RDA and the LC/NACO Authority File Gary L. Strawn Northwestern University Library mrsmith@northwestern.edu
Record counts • Intended primarily to give a notion of scale • Not intended to be definitive • Counts will change as specifications change
Two PCC task groups • Original: PCC Task Group on AACR2 & RDA Acceptable Headings What can be done to prepare LC/NACO Authority File for RDA? • Current: PCC Acceptable Headings Implementation Task Group Make this happen
Original implementation scheme • Phase 1: All records that cannot be used under RDA: mark with 667 • Phase 2: Make mechanical changes where possible; re-code some AACR2 as RDA; ready for "Day 1" • Phase 3: Re-code remaining acceptable AACR2 records as RDA (~7,600,000)
Invitation to discussion • Wrote series of detailed documents • Wrote test program • Solicited comments • Not as much participation as I would have liked
Notable things people didn't like • Some records issued twice • Too many re-issues; no need to re-code the 7,600,000 acceptable AACR2 records as RDA (but opinions divided)
As a result of comments • 5 alternate scenarios proposed and discussed • Alternate #3 recommended, approved by PCC
Revised implementation scheme • Phase 1: mark unchangeable, unacceptable records (~420,000) • Phase 2: mechanical changes (~350,000) • Later re-coding of the 7,600,000 AACR2 records not contemplated, but not is not ruled out
Features of revised implementation scheme • Records only issued once (details on next slide) • State of record not necessarily explicit until end of phase 2 • Unchanged, acceptable AACR2 records not recoded
Record state not always explicit • Records with Phase 2 changes are not issued in Phase 1, so no 667 for records-to-be-changed • Between Phase 1 and Phase 2, operators must be especially attentive • On Day 1, things should be clearer
After phase 2, on Day 1:3 categories • RDA records (including ~300,000 AACR2 re-coded as RDA because otherwise changed) • Records not suitable for use under RDA without review; marked with 667 field • AACR2 records suitable for use under RDA
667 text • THIS 1XX FIELD CANNOT BE USED UNDER RDA UNTIL THIS RECORD HAS BEEN REVIEWED AND/OR UPDATED
Mark with 667 fields? • Pre-AACR2 records (008/10=a,b) • AACR2-compatible records (008/10=d) • AACR2 records with elements not compatible with RDA
AACR2, not compatible with RDA? • 100 subfield $c unless defined as acceptable • (Ongoing) conferences • Subfield $l has "Polyglot" or "&" • Treaties • Librettos and texts
Mechanical changes? • Replace b./d. in X00 $d with hyphen • Replace music abbreviations • Remove testament from "Bible" headings • Replace "Koran" with "Qu'ran" • Parentheses in X00 subfield $c • Adjust date subfields ($d and $f) • Change 'violoncello' to 'cello'
Mechanical changes when record otherwise re-issued • Any phase: Create 046, 378, 382-384 fields • Any phase: Set undefined indicators to 'blank' • Phase 2: Re-code acceptable AACR2 records as RDA • Phase 2: Remove RDA 7XX fields (see later)
Performing the work • Conversion program • Will be run at LC • Change 30,000 records per day • 5 days per week • Weekly names distribution: ~150,000 more records than usual
Schedule • Phase 1 Begins when testing complete (some time in July 2012) 10 days' notice will be given Completion: 3-4 weeks after start • Phase 2 Begins March 1, 2013 Finish coincides with Day 1
RDA 7XX handled between phases 1 and 2 • List produced by conversion program • List posted for use by interested parties • RDA 7XX only interesting if different from non-RDA 1XX • Review is entirely operator-based; no programmatic changes
Cleanup after phase 2 (sample) • 'Dept.' not expanded • ‘arr.’ not expanded • Unexpected abbreviation in X00 $d • Could not create 046
Conditions may change • Definition of acceptable texts for X00 $c • Disposition of 'Apocrypha' • Conversion program written to allow for the possibility • Changes affect number of records to be issued
Other things will need attention • LCSH authority records • Local authority records • Bibliographic records
