  1. Site License Advisory Team August 31, 2012 meeting

  2. Agenda • Self-Service Changes • KMS Updates, Windows 8, & Win Server 2012 • SAS Renewal • Other Software Renewals • Legacy Software and Compliance • OARnet VMWare Order Form update

  3. OCIO Self-Service for Site Licensing • Software is now ordered through: • https://osuitsm.service-now.com/selfservice/ • Ordering process provides a wizard to help individuals determine what they need • Order for yourself or for others • Track your orders • Built by the OCIO Tool Team: Kudos to them!

  4. OCIO Self-Service Tips • GRA/GTA: • GRA/GTA with future appointments (Sept. 1) can’t access software until a)their appointment is updated or b) they get a note from HR. • OCIO doesn’t have visibility into future appointments. • SLSC’s: • All software may now be obtained at $0 cost by SLSC’s • This is for convenience; it’s not an actual pricing change! • Software licenses still have to be paid for, but SLSC’s can now get software they require without going through the payment process if necessary for support

  5. KMS Server Updates • The central OCIO KMS Servers will now activate the following products: • Windows Vista • Windows 7 • Windows 8 • Windows Server 2008 • Windows Server 2012 • Microsoft Office 2010 • http://8help.osu.edu/3636.html

  6. Windows 8 • Windows 8 is now available for all OSU-Owned machines on campus • SLSC’s may download the image from OCIO Self-Service • Upgrade only (you must have a qualifying OS install) • New Features include: • Antivirus built into Windows Defender • Testing shows this does not conflict with SCEP installation • Removal of “Start” button • IE 10 includes Adobe Flash, with site whitelisting • Windows To Go provides an encryptable version of your work desktop

  7. Windows Server 2012 • Windows Server 2012 is now available for all OSU-Owned machines on campus • SLSC’s may download the image from OCIO Self-Service • Activates against the OCIO KMS server (Standard and Datacenter) • Features and Changes: • Ends support for Itanium-based systems • Changes to Active Directory • IP address management (IPAM) role included • New version of Hyper-V

  8. SAS Renewal • Expect a small price increase ($2-3/copy on workstations; servers remain the same) • SAS Business Intelligence • Some departments are interested in this software • SAS BI includes SAS Office Analytics • Student use of SAS now available • Free for students on personal machines • Grad students may also request this, if using on personally-owned machines (not free for OSU-owned grads)

  9. Other Upcoming Renewals • Minitab • Renewed, server updated. • No action needed on users’ part • Autodesk/3Dsm • Renewal of $91 is due each August for continued use. Pricing remains the same • MATLAB • Renewed thanks to Engineering, OSC, Math, & Physics. • Codes now available at IT Service Desk • Codes did not change: reactivation for non-network licenses is as easy as re-running the activation process. • Network codes still need to be generated by OCIO

  10. Legacy Software & Compliance • Do you have old software you are not using? • It is time to try and reduce or eliminate its footprint • Review the OCIO Software Life-Cycle Management Guidelines for additional help: • http://ocio.osu.edu/assets/Software/life-cycle-mgmt-guide.pdf • I encourage you to also examine non-Legacy software, particularly Novell and other difficult-to-license products • Understand the kind of license you have and make sure you have enough licenses!

  11. Common Types of License • Concurrent: • This license means that you need to track how many people are using it at any given point. • Named User: • You are required to license all users, regardless of how many devices they may use. • Device: • You are required to license all devices, regardless of how many users there may be. • User + Device (aka “Named User Plus”): • You are required to license both users and their devices • Full Time Equivalent: • Uses a formula to determine how many licenses are required, based on number of “whole” individuals who may access the software. OCIO prefers Microsoft FTE numbers.

  12. OARnet VMWare Ordering • OARnetVMWare ordering process has been updated • New spreadsheet available (now requires signature) • New product catalog linked from their site • New products: vSphere Acceleration Kits, vCenter Operations Management Suite, Horizon Application Manager, and several vFabricproducts, among others • Direct support for ordering can be obtained through Dana Rodgers @ (614) 292-7025
