What is Personal Leave? • New leave type which replaces a number of leave types that were available under the ANUEA 2000-2003 • Personal Leave specifically replaces: • General Staff Sick Leave • General Staff Family Leave • Bereavement Leave • Special Leave • Ceremonial Leave • Blood donor leave no longer appears as a specific leave type, nor is it specifically listed under Personal Leave
How can Personal Leave be used? Clause 36 • recovering from illness (general staff)* • care & support to ill immediate family member (general staff)* • death of immediate family member • attending significant cultural events • other compassionate or appropriate grounds as determined by Delegate • Medical certificate required for absences exceeding 5 consecutive working days
How can Personal Leave be used? Clause 38 • Taking other leave in relation to the birth, adoption or guardianship of a child
Personal Leave Entitlement • Full Time/Standard General staff - 20 days for each year of service for the first 3 years, 25 days for each year of service thereafter • Full Time/Standard Academic staff - 5 days for each year of service • Fixed Term 6 months or less - 50% of relevant entitlement • Part Time – Pro rata entitlement
Personal Leave Effective Dates • Effective Date is 29 January 2004 (first day of pay period in which the EA was certified) • Proposed implementation date is for Pay Period End Date 24 March 2004 (Pay 406) • Note: This date may be delayed a fortnight depending on final user acceptance testing
Personal Leave Accruals • All accrual rates are based on service hours and are pro-rated for part-time staff • Accruals are in Hours (no longer Weeks) • New staff are given the accrual for their first year based on their service hours at commencement of employment • Subsequent accruals are given on the anniversary of service date based on the number of service hours in the previous service year
Personal Leave Conversion Academic Staff • Academic staff enrolled in ANU Personal Leave Plan effective 29/01/2004 • A balance of 5 days or 35 hours (pro-rated for P/T) is credited to Personal Leave balances (Entitlement and Hours Balance) • Conversion process run to calculate Pro-Rata balance from 29/01/2004 based on Service Hours • Personal Leave accruals run for each pay period to update Pro-Rata balance and roll over Pro-Rata balance into Entitlement if Service Date in current pay period
Personal Leave Conversion General Staff • General and leave-accruing academic staff enrolled in ANU Personal Leave Plan effective 29/01/2004 • All current Sick Leave balances converted to Hours • 35 hours (pro-rated for P/T) is added to converted Sick Leave balances and credited to Personal Leave balances (Entitlement and Hours Balance) • Conversion process run to calculate Pro-Rata balance from previous Service Date anniversary based on Service Hours using the following formula
Personal Leave Conversion General Staff (… cont.) • General Staff Pro-Rata Calculation Formula • Determine Service Hours from previous Service Date anniversary to 28/01/2004 and from 29/01/2004 to conversion date • Accrual for Service Hours to 28/01/2004 based on “old” Sick Leave rate (15 or 20 days per year) • Accrual for Service Hours from 29/01/2004 based on “new” Personal Leave rate (20 or 25 days per year) • Pre and Post 29/01/2004 accruals added together and credited to Pro Rata balance
Personal Leave Conversion General Staff (… cont.) • Personal Leave accruals run for each pay period to update Pro-Rata balance and roll over Pro-Rata balance into Entitlement if Service Date in current pay period
Personal Leave Scenarios • Full-Time Academic Staff member • Service Date = 16 June 1995 • Personal Leave accrual at implementation = 35 hours * • Personal Leave accrual at 31 June 2004 = 48.42 hours * • Personal Leave accrual at 31 June 2005 = 83.42 hours * • Minus any Personal Leave taken
Personal Leave Scenarios • Full-Time General Staff member • Service Date = 16 June 1995 • Sick Leave Balance at implementation = 26.5 weeks (927.5 hrs) • Personal Leave accrual at implementation = 962.5 hrs * • Personal Leave accrual at 31 June 2004 = 1115.459 hrs* • 16 pays at “old” rate (85.867 hrs) + 10 pays at “new” rate (67.093 hrs) • Personal Leave accrual at 31 June 2005 = 1290.459 hrs * • Minus any Personal Leave taken
Personal Leave – HORUS Changes • The following leave types will be added to the list of leave types that can be entered online: • Part day must also be available for each leave type so Personal Leave is likely to have its own ‘drop-down’ list if selected
