503.81 per device

Staff Computer Overview • Mobile Users:  Laptop computer; The expectation is that these staff carry their laptop from site to site.  Windows 10 Office Professional 2016 • Desktop User:  Desktop computer + two monitors, keyboard an mouse.  Windows 10 Office Professional 2016 • Hotel Station: Expectation the staff are assigned to work at alternate work location (not to include Telecommuting) ITSD can provide Hotel Station

When is this happening? • Installation schedule and surplus August, 2019 through Thanksgiving • Over 40 + WorkSource locations spanning across the state in all 12 WDAs Tech Refresh Visits (WDA) Installation Pilot Phase Acquisition June – July 2019 August 2019 April - May 2019 September – November 2019

What is the approach? • During the technology refresh visits at each WDA • Gather business requirements for public-use computers • Customize Windows 10 Kiosk computers for each WDA • Verify all the locations for mobile user • Identify the printers that will be used by public (Fax, Copy / functions) • Identify (verify) Wireless network or coordinate with ISP (Non-ESD circuit) for Wireless • Due to time and resource constraint, the agency will be contracting a vendor to remove, install and replace all the computers and associated hardware during the installation phase of the project • ITSD to provide training • Video Conferencing – provided by Cisco • Public Use devices

Next Steps • Schedule site prep/survey, delivery, installation and surplus • Customization – Windows 10 Kiosk • Print/Fax service assessment • WIFI assessment VPN sites • Training and documentation • Local Office Point of contact • Facility access and security controls • Technology navigators • Telecommuters • Staff that are outstations or collocated (location)
