  1. Welcome to an introduction of the new INCCA Member Administration Website. This presentation explains in short the main features of the website. The website was created at the Netherlands Institute for Cultural Heritage / ICN by Tatja Scholte and Karen te Brake-Baldock and launched on December 21, 2006.   2. The URL of the website is http://www.inccamembers.org/ This will bring you to the member login page.

  3. Once logged in, members can choose what they wish to do first; add a new record or enter the database.

  4. Members can access and edit their own records via ‘My records.’ These 6 records (highlighted green) are examples to consult for inspiration and tips. In this example we chose to enter a new record first. Navigation boxes for entering records are purple. The blue navigation boxes are for member details and extra information and always remain in view.

  5. If this is the first time a member has entered a record, they may wish to read the guidelines first.

  6. Entering a record is a simple process of filling in metadata fields. There are 19 fields to fill in, only 6 of which are compulsory. However, the more information the member provides the easier it is for a fellow member to decide if they indeed want to request the resource.

  7. For information on how to fill in a certain field, click on the icon next to the field name. Here the Artist field is explained.

  8. Some fields have supporting lists ‘behind’ them. Like artist for example. Choose an artist from the list or enter a new one if necessary. Members can only edit information in supporting lists that they entered themselves.

  9. A great advantage with this system is that we now have a member database. From this overview, you can click on detail to see the contact details of the member. It is also possible to find a member using the simple search tool under ‘Find member’.

  10. Members can change their contact details if needed. This way members have responsiblity over their own details. Members can even add a photo of themselves.

  11. At any time it is possible to switch from the ‘Add Record’ environment, to the ‘Enter Database’ environment. Just click on the button at the top right. We are now in the ‘Enter Database’ environment. The navigation boxes you need to search the database are in green. You can start your search with a quick search. If you do not find what you are looking for we have built in other searching tools.

  12. This searching tool is an overview of all records in alphabetical order (title). It is a very long list, so only really suitable for browsing.

  13. You can also search by artist. Under ‘Artist search’ click on a name in the list to start the search.

  14. Sometimes an advanced search is needed to find what you are looking for.

  15. These are the results by doing an Artist search for Cragg, Tony. To access a full record click on detail.

  16. This is what a record looks like. To request the resource click on the link in the orange field to access contact information of (in this case) the publisher.

  17. A new feature of this database is the possiblilty to link to files (of all formats) and or URLs that relate to the record. One can even link the actual resource to the record so members have instant access to it.

  18. Another new feature is ‘My favourite records’. Here members can collect records of interest as they search the database, so they are easy to find on the next visit.

  19. For help searching the database look under ‘Search tips’. Another useful feature is ‘Latest records’; a list of the last 100 records entered into the database.
