  2. What Is E-filing? • The ability to electronically file the following UCC documents: • Initial financing statements (UCC1) • Amendments (UCC3) including amendments, continuations, in lieu of filings, and terminations • Perform searches (UCC 11)

Great News About E-filing! • On-line filing of UCC documents is a flat $8.00, plus a $1.00 convenience fee (per filing) regardless of the number of pages. • On-line searches are free! • Your results are virtually instantaneous. Filings are committed and available to view within 10 minutes upon successful filing.

  4. How Do I Pay For E-filings? • You can complete UCC filings via an ACH account. • Credit card filing will be available in the future. • Remember, searches (UCC11) are free if you do them on-line.

  5. How Do I Start The Process? • Complete an ACH Authorization form and mail it into the Secretary of State’s (SOS) office. • Upon receipt, the SOS office will establish a Corporate E-account. • Upon receipt, the SOS office will also transmit a test transaction, with no money attached to it – this is called a prenote. • SOS will notify you when the Corporate E-account has been established and you can begin E-filing. This normally occurs 7 business days after receipt of the ACH Authorization form.

Next Steps • Once you receive notification from the SOS’s office of your Corporate E-account user name and password, you must perform the following steps: • Create a Personal Account for each user that will be filing UCC documents • Sign onto your Corporate E-account and link the personal accounts to your Corporate E-account. This is done by selecting My Profile and Manage My Representatives. • You are now ready for each user to sign on using their personal account user name and password.

What Are Personal Accounts? • The purpose of a Personal Account is to allow the Corporate E-account to control who files against their Corporate E-account. • A Personal Account is only for your use. • You must create a Personal Account for each filer. • Once your Personal Account is linked to the Corporate E-account, all filings will reflect your name as the filer and will be paid through your employer’s Corporate E-account.

Let’s Begin – New Financing Statement • Log onto the web site. • Select My Filings and the type of filing you want to file (New Financing Statement), a UCC-1. • Enter a Internal Tracking Number in the “Packet Number” field. (This is for your own use and is limited to 30 characters. Many use this to record either the debtors’ names or loan number). • Select Filing Type (usually UCC) and Name Designation (usually Debtor/Secured Party). • Remember to select Continue.

Continuing – New Financing Statement • Each tab represents an area where you may need to enter data. • The tabs you use the most are Debtor, Secured Party, and Collateral. • Just click on the specific tab you are wanting to access and select the appropriate action (add/edit/delete). Then begin entering the data. • Always remember to select Save after you’ve entered your data for a specific tab.

Completing – A New Financing Statement • Once you have entered all the necessary data for each tab, select My Filings and In Progress. • If you wish to view the document prior to filing, select View Document. • When you are ready to file, make sure your particular filing is selected and then select File Document. • Continue checking out your Document until you receive a screen back stating you have successfully filed.

Amendments – UCC 3 • Amendments are much like initial filings. • An internal tracking number is required. • The initial file number has to exist at the SOS’s office. • A drop down menu to indicate the type of amendment that is to be submitted. • Only one action is allowed per e-filing amendment. • You only enter information regarding what you are amending. For example, if you are amending a debtor’s name you will enter the debtor information only.

Completing – An Amendment • Once you have entered the corrected information, and selected the Save button, you return to My Filings in Progress. • If you wish to view the document prior to filing, select View Document. • When you are ready to file, make sure your particular filing is selected and then select File Document. • Continue checking out your Document until you receive a screen back stating you have successfully filed.

Getting Your Acknowledgement • You will receive an e-mail notifying you of your successful filing. • You may view your filing and acknowledgement, either by clicking on the link provided in your e-mail or selecting the Acknowledgement button. • The Acknowledgement button allows you to view your filings by a date range. If you select Search for the Previous Seven Days, you will see any filings you completed today. • You can click on the filing number, and retrieve a copy of the filed document with the official burned image. • You can click on the acknowledgement (view) link, and retrieve a cover page providing your filing information on the SOS’s letter head.

My Profile Information • This information can be viewed and edited. • If your Personal Account information such as e-mail address changes, you or the corporate agent/rep can edit that information. • You will also notice this is where the Corporate agent/rep can manage your employer’s Corporate E-account (e.g. add or delete Personal Accounts).
