What you should consider when moving • When does your existing product expire? • What permissions do team members require? • Does your team have relevant training? • Notify Medicare that you are changing products • Let them know your new Minor ID provided by Best Practice • How will you claim for items that cannot be claimed again within 12 months? • What reports do you require for your practice? • Does your practice require custom fees for MBS Items? • Setting up the appointment book prior to ‘going live’ Bp Sunshine Summit 2014
Training considerations • Appointment book workflow is essential • Understanding appointment status’s • Printing ‘day sheets’ and other necessities • Creating accounts efficiently • Online Claiming workflow • Handling rejections • Set sending and receiving routines • Finding outstanding accounts – the ‘debtor’ list • Management Reports Bp Sunshine Summit 2014
Notifying Medicare – ‘Cool Down’ period • Fill out all relevant Medicare forms well in advance using Minor ID obtained from the Best Practice Relationship Team • Request to be transferred at least 1 week prior to ‘going live’ • Batches sent under old software require ‘cool down’ period to receive and process payments • No new batches should be created in old software within ‘cool down’ period • New vouchers/accounts should be created in Bp once cool down period begins. Keeping old software for reference • It is strongly recommended to keep the old software product installed to refer to when creating new accounts for existing patients. • Common items that require reference are care plans and health assessments. • Debtors will need to be followed up from old product, however payments must be receipted within Best Practice – re-create old account in Bp to process payment. • Do not update old software or attempt to use any Medicare or DVA services in old software. Financial Reports • Reports are different between each software product available on the market. • From existing reports being used by the practice, match up reports supplied within Best Practice. • Contact your bookkeeper, practice manager, or accountant on what is required from reports to pay practice staff. • Contact Bp Customer Support Team for assistance prior to going live. • Third party software is available to assist with exporting data directly to MYOB and other software • Practice Accounts • OzBiz Solutions • Who has access to reports? • Solo doctors can be granted individual reports for themselves if required Bp Sunshine Summit 2014
Practice fees and custom items • Part of the setup routine is to add and configure your practices items. • Individual fees can be customized for each MBS item or schedules can be created to cater for different fees. • Schedules can be based off percentage or set dollar values • MBS Schedule fees cannot be updated manually • MBS fees are updated through Bp Data Updates (visit bpsoftware.com.au for more info) • MBS Items that have a set practice fee must be updated manually every time new MBS schedules are released. • Custom items must be added for items that are not part of the Medicare schedule – i.e Hand Cream, Vaccines provided, Work Cover Items etc. Bp Sunshine Summit 2014

Appointment Book Setup • Apart from training and fee setup, the appointment book is an essential item required for practice operation. • ‘Layouts’ can be used to separate users in the appointment book • Sessions must be setup for each doctor • Session lengths are based on common appointment lengths set within Setup > Configuration • Practices with Doctors working 12 minute sessions cannot have 10 minute sessions setup at the same time • SMS appointments are available within Best Practice Management • Additional cost for SMS ability (contact Bp Relationship Team for further info) • Internet bookings can be made by using third party software • ClinicConnect • Appointuit • DocAppointments • HealthEngine Bp Sunshine Summit 2014
