Caveats about Admissions Data and RO’s • “Common” practices exist but not “Standardized” practices • PDQ’s exist, but are mostly for operations and not for reporting • RO’s are more useful • Newer functionality (e.g. app fee data, xfer credit data) has not been fully reviewed or understood by IUBLA • Business practices vary across campuses and even across campus units
Primary RO’s • “Current Rows” (Appls – Current Rows, ADM_CUR_APPL_GT) contains snapshot of most recent action for an application • “All Rows” (Appls – All Rows, ADM_APPL_GT) contains all historical action/reason rows for an application • Both tables include bio/demo data (though no history of this data), some test score data, and some high school data (but not all)
Secondary RO’s • Test Score (Appls Tst Scrs, ADM_APPL_TST_SCORE_GT ) • Education (Appl Ext Educ, ADM_EXT_EDUC_GT) • Relationships (Appl Relationships, ADM_APPL_RELSHP_GT) • Languages (Appl Lang, ADM_APPL_LANG_GT) • Residency (Appl Residency, ADM_APPL_RES_GT) • Recruiting Categories (Appl Rcrtng Ctgries, ADM_APPL_CAT_GT) • Student Groups (Appl Studnt Grps, ADM_APPL_GRP_GT)
For IUBLA, a unique application is determined by . . . • Institution (INST_CD) • University ID (PRSN_UNIV_ID) • Application Number (APPL_NBR) • Admit Type (STU_ADMT_TYP_CD) • Career (ACAD_CAREER_CD) • Application Center (APPL_CNTR_CD) • And now, Program Number (APPL_PGM_NBR)
For degree seeking candidates, you must include • You must add the criteria of “Like *1” to the Program Code (ACAD_PGM_CD)
When tracking applications, dates are important • “Application Date” (APPL_DT) = the date the application enters the building for paper applications and the date the student submits an application in AY for online applications • “Created Date” (APPL_CRTD_DT) = the date the application is loaded into SIS or, in the case of web apps, clears the suspense file • “Row Effective Date” (ROW_EFF_DT) = the date the action/reason is to take effect
Dates, cont. • “Program Action Date” (APPL_PGM_ACTN_DT • ) = the date the Action/Reason was updated by the operator • “Completed Date” (APPL_CMPLTN_DT) = in the case of web apps, this is the date supporting materials were first received by Admissions. This field is invalid for paper applications.
Education • For rank, there are three fields: Class size (EXT_EDUC_SUM_CLASS_SZ_NBR), rank (EXT_EDUC_SUM_CLASS_RNK_NBR), and percentile (EXT_EDUC_SUM_PCTL_NBR). • For GPA, we record a cumulative GPA (EXT_EDUC_SUM_GPA), and a GPA Scale Type (e.g., 4pt, 6pt, 12pt) (EXT_EDUC_SUM_GPA_TYP_CD) that SIS then changes to a value called Converted GPA on a 4pt scale—not always accurate (EXT_EDUC_SUM_CNVRT_GPA). First recorded GPA’s for fall 2003 class • Non-U.S. orgs are recorded, as are secondary and tertiary institutions
Test Scores • If you are looking for the “best set” of scores, pull them from either “Current Rows” or “All Rows” • If you want to know all instances of scores taken, you need to go to the Test Scores RO
Other RO’s • Relationships = mother or father of domestic undergraduates, if applicant provides this data • Language = native language for international students • Residency = residency for tuition purposes recorded as official residency, not determined for web apps until we have supporting documents
Visa/Permit & Citizenship • International students are defined by Application Center, not by Ethnicity. UINT and GINT are the two international application centers. • Multiple Citizenship rows exist for non-U.S. citizens—must look at both Country of Citizenship and Citizenship Status • History is recorded in the Visa/Permit table as is I-9 for employment purposes
