Qualification—Club MOU • Terms of Qualification • Clubs that receive certification are qualified for one (1) year. • 2 club members must attend yearly a Grant Management Seminar (GMS) held by District 7360. • Clubs must submit a MOU to the District 7360 DRFC (Carl Askew) • Clubs must have contributed $50 Per Capita to the Annual Program Fund three years prior or $100 per capita in the current year (APF) • Clubs must disclose any conflicts of interest and cooperate with any District or TRF audit. • Club President must have attended PETS or equivalent.

22. Terms of Qualification • Qualification valid for One Year • Club must comply with MOU • Club is Responsible for use of grant funds • Cooperate with audits & investigations • Suspended for misuse of grant funds

23. Club Officer’s Responsibilities • Two members to implement, manage and maintain club qualification • Ensure proper stewardship and proper management practices for all grants • No conflicts for individuals involved

24. Financial Management Plan Written plan containing procedures to: • Maintain a standard set of account • Disburse grant funds • Maintain segregation of duties for handling funds • Inventory system for equipment and assets bought

25. Bank Account Requirements • A separate account for TRF Global Grant funds • Signature of at least two Rotarians • Bank statements to support receipt and use of grant funds • Grant funds cannot be deposited into investment accounts (CD, bonds, stocks, funds) • Written plan to transfer bank signatories

26. Report on Use of Grant Funds • Adhere to all TRF reporting requirements • To report to TRF of grant’s progress and how funds are spent

Documents Retention • Maintained for 7 years and accessible to Rotarians in Club and District • Documents include: • Club Qualification documents including MOU • Bank information, including bank statements • Financial management plan • Procedure for storing documents and archives • Succession plan for bank account signatories

28. Reporting Misuse of Grant Funds • Must report any potential and real misuse or mismanagement of grant funds to District • How to resolve?
